Key Concepts

Lesson 1: Components and Features of a Resume

A. Resume – A resume is a formal document that a job applicant creates to itemize


his or her qualifications for a position. A resume is usually accompanied by a
customized cover letter in which the applicant expresses an interest in a specific job
or company.

B. Parts of a Resume

1. Heading/Contact Information
- Full name, permanent or temporary address, phone number, e-mail
address
2. Objective Statement
- state what the applicant wants to do, the position /s he/she is interested
in and should be employer-focused
3. Education
-Include the name and the location of the school, dates of attendance, major
field of study and degrees received, Honors and awards- indicate any scholarships,
awards or academic achievements received
4. Seminars or Workshops
- include off-campus training, relevant
5. Experience
- Begin listing all of the paid work experiences in reverse chronological order
even the jobs have no relation to one’s present career objective.
- Include company name, address, title and dates of experience/if the
applicant is still connected there, out starting month/year-present.
Example: May 2009-present
6. Relevant Skills
- include computer skills, communication skills and language skills

C. Essential Features of a Resume

1. Well organized: It should be well organized and integrated to present one’s


career aspirations in the field, and showing interest in the offer, as a part of
accomplishment of long-term career objective.
2. Short and Precise: It should be written in short sentences and Paragraphs.
3. Unique: Giving generalized details won't help much. By creating a unique
resume dealing with organization specific requirements, one can attract employer’s
attention. It needs to cover all remarkable academic achievements to create an
extra advantage.
4. Authentic and realizable: It is disastrous to give imaginative or highly
unrealistic details. One must offer relevant and realizable things to figure out his
skills in the field to provide effective and efficient services. Thus, while building
resume it is necessary to be realistic and concrete.
5. Justifiable: Resume should be clear and justifiable, covering essential details
about work excellence, and internship projects completed. For example, if you are
applying for customer service position, you can go through customer service
resume objective examples to design the most effective objective, showcasing your
talent at handling customer service and customer relationship management
functions.
6. Crispy and attractive: One should Create a resume to cover his internship
experiences at dealing with relevant functions, and build effective coordination
between his career aspirations and the field requirements.
7. Professional: It should be reflecting one’s professional attitude to solve the work
associated queries and problems. Hence, it is necessary to incorporate an objective
statement, which will satisfy the employer's interest.
8. Avoid unnecessary Information: Any personal information which is not directly
related to the job target should not be included.

Note: Resume’s Style: (1) Chronological Resume- It starts by listing one’s work history, with
the most recent position listed first. His/her jobs are listed in reverse chronological order with
his/her current, or most recent job, first. (2) Functional Resume- It focuses one’s skills and
work.

What to do: Read the statements below and write the correct term it defines on the
blank before each number.

What you need: A pen and bond paper. Also prepare a 2x2 photo of yourself with
white background. If available at home you can also use your laptop or computer
and open Microsoft Word to do this activity.
What to do: Compose your own resume for a job application or job interview.

Lesson 2: Components and Features of an Application Letter

A. Application Letter – An application letter is a summary of your strongest


and most relevant skills and abilities that will be expanded in your resume
or selection criteria. It introduces you to potential employers and highlights
your suitability for the position you are applying for. Also known as a cover
letter.

B. Parts of an Application Letter

1. Heading/Return address
This contains the return address (usually two or three lines) with the date on the
last line.
2. The Inside Address. This is the address you are sending your letter to. Make it
as complete as possible. Include titles and names if you know them.
3.The Greeting. Also called the salutation. The greeting in a business letter is
always formal. It normally begins with the word "Dear" and always includes the
person's last name.

4. The Body. The body is written as text. A business letter is never hand written.
Depending on the letter style you choose, paragraphs may be indented. Regardless
of format, skip a line between paragraphs.
-Skip a line between the greeting and the body. Skip a line between the body and
the close.
5. The Complimentary Close. This short, polite closing ends with a comma. It
begins at the same column the heading does.
6.The Signature Line. Skip two lines (unless you have unusually wide or narrow
lines) and type out the name to be signed.

