2.0 Background
On occasion of DELTAgroup’s 30th anniversary in March 2021, the company intends to pursue
the holistic ambition of improving upon general efficiency, employee and customer experience.
The DELTAgroup currently has a website where prospective employees (candidates) drop in their
applications, after which they are processed and onboarded to DELTAgroup as either part time
or permanent employees.
Based on their skillset, these employees are then assigned to different events when customers
place an order for a DELTAgroup personnel/fleet.
All the information mentioned above, i.e offers, orders, payroll relevant data and work hours, as
well as subsequent invoices are currently stored in DELTAgroup’s EM-Tool (ERP), which is the
datasource for a number of customers facing touchpoints.

3.2 Specific Objectives
This document details upon the scope for phase one of the DELTA 2021 project. Specifically,
the scope for phase one has been stated as a key priority and will involve the development of the
following:
● DELTAGroup HR & DELTA Academy Module
● Automatic Personnel Planning ( with onsite assessment)
● New CRM System ( with Computer Telephony Integration)

vi. Standard template for shipping shipments
vii. CTI (Computer Telephony Integration) for making phone calls from within the
CRM.
During the pre-study, it was observed that there are some modules that are not currently stated
as priorities, and yet they show high relevance to the priority modules themselves.
This scope therefore also combines the requirements of these related modules with the
requirements of the priority modules in order to create one complete and holistic
solution. This ensures that the solution delivered at the end of phase one has optimum
functionality.
As such, the Automated Personnel Planning Module is directly related to the Statistics Reporting
Tool, and the DELTAGroup HR & Delta Academy module is related to the Employee Directory.
The requirements of each of these related modules (as stated by DELTA Security or otherwise,
based on relevance) are stated below:
a. Statistics Reporting Tool
i.
Management cockpit
ii.
Standard statistics reporting across all modules
iii.
Monitoring key performance indicators
iv.
Forecasting/open positions/peaks/limit violation considerations.
b. Employee Directory
i. Criteria based employee administration
ii. Log book / history of changes in profile and qualifications
iii. Standard document management system (DMS).
The aforementioned requirements have been taken under consideration during the conception of the
Automated Personnel Planning Module and the DELTAGroup HR & Delta Academy Module.
The details, requirements, feature breakdown, costs and effort estimation of the
aforementioned modules will be detailed out in a separate scope before phase 2 kicks off.

5.0 Scope
Considering the priorities stated earlier, this section elaborates on the modules and their
underlying features, which are explored from the point of view of the system’s actors. All details
are for the scope of phase one of the DELTA 2021 project.

● Select candidates to be assessed formally,
● Schedule interviews with selected applicants,
● Initiate the verification process for selected applicants,
● Move applicants to the “hired” list, so that their profiles may be created and updated in
the employee directory, and
● Add a new applicant from within the application portal.
As a R
ecruiter/HR Team member with login credentials to the umbrella application, I will be
able to:
● View all relevant job applications that have been assigned to me,
● View all documents attached to the applications,
● Select candidates to be assessed formally,
● Schedule interviews with selected applicants,
● Initiate the verification process for selected applicants, and
● Move applicants to the “hired” list, so that their profiles may be created and updated in
the employee directory.

As DELTA Security/ServX/BASIC Security Employee with login credentials to the application
portal, I will be able to view only my profile that has been drawn in from the Employee Directory.

● View my progress on each of these courses.
Apart from the role relevant solution components mentioned above, this module also includes;
Automatic Application Sorting
In order to ensure that only relevant applications are received at the DELTAGroup HR & DELTA
Academy module, the system will automatically filter out applications that do not fit the criteria
stated in the job description. This includes:
● Automatic rejection of irrelevant CVs based on pre-set criteria and/or keywords,
● Automatic archiving/deletion of rejected applications after a pre-set amount of time so
that they do not appear in the module,
● Blacklisting certain profiles so that their applications are always rejected (for example:
applicants who are under 21), and
● Rejecting applications that have already been rejected before.
Automatic Update of Employee Directory
Once prospective applicants have been assessed by DELTAGroup HR, his/her application status
will be changed from “verification ongoing” to “hired”. Once this happens, the system will allow
members of the HR team to add this newly hired employee into the Employee Directory by
creating a new employee profile.
Automated Emails to the Applicant
Whenever the applicant is moved from one assessment stage to the next, the system will
automatically send an email to the applicant informing him/her of this change. Additionally, the
applicant will also be able to view this his/her assessment progress by logging into the
application portal using that credentials that were previously emailed to him/her.
Migration of Existing Applications or Personnel Details
The scope of this phase also includes the migration of all existing employee details, or
applications (CVs, documents or images). These applications and profile details will be migrated
from DELTA Security’s HIS and Visual Address onto the new application’s database.

5.2.2 Solution Components (Role Relevant)
a. Order Management
Actors involved: D
ELTA Authority, Planner
As the relevant DELTA Authority, with login credentials to the umbrella application, I will be able
to:
● Receive the order request from the customer (outside the application portal)
● Create a profile for a customer (if the customer is new)
● Access existing customer profiles from within the application portal
● Upload, into the umbrella application, any document (image or video) that has been sent
by a customer
● FIll in the project details as specified by the customer,
● Mark events as critical (requiring immediate attention)
● Assign the event to a planner.
As a p
lanner with login credentials to the umbrella application, I will be able to:
● View the list of order requests that have been assigned to me
● View event name and locations
● View event date and type
● View the customer’s contact information
● View the requested dates of the order
● View urgent orders
● View event related special notes by the customer
● Download map and view critical zones in the venue, and
● Convert event into a project.

