Chapter I

Introduction

The information we obtain from our mobile phones is minimal, and students may access it

conveniently and rapidly. As a result, it saves time. This site provides detailed information on

the college campus, such as courses available, admission procedures, placements, college

events, and achievements. Subject information contains details such as a student's personal

information, academic information, attendance information, And so on. It also allows staff and

faculty to view attendance shortage information. Staff can search and methodically update data

[1]. It will feature information about various activities held by the college from time to time

and data about college holidays. This information will be updated. In addition to accessing

study resources created by teachers that meet their needs, students can also check their exam

results, attendance histories, and attendance records. They can update their current cumulative

marks to check their eligibility for various recruitment opportunities. The Information and

Management System is intended to be improved by this system. It is a necessary process in the

educational system to show each student's progress. Monitoring attendance at educational

institutions is typically a manual process. It keeps track of a student's information from the first

day of class to the end of the course and can be used for all reporting requirements, mark

tracking, fee information, Etc. It enables the teachers to submit study resources that students

may access and are all on file for future use. Additionally, it offers details about College

Holidays, Special Events, Ranks, and Placements. The parameters about students, batch,

course, staff, and faculty can be used to generate various reports and queries.

The system is simple to use and friendly to users. The system is an online web-based system

for colleges that employs a user-friendly and appealing interface [4]. In college-level enterprise

management, modules like attendance tracking and student/staff information management are

crucial [5]. The present paper records were replaced by automated records using this system

[6].

Background of the Study

Those kinds of information technology developments have an impact on educational

institutions. They have been implementing management information systems to boost the

efficiency of administrative functions. This study examines how school management

information systems have been utilized at colleges and universities and how they are perceived.

Information construction has advanced to a new stage in school management. The campus

network built on Internet technology has been gradually dismantling the original closed and

autonomous management style of school administration. It has started to transform into an

interconnected and open system. The present study on the classroom management information

system has started to take shape, even if the actual implementation is still in its early phases

[2]. Every nation's education system is its foundation. Because of this, it is critical to provide

the next generation with a solid educational foundation to grow into tolerant, global citizens

who can secure everyone's future.

3

Web-Based School Management

Students Record Management System for the College Of education, according to Uka,

Emmanuel (2019). This paper emerged as a result of issues with student academic record

management, such as improper course registration, late release of students' results,

reconciliation of students' results, malpractices at various students clearing units,

inaccuracy due to manual and time-consuming calculations, and record retrieval difficulties

in the institution. The goal of this paper is to create a portal that includes online registration,

profile creation, students' final clearance and payment, transcript processing, checking of

admission status, verification of both level and degree certificates, and checking of results,

paperwork and automate the record generation process in tertiary institutions.

A study about Student Information System (SIS) manages student records and information.

An SIS may handle course management, scheduling, personnel records, grades/comments,

room/resource management, and more. They can be used to run complex enrollment

reports, admissions, course schedules, grades, and more. An SIS helps schools manage

various operations, including student data, administrative, and fundraising operations.

Many SIS is on the web. - Based on allowing access from any computer with an internet

connection with no additional software installation. The web-based software management

8

is much more centralized and easier to keep updated. By implementing an SIS to manage

daily school needs, teachers and administrators can save time and have immediate access to

various student data. These systems are for all parties involved in education parents,

children, teachers, administrators, alums, Etc. An SIS allows parents a quick and easy way

to communicate with their children's teachers or the school administration. Parents are

involved when they receive up-to-date information about school events, grades, attendance,

homework, Etc. Teachers receive automated grade books, reports, links to parent info, Etc.

Students may access assignments and grades. The Importance of a Student Information

System (SIS), as the name implies, a student information system exists to manage student

information. Student information is one of the most valuable resources any school has.

Therefore, its management is crucial when making good decisions around those students.

Furthermore, while some schools may ideally claim to store their student data, the critical

difference between student data and student information is that data need to be organized.

Student information systems will organize student data in a way that administrators,

teachers, and parents, among other essential stakeholders, can access and interpret easily.

e-Leadership of school principals: Increasing school effectiveness by a school data

management system

According to (Ina Blau, Ofer Presser, july 2013) School management systems have become

essential for effective e-leadership and data-driven decision-making in recent years.

Information flow and e-communication between teachers, students, and parents are

prioritized in school management systems. This study looks at e-leadership by secondary-

school principals using the Mashov school management system implemented in 500 Israeli

schools to improve school effectiveness. The results show that the system offers school

administrators a great deal of assistance in running their institutions, assigning tasks, and

encouraging e-leadership among their faculty. As a result, the pedagogical effectiveness of

their institutions. The school's entire culture is changing via e-leadership in the school

management system. Making data-driven decisions, keeping tabs on how the curriculum is

being implemented and how well children are learning it, connecting with teachers,

students, and parents, enhancing the school atmosphere, and increasing parental, and

student involvement are all part of it. The islands-of-innovation and comprehensive-

innovation models of technology adoption are examined concerning the findings. We

advise school principals to distribute e-leadership tasks, assess the amount of teacher

involvement within the system, and increase the adoption of school management systems

among students and parents to improve e-leadership.