C. Essential Features of an Application Letter

1. Structure-The structure consists of a targeted greeting, an introductory


paragraph, one or two short paragraphs covering your key qualifications and the
closing paragraph. The greeting should address a specific person whenever
possible. The introductory paragraph expresses your interest in a specific position
and why. The next paragraph or two summarizes how your skills, experience and
education match job requirements. The closing paragraph references an enclosed
application or resume, restates your interest, requests some form of follow-up and
thanks the employer for their time.

2. Professional Appearance-When writing your application letter, the appearance


must be professional and tailored to the job you want. Avoid generic,
unprofessional application letters. Just like a resume, you will need more than one
letter when applying to multiple jobs. Do not cram your application letter with too
much information. Leave that to the application or resume. Format it with the
correct margin on all sides and with plenty of white space. Using bullets to
highlight key points makes the letter easier to read. Busy employers will appreciate
this time saving tactic.

3. Employer Focus-Focus your application letter on how you can contribute to the
employer’s bottom line. Research the company products or services, mission
statement, current initiatives and leadership practices to gain an understanding of
how you can position yourself in a beneficial way. By understanding the company,
you can honestly assert how you plan to contribute. You will be viewed as a serious
contender when you tie your skills or experience to company missions, goals and
initiatives.

4. Credentials-Include the credentials that are most relevant and important to the
position. Your credentials must provide a strong sense of your qualifications by
explaining how your specific skills, expertise and work history align with job
requirements. Also, highlight notable and related achievements, courses of study
and training. The goal is to emphasize succinctly your suitability as an employee so
that the employer is motivated to contact you for an interview.

5. Follow-up Request-Ask for what you want in the closing paragraph. Request an
interview or meeting within a certain time frame to discuss your qualifications.
Specify times you are available and say when you will follow-up. Also, express that
you look forward to an in-person meeting. You want to appear confident and eager,

but not desperate. Make it easy for the employer to reach you by repeating your
contact information.

Note: An effective application letter helps you stand out. When well written, it can push your
application to the top of the stack, helping you score an interview. The letter does not repeat
your resume, but complements it with a snapshot of your best skills and talents in a concise,
one-page format.

What to do: Write the word "JOB" on the blank if the statement is TRUE. If
otherwise, underline the word that makes the statement FALSE and write the correct
term on the blank before the number.

Lesson 3. Other forms of Office Correspondence

A. Letter of Inquiry and Response to an Inquiry- these are the most common
business letters. If properly written, it may bring valuable information. If
reply is correctly written, it will build goodwill and sales.

B. Letter of Complaint and Adjustment- also known as Claim letter. This


letter must take a positive stand, describing what is wrong and suggesting
what can be done to correct the situation when an error has been made.

C. Order and Acknowledgment Letter-is also known as purchase order or


P.O. which is to provide the seller with detailed instruction for fulfilling an
order.

D. Resignation Letter- is written when an employee decides to leave a


company. It states the reasons for resigning and effectivity of the resignation.

The writer usually includes kind words of appreciation for the company and
express gratitude for the kindness received.

E. Collection Letter- is sent out when credit customers fail to pay their
account on time. It is the least welcome among letters so they require a good
tone.

F. Letter of Recommendation- this letter is written by a person who has been


asked by a job applicant to serve as personal reference. The letter should
give an honest appraisal of the applicant.
G. Letter of Commendation-this is an inter-office correspondence written to
commend a person for exceptional task or act done and inspire more
accomplishing task by uplifting the quality or characteristics of a particular
person.
H. Memorandum- memos for short, are a form of letter typically used for
communication inside the business of the organization. They are usually
brief, lacking a salutation and emphasizing the needs of the readers who
have time to skim the messages only. They are considered public letters
because of their open construction and now processed electronically as e-
mails or faxes.
