Chapter Three

The Proposed System


3.1 Overview of the proposed system
The main aim of this project is to automate the current manual system and it will solve the
problems that are in the manual system. This system saves resources by doing all things used
in Dormitory management system. The new system also secured in the security side, and free
from any management error in its function.

When we propose this system we consider the following significance aspects:

 Reduce the time and task required to perform the operation within the
management.
 It will change the manual processing to computerize system.
 It will provide speed, efficient, Flexibility, reliability, and security for the system
users.
 For proctor, better satisfaction of the speed provided by the system to perform
tasks.
 And it improved the moral (motivation) of the users to use the new technology.

3.2 Functional Requirement


The functional requirement of a system is all about the basic task of the system which is
going to be develop; it answer the question what the system will perform after it’s deployed?
The proposed system have the following functional requirements.
 The system accepts (read) the uploaded record.
 The system should arrange the buildings for the placement.
 The system should arrange students for the placement.
 The system should assign dorms for students.
 The system should generate timely report about the allocation tasks
 The system should store all the data related with all the tasks performed into a
permanent database.
 The system enable students to view their dormitory information easily through
their registration number.

3.3 Non Functional Requirement


The proposed system have a non-functional requirements which is not necessarily
essential for the system but it supports and give more quality for the system. The
following are some non-functional requirement of the system.

3.3.1 User Interface


The interface will be user friendly and can properly guide the users how to use the system
and perform operations easily and the link name that will use in the system is related with the
task that the proposed system performed. The system guide and give direction to the user
what will be the next action by display the alert message. The proctors can change the data of
the system and students can view their dormitory information and also can send comments.

Any sort of training is not required for using the system. It is important that the system is
easy to learn. The input device is given to keyboard and the output is viewed on the monitor.

3.3.2 Hardware Consideration


The hardware materials are vital components to develop the proposed system, we will use
different hardware requirements it includes: - CD, Flash disk, Personal computer.

3.3.3 Security Issue

The proposed system requires a user verification of login form, so it is designed to be very
secure by providing a login feature which authenticates the user by means of a user name and
password in which the user will be able to login by their respective pages and use the system
as required. Students can only view their dormitory information by using their own
identification numbers.
3.3.4 Performance Consideration
The system will provide fast response time and optimal workload for the user requests. The system
should quickly respond for user request that is system must immediately display the needed
service along with their allocation details after he or she insert needed information to view.

3.3.5 Error Handling and Validation

Our system handles the errors in a very efficient manner. It can tolerate to wrong inputs and
prompts the users to correct the inputs. It gives notifications as and when required, guiding
the users to properly utilize it.

3.3.6 Quality Issue


The services given to users are clear, reliable and simple. Information in database should be
as much as possible correct and updated in each semester. So the main users of the proposed
system; students and the management itself can access information with high quality.

3.2.7. Backup and Recovery


The system prevent data from unauthorised data access through data protection method and it
hold the data in a permanent data storage so there is no data lost.

3.2.8. Physical Environment


The system require basically web applications or web browsers for its accessibility in order to
be functional at everywhere where the internet connection is available.

3.2.9. Resource Issues


The system uses Internet connectivity, hardware and software requirement to perform the
expected and optimal functionalities.

3.3.10 Documentation
The system contains the detailed required system documentation to describe the
documentation process and what technique are used in each stage from the starting to its
implementation. It includes requirements documents, design decisions, architecture or design
descriptions, program source code, limitations and its testing procedure clearly and detailed.
