1.0 COMPANY BACKGROUND

E-Car rental is a company that rent cars or automobiles for a short time to their customer. In
Malaysia, car rental service increasingly becomes the preferred option for most people, especially among
students on campuses and universities. This occurs because not all students can afford to have their own
vehicle and perhaps the university bus service doesn’t always help. Besides, the raising taxi fares and
inconsistent bus arrivals in Malaysia continue to discourage people from taking up public transport. Car
rental service continues to grow in Malaysia, hence it required improvement and a good monitoring
system.

xHowever, some car rental agencies still use a manual system to manage rental car operations by
spreading their available car to resident. This methods wastes money and time for both the rental person
and the car rental owner. Therefore, it is proposed to have a system that can be used to provide booking
and management for make easier for both of them. This system takes information from the rental person
and car rental owner through by their details. A user being registered on the website has the facility to
book a vehicle as required. Car rental owner can register their car to advertise for the user. The system
will help them by finding the car rental base on the criteria the her given .

2.0 CURRENT SYSTEM DESCRIPTION

The current system is a manually driven system that requires paper to be managed by the
employees when a car is sent out by the company to a customer they require doing the
paperwork for the process which is very arduous to manage because it is the physical form and it
is not a very trusted format.

A car rental system allows to rent vehicles to customers for a fee. The system can be
manage the reservation and rental process, including the availability of vehicles and update the
status in real-time. If a vehicle is not available for a requested period, the system may inform the
customer that no vehicles are available.

The current system is inefficiency, it can be time-consuming and error-prone. It can be


difficult to keep track of reservation, and customer information without the use of computerized
system. The current system may be more susceptible to fraud or errors, such as double-booking
or overcharging customer and also the current system may not allow customers to check the
availability of vehicles in real-time, which can lead to missed rental opportunities.

3.0 PROBLEM STATEMENT

The manual car rental system provides services only during office hours. So, customers have
limited time to make any transactions or reservation for cars. The problem with some of the current
systems is that some small companies already have a car rental system which is not a webbased
application. This is a limitation that gives them the capability to store customers details, but at the same
time they cannot make their services more available to the public through the internet, they rather make
use of posters to advertise their services to the public. They also make use of phone call reservations
which are also limited to a few features compare to a web base system. For example, a customer might
make a phone call reservation for a particular car, but when he/she comes to pick up the car, he/she might
turn not like the car, this could be because the customer could not see a sample picture of the car he/she
wants to rent.

Below are some problems with running a car rental company manually:

• To rent a car, a prospective renter must first go to the nearest office to register as a client, what if the
customer doesn’t have enough time to do that?

• Cars that provide difficulties to rent out are normally advertised in a local or national newspapers. It
involves a lot of work and consumes time.

• The process of managing customer’s data is slow if the company is using a manual system and there
might be thousands of clients.

• It is very hard to keep a record of all rental cars and so on.

4.0 OBJECTIVE
1.1 Objectives
Objectives of car rental system is a computer system program or system that is used to
manage the rental of car to customers. It typically involves the following functions:
i. A user-friendly for customers to search for and reserve vehicles
ii. A database to track inventory and availability of vehicles.
iii. Tools for managing and tracking reservations and rentals.
iv. To make sure a user get his desire car as early as possible, the car rental system
will provide a faster response to complete the process.
v. To identify the requirement for a car rental system.

1.2 Company Operations


Company operations of Car Rental Service are:
i. Answer questions from customers about prices and which vehicles are available.
ii. Take bookings and explain the terms of rental agreements.
iii. Complete paperwork, update records and take payments.
iv. Record a car's condition and make notes of any existing bumps or scratches.
v. Do regular car maintenance.
