1. Adding a new student

To add a new student, click “Students” in the top menu, and select “Add new student” from
the dropdown. This page will load a form with fields for first name, last name, telephone
number, email address, nationality, and date of birth.

When the required fields have been filled in, the Submit button will become active. After
clicking “Submit”, the student profile will be created.

Once the form has been submitted, on the next page you may upload the student’s
application documents, or proceed to their profile to fill out their personal information, upload
more documents, and shortlist their desired courses.

3
2. Updating a student profile

Each student profile has the following sections: Personal details, Travel & immigration,
Education, Work details, Documents, Applications, and Shortlisted courses.

In order to upload applications for a student, please visit each tab and fill in the required
information. Once a section has been updated with the required information, a green tick will
appear next to it in the menu.

3. Uploading application documents

To upload application documents, click the “Documents” tab from a student’s profile. Here
you will be able to upload each document in the relevant section. There is an “Other” section
for any documents that may not fit in the provided sections.

4
4. Searching and shortlisting courses

In order to submit an application for a course, it first needs to be shortlisted for that student.
To do this, click “Shortlist and Apply” in the Student Profile section menu.

Here you can view any already shortlisted courses, and search courses to shortlist for that
student. To find a course, you can enter a search keyword, or select a subject from the
dropdown. Then select a level. Finally, you can search courses at any university, or select a
specific university.

Once you find the course you want, click “Add to shortlist” and the course will be added. If
you wish to remove a course from the shortlist, click “Remove from shortlist” and it will be
removed.

Tips for searching courses

1. For subjects, you can start typing to pull up suggested subjects from the dropdown
list.

5
2. You can also type in subjects that may not appear in the list, for example here is
“sport management” typed in.

3. Universities are listed alphabetically by their official names, so “University of Bristol”

is under the “U” section, as are many others.

4. You can also find a university through auto-suggest, by starting to type its name, for
example with Golders Green College below.

6
5. Submitting an application request

Once a course has been shortlisted, it will appear on the top of the Shortlisted Courses
page. Each shortlisted course will have the option to submit an application or be deleted
from the list.

Please note: In order to submit an application request, all required information from
the student profile must be completed, and all necessary documents must be
uploaded.

Once all necessary information has been added to a student’s profile, the “Apply” button will
become active. To request an application for a shortlisted course, click the “Apply” button.
When the button is clicked, it will notify your consultant that this student wishes to apply for
the course you have requested. The buttons will be replaced by green text saying
“Application pending.”

7
6. Searching for a student profile

To find the profile of a student you’ve previously put in the system, click “Students” in the top
menu, and then select “Student search” from the drop down list. From this page, you can
select criteria such as student name, ID number, phone number, email address, or an
application reference on the left side, and then enter your text to search for on the right.
Once you find the desired result, click “View Profile” to visit that student’s profile. You will
also see a list of the last ten searches you have performed in the past seven days.

7. Viewing individual student application statuses

To view the statuses of any student’s applications, search for that student as in the above
step. Once you reach the student’s profile, click the “Applications” tab, and you will see a list
of the student’s applications with statuses.

8
8. Viewing all applications

To view all applications submitted for a given year, click “All applications” in the Student
menu dropdown. On this page you can select a year from the dropdown interface. Once a
year is selected, you will be able to see a summary report of your applications from that year,
as well as a listing of all student applications.

9. Viewing applications with pending documents

To view a list of all applications with documents pending, click “Reports” and then “Pending
Applications.” On this page you will be able to see a list of all applications with documents
pending, and be able to upload those documents.

9
10. Viewing final choices

To view your final choices for a given year, click “Final Choices” in the Student menu
dropdown. On this page you will be able to select a year and a range of months. Once the
date is selected, you will be able to see a summary report of your final choices from that
year.

11. Updating your password

Your password can be reset from the “Contact and support” page. Click the link that says
“Update your password” and you will be prompted to enter your current password, and then
enter a new password twice.

10
12. Updating your company profile

You can go to your company profile by clicking your login username at the top right of the
screen, and then clicking on “Company profile.”

On the Company Profile page, you can update your company website, company email
account, postal address, and city. Please note that your company name and country cannot
be updated in this interface. If your company name or country require an update, please
contact your Account Manager.

In the second section, company director information can be updated. Please note that
changing this email address will change your login to the Application Platform for that
account.

13. Managing users and logins for your organisation

13.1 Adding new users

11
To create new users for your organisation, go to the “Company profile” page, and scroll down
to the “Staff details” section. At the bottom of this section, click the blue button labeled, “Add
staff member.” Please refer to section 13.3 for staff type permissions.

After you add all information in the dialogue, click “Add.” The username and password will be
emailed to the staff member.

13.2 Editing and deleting users

Users can also be edited and deleted on this page. Click edit to change any information
about a user, or delete to remove them from your organisation entirely. Please remove any
accounts from staff members who have left your organisation, so they are unable to access
