2.0 Chapter two: SYSTEM ANALYSIS
System analysis refers to the study and procedure and business to identify its goal and purposes and create
system and procedures that will efficiently achieve them.

2.1 Problem identification and definition


Problem identification is the critical part that may undermine something both in deterministic and
probabilistic domains.
The system is advanced to maintain records of;
 Membership
 Vehicles
 Loaders and drivers
 Goods transported
 Farmers who are in groups
 Order for transport
 Offences committed by drivers
 Expenses for each vehicle

2.2 Limitation of the current system


The current system has discovered the following advantages disadvantages;
i. Advocates for too much paperwork
ii. Delays in payments of workers
iii. Loss of data because information is stored in physical files

2.3 Objective of the new system


 To reduce time wastage
 To reduce tedious manual calculations

2.4 Feasibility study


Feasibility refers to a preliminary survey undertaken to determine if the solution is workable, and whether
it is likely to be successful and cost effective.

The proposed solution is economically feasible because the benefits outweighs the cost.

2.5 Overview of the current system
Movers is a company whose main aim is to provide transportation of various agricultural goods such as
cereals and livestock between farms and retail outlets and also inputs such as fertilizers, herbicides and
seeds for planting in the farm.
The company provides registration for large scale farmers who register individually and small scale
farmers who must form groups in order to qualify for registration.
The group has a minimum of five members recognized by;
a) A group name
b) Location
c) Nature of farm produce
d) Individual farm details, such as, farmer’s name, phone number
and identification number

The following is a tabulated information on charges for transported goods that are based on the means of
transport, load capacity and destination.

Drivers and loaders are employed where each of is assigned to a specific vehicle hence, responsible for
the vehicle and ensure that goods arrive at their destination in good conditions.
The following are offences that may lead to surcharging of the driver;
1) Over speeding
2) Over loading
3) Driving while drunk
4) Spoiling of perishable goods
A driver is;

o Served with a warning letter if surcharged three times in a
month.
o Suspended from duty for one month if he/she commits an
offence if had been with a warning letter.
o His services are terminated if he/she has been suspended twice
in a period of six months.

2.Details of drivers in respect to vehicle
3.Allocation of salary issued to loaders and drivers after assignment

5.Employees taking leave

 Number of drivers on suspension and with warning letters
 Number of drivers terminated off their duties

2.6 FACT FINDING REPORTS
Fact finding is an exercise aimed finding information/knowledge about something.
The movers company used the following ways to obtain information;
1.Use of questionnaires
2.Direct observation
3.Interview
The main method that was used to obtain information was by use of questionnaires.

2.6.1 Questionnaires
A questionnaire is a form of a document that contains some questions that a researcher asks people who
has knowledge about certain information by filling the document with a tick to represent yes, a cross to
represent no, or statements.
Advantages of questionnaires over other methods of finding data.
I. It provides first-hand information
II. Information provided is not bias
III. It is a fast mean of asking questions
IV. The person researching must not be there

Disadvantages of questionnaires
1. It is expensive as multiple documents must be printed

2.7.2 Direct observation
This method provides first-hand information about the problems facing the system. The system analyst
takes time to observe the operations of the current system.

This involves conducting one on one questioning of the interviewee by the interviewer about the current
system.

The proposed system is designed based on the approved design specification. The system was
constructed using Microsoft access database management system. The database features used include:
tables, forms, queries, reports and macros

made. The proposed system was judged to have passed the test paving way for implementation.

5.0 CHAPTER FIVE: system implementation
The system is made operational at this stage. The following activities are covered at this stage;
1) Installation of the system
2) File conversion
3) Staff training
4) System change over strategy

5.1 Installation procedure


A. Copy the program from the compact disk (cd) to the computer hard disk
B. Right click on the file then select properties, the properties dialogue box appears
C. Uncheck the read only attribute in the dialogue box then click the apply button
D. Finally click on the ok button to close the properties window and to accept the change
over

Launching the new system


When the new system is launched, the first form that appears is the switch board form, click on any of
the buttons listed on the form to operate the action desired.
1) Enter large scale farmers members details: enable the user to add a new large scale farmer
member and in the system.
2) Enter small scale farmers members: enables the user to add the small scale farmers in the system.
3) Enable loaders and drivers; enables the user to add the loaders and drivers in the system.

4) Enter vehicle: This button is used to


 enter type of vehicle

5) Update queries; enables the user to update queries in the database.


6) Display tables in datasheet view; enables the user to view tables to view the tables found in the
school database.
7) Display reports; enables the user to access or view the reports in the transport database.

Procedure for registering new farm in inputs


To register a new farm input
 Click on the register farm input details
 Select the farm input details form
 Enter the required details

Forms are database features used to enter data in a table, view or edit data contained in a table. They
are more user friendly than the file structure/table. Below are some instructions on how to navigate
around forms found in proposed system?
To add a new record:
 Select a form of your choice
 Enter the required details on black appearances

To save a new record


 Select form of your choice
 Click on the save button

To move to the previous record


 Select a form of your choice
 Click on the next record button

To move to the next record


 Select a form of your choice
 Click on the next record button

To delete a record
 Select a form of your choice
 Select the record you want to delete

Click on the delete button


 To exit from any form
 Click the close button on the form

Installation of the system
This is the process of setting up and preparing the system from operation.it includes loading the system
into the computer and configuring it.

5.2 File conversion


It involves changing data from its current format to the one that can be operated by the new system.
File conversion activities for the proposed system was done by transferring data from the old system to
the new one by;
 Keying in data from the old to the new system
 Copying files from magnetic tapes and other serial access data storage devices into
compact disk hard disk and other direct storage media

5.3 Staff training


Staff training involves teaching the staff how to operate the system in order to realize the full benefits of
the system and to enable them to easily and comfortably drive the system.
Staff training for Movers transport will continuously be done through:
 Provide training manuals to the staff for reference
 Conduct training session

5.4 System change over


System changeover refers to the process of switching from the old system to the new one. The new
system analyst of Movers transport system proposes to adopt the phased change over strategy.

This strategy was chosen because of the following advantages;


I. If the phase that is being executed fails, the implementation process is only partly delayed;
hence, failure rate may not be devastating

II. Enable testing of the system phase hence increasing the effectiveness of the system
III. It enables the organization to replace a system gradually; the entire system can only be
overhauled after the analyst gets satisfied that each implemented phase is working well.
IV. Staffs are given adequate time to gradually familiarize themselves with each of the new system
5.5 system requirement
5.5.1Minimum hardware requirement
a) Processor speed 1.0GHZ (hardware devices that convert data to information in digital computer)
b) 1GB RAM (temporarily holds the program instructions and associated data before, during and
after processing, the larger the RAM the larger the ability of the computer to perform complex
tasks)
c) CD/DVD Drive used to back up file
d) Hard disk 40GB –used for main storage for data and software
e) Color monitor 14“ -standard (for output)
f) Keyboard-standard (for input)
g) Mouse-standard (for input)
h) Laser jet printer used to produce hardcopy output

5.5.2Minimum software requirement

5.6Running the system


After installation into the computer system, the program can be accessed from the main menu using the

Extreme data: This is data of the right data type but in the lower or upper boundary of expected value