Student information system (SIS) is a software program to handle student data for

educational institutions. It is often known as the Knowledge Management System for

Students (SIMS) (Murungan, 2020). Information systems are created to provide schools

with a solution and feedback to encourage the effectiveness of learning, teaching, and

administration purposes; this will exploit the school that needs the system (Kurniawan &

Andika, 2019). A website-based information system boosts data administration efficiency,

especially when it comes to student information. In order to achieve the goal of having an

effective school management system, the system should have elements that improve the

quality of schoolwork (Dewantara, Piarsa, & Buana, 2019).

School Management Information System

According to Hinze-Pifer and Ramsey, As computers increasingly became a component of

classrooms around the end of the 1990s, schools used databases to manage student records,

including standardized test results, health records, and demographic data, according to

Hinze-Pifer and Ramsey [1]. Nevertheless, databases in American schools are essentially

information storage systems that do not make pertinent information easily accessible to

crucial users. Additionally, as considerable data gains popularity, educators and school

administrators must go through a vast amount of data. Hinze-Pifer and Ramsey [1] further
11
POLYTECHNIC UNIVERSITY OF THE PHILIPPINES – BIÑAN CAMPUS
noted that numerous school districts use databases, such as ones for attendance, grades, and

test results, which infrequently can communicate with one another.

A study about Schools Management Systems uses school management information systems

and digital tools to support a range of administrative duties such as tracking attendance,

assessment data, reporting, financial management, and resource and personnel distribution

[10]. Gurr [12] asserted that such systems had transformed school management in

communication, governance, and decision-making. Vischer (1996b) stated that school

information systems "can provide administrators with the information required for

informed planning, policy-making, and evaluation."

Additionally, school management information systems are helpful for digitizing data,

facilitating communication between educators, administrators, parents, and other

stakeholders, providing simple access to student performance data, increasing

administrative efficiency, and reducing educator workload [10].

Integration of School Management Systems Using a Centralized Database

Information and management systems for schools (SMS): linked sub-systems comprise a

data processing system for supervisors, educators, personnel, parents, and students. SMS

seeks to assist school administration in bettering all services the institution supplies. The

technological transformation Additionally, SMS's ever-evolving features will continue.

Considering how the public's needs affect the services provided by institutions is constantly

evolving. Quicker and more practical the importance of service across several platforms is

paramount [1]. Schools utilizing stand-alone programs in various offices must be adequate

to deliver quality services. It limits users' ability to produce content slowly and with low-
12
POLYTECHNIC UNIVERSITY OF THE PHILIPPINES – BIÑAN CAMPUS
quality requirements [2]. Other schools continue to operate manually. The increased

number of customers has already affected the services.

A School Management System (SMS) must be built a Strong base, such as selecting the

appropriate components and evaluating current frameworks for advancement [6]. The

requirement to adjust to the newest informational trends the quality of education will be

improved by technology (IT). Furthermore, managing a variety of school activities. Making

advantage of the quality of schooling has improved thanks to technology [7]. It improves

the integration of systems and processes departments, groups, and different stakeholders.

Student information systems – implementation challenges and the road ahead

According to Sheila Mukerjee (2012) this paper essay presents a practitioner's perspective

on student system deployments in Australian higher education. Any university's operations

and student services depend fundamentally on its student information system, one of its

core systems. Implementing new systems, system upgrades, or planning for either one or

all of these tasks are all big projects that universities are constantly working on; these

initiatives are expensive, time-consuming, and face similar difficulties for many reasons,

including software implementations, the unique characteristics of each institution, the

industry, the software provider, and the setting in which it operates.

Impact of Management Information Systems (MIS) on School Administration

According to the Shah M, The primary goal and use of management information systems

(MIS) were to increase the effectiveness of administrative tasks in schools. Data on

employees and students were kept on it. The focus was more on data collection and entry

than transfer or analysis, which raised the most incredible red flags. During the stages of

integration, the usefulness of management information was understood. As a whole, the

literature review revealed positive impacts of MIS on school management and

administration, including better information accessibility, more effective management,

higher utilization of educational resources, reduced workload, improved time management,

and improve report quality.

The overall review of the literature highlighted the beneficial effects of MIS on school

administration and management, such as improved information accessibility, more

effective administration, greater utilization of school resources, decreased workload,

14
POLYTECHNIC UNIVERSITY OF THE PHILIPPINES – BIÑAN CAMPUS

Improved time management, and improvements in report quality. MIS can provide

teachers and administrators with the data to make informed decisions about planning,

policy, and evaluation. Leadership, decision-making, workload, human resource

management, communication, accountability, and planning have all changed due to MIS.

These methods can help the school manager identify the institution's objectives, create

strategic goals, allocate resources, and assess staff performance and organizational

success.