● View a list of available security personnel with their availability information (this will be
automatically suggested based on the requirements of the customer),
● Assign multiple security personnel to an event
● Add, edit or delete specific dates for security personnel to be on duty
● View a timeline of security personnel in a calendar representing their duty time and
dates
● View marked critical zones of the venue
● Assign particular security personnel to different critical zones
● View details (name, notes) and assigned security personnel in each critical zone
● View list of created projects as well as projects conducted in the past
● View status of each project, and
● Edit or remove projects.
As DELTA Security/ServX/BASIC Security employees with login credentials to the umbrella
application, I will be able to:
● Receive notifications every time I am assigned to a project, and
● View the details of projects that have been assigned to me.
After the project has been completed successfully, should it be required, I will also be able to
download an Event Report in order to escalate any event or mishap that occurred during the
project runtime. I can also add images to the report should it be required.
As an Onsite Team Leader I will be given e
levated access to the project that has been assigned
to me. I will therefore be able to view all the features as per normal procedures, such as:
● Notifications every time I am assigned to a project, and
● Details of projects that have been assigned to me.
Should it be required, I will also be able to access and input data in an Event Report in order to
escalate any event or mishap that occurred during the project runtime. I can also add images to
the report should it be required.
Additionally, because of the elevated access, while onsite, I will also be able to login to the
application via mobile devices in order to:
● Access the following forms:
○ Action Report (to provide feedback on the project after it has been completed)
○ Manpower Report (to keep all other factors, such as starting time, ending time,
whether or not the right uniforms have been worn, etc)
○ Operating Report (to leave any remarks about the general progress of the event)
○ Warehouse Sheet (to keep a check of all the materials that my team has taken
from DELTA’s inventory), and
○ Quality Report (for individual assessment of team members)
● Fill up the aforementioned forms and share them, from within the portal, with relevant
higher authorities.
Furthermore, I can choose to temporarily provide access to some of my team-members to
finalize the job e.g. enter the final leaving time, do the material check if the said team-members
need to stay longer than the stipulated time of the job.

As an Inspector or Controller w
ith no ties to the project (neutral individual) I can choose to do
quality inspections on certain projects. I will therefore be able to view all the features as per
normal procedures, such as:
● Notifications every time I am assigned to a specific project or pick a specific project to
inspect
● All relevant details (images, documents, etc) of the aforementioned project, and
● All details of projects that have been assigned to me for quality inspection.
Should it be required, I will also be able to access and enter data in the Event Report in order to
escalate any event or mishap that occurred during the project runtime. I can also add images to
the report should it be required.
Additionally, while onsite, I will also be able to login to the application via mobile devices in order
to:
● Access the following forms:
○ Quality Report (for individual assessment of team members), and
○ Control Report (to provide feedback on the overall nature of project execution).
● Fill up the aforementioned forms and share them, from within the portal, with relevant
higher authorities.
For both the onsite team leader and the quality inspector, the elevated access will be revoked after a
pre-specified time following the completion of the project. While onsite and during the runtime of the
project, both these roles will be able to access all the aforementioned forms from my mobile device by
logging into the portal through the mobile browser.

● View events timeline
● Select type of calendar view (daily, weekly or monthly)
● View event names and their booked dates
● View the fleet that has been assembled for the event, and
● View the status of each event.
As DELTA Security/ServX/BASIC Security employees with login credentials to the umbrella
application, I will be able to:
● View a calendar showing the following events (only the events that have been/were
previously assigned to me):
○ Previously covered events
○ Upcoming events
○ Training events from DELTA Academy
● View all event invitations
● Accept or refuse event invitation,
● View event details (Name, location, date, notes, contact information),
● Select between months
● View events timeline
● Select type of calendar view (daily, weekly or monthly), and
● View the status of each event.
As an Onsite Team Leader with temporary elevated access to the portal, I will be able to:
● View a calendar showing the following events (only the events that have been assigned to
me):
○ Previously covered events
○ Upcoming events
○ Training events from DELTA Academy
● View events timeline
● Select type of calendar view (daily, weekly or monthly)
● View event names and their booked dates
● View the team that has been assembled for the event, and
● View the status of each event.
As an Onsite Quality Inspector with temporary elevated access to the portal, I will be able to:
● View a calendar showing the following events:
○ Previously covered events
○ Upcoming events
○ Training events from DELTA Academy
○ Events that have been assigned to me for quality inspection.
● View events timeline
● Select type of calendar view (daily, weekly or monthly)
● View event names and their booked dates
● View the team that has been assembled for the event, and
● View the status of each event.

5.3 New CRM System
The only actor relevant to this module is any authorized i nternal member of DELTAGroup or
DELTA Security.

● View certificates that have been given to course takers for successful completion of the
course, and
● Update training, education and certificate information on employee profiles, so that they
may be taken under consideration during planning events for customers.
As an internal member of DELTAGroup or DELTA Security, I will be able to manage standard
email templates for the following uses:
● Informing candidates of their application assessment progress, and
● Informing customers of their order management progress (i.e order received, order
under process, order dispatched, customer feedback collection forms).
