1.3 Orderability and First Customer Shipment

Orderability for the Cisco Unified Communications Manager Business Edition 5000 and 6000 8.5
was turned on December 2010.

The First Customer Shipment (FCS) date for the Cisco Unified Communications Manager Business
Edition5000 and 6000 8.5 was January, 2010
nd
Orderability for Unified CMBE 6000 workspace bundle is May 2 2011 and First Customer Ship
th
(FCS) date is May 15 2011.

1.4 Managing Transactions, Fulfillment, and Delivery

Here are some tips to help account teams manage customer orders beyond booking to shipment,
after which deployment can begin.

● Help with Unified Workspace Licensing orders - use the mailto:cuwl-support@cisco.com alias.

● Where to get Software Images - i.e. receiving a DVD or file containing the software image
needed for the install or upgrade:

◦ Use Product Upgrade Tool (PUT) at http://www.cisco.com/upgrade for Major and Minor Release
install images, and upgrade images that span Major Releases. These images are available only on
DVD.

◦ Use Software Center http://www.cisco.com/kobayashi/sw-center/sw-voice.shtml for all upgrade

images that don’t span Major Releases. These images are available as software downloads or on
DVD.

● Where to get Software License files - Product Authorization Keys (PAKs) ship with the media
kits for an order. These must be submitted at http://www.cisco.com/go/license to be converted into
license files that must be uploaded to the Cisco software products. Electronic License Delivery
(eLD) is currently available worldwide. eLD emails PAKs to a designated email address instead of
sending them with the media kits.

Where available, eLD-specific SKUs will be enumerated in the ordering tools.

● Where to get VMware software if purchased from Cisco – Customer will be shipped a paper
document by Cisco containing license agreement, license key and an activation URL with
instructions on how to activate the license key at vmware.com. Customer visits vmware.com,
activates the key, and is then entitled to download software images, media, documentation, and
activate/run the software using the license key.

● Lead Times, Inventory, and Effects on Orderability

◦ Expediting lead time - Product management cannot perform expedites. All expedites must be
requested of and performed by Customer Service at cs-support@cisco.com, or

http://wwwintools.cisco.com/Sales/WWExp/createNew.wwexp?method=goStartDetails&solcatId=&
menu=20&subMenu.

◦ Lead Times are volatile and based on constantly changing supply/demand vs. current order
backlog vs. BU forecast. Typical lead times for Cisco MCS 7800 servers are 3-4 weeks but will

Copyright © 2010 Cisco Systems, Inc. Cisco Confidential/Proprietary Page 5 of 34

Ordering Guide

vary. Some examples of supply/demand factors that affect lead times are below:

Seasonality - Expect higher demand during end of fiscal quarter/year.

Manufacturing process - A new SKU may be on NPH pending completion of required

manufacturing processes. If this situation occurs during a required manufacturing blackout during
fiscal quarter/year end, then lead times will be affected.

Server turnover - As OEM servers approach the end of their lifecycle, it becomes harder to
replenish inventory quickly because server vendors start ramping down their production lines.

◦ If inventories become limited, you will see lead times pushed out as Cisco Manufacturing adjusts
shipment scheduling to be in line with supply capabilities. The Lead Times Tool will provide insight
into expected lead times for newly booked orders.

◦ If lead times become a field/partner/customer problem, Cisco Manufacturing and the BU will
temporarily disable orderability of the affected SKUs to prevent the backlog from further increasing
and making the problem worse. This situation can happen prior to the official End-of-sale date of
the SKU. During the interim, the BU will recommend redirecting orders to alternative products. This
redirection is usually temporary until the supply/demand problem is resolved. Suggested actions:

Check orderability status in Dynamic Configuration Tool or Multi-Line Configurator. SKUs that are
nonorderable prior to their official End-of-Sale date are probably experiencing a supply/demand
problem.

◦ To check lead times prior to ordering, use Lead Times Tool at:

http://www.cisco.com/en/US/partner/ordering/index.shtml

◦ If your lead time is too long to meet customer requirements, then see previous instructions for
“Expediting lead times”.

◦ To shorten lead time on Software Licenses, use Electronic License Delivery.

2. Cisco Unified Communications Manager

Business Edition 5000
2.1 Cisco Unified Communication Manager Business Edition 5000 8.5 highlights
There are a number of significant changes to the pricing and packaging structure of CUCMBE 5000
in 8.5

• One of the key changes in CUCMBE offer is the rebranding and renaming of the
product. CUCMBE 5000 is the new product name, the descriptor 5000 differentiates
this offer from the other two new offers CUCMBE 3000 and CUCMBE 6000.

• Voicemail is now unbundled from the User Connect Licenses. It is now possible to
add Voicemail to a subset of users.

• It is now possible to order two major versions of CUCMBE 5000. Currently 7.1.5b and
8.5.1 are supported.

• CUCMBE 5000 now supports a new version of the MCS7828 server. MCS7828I5 is
supported only with CUCMBE 5000 8.5 software and is currently not supported with
CUCMBE 7.X software.

• It is also possible to order export unrestricted versions of CUCMBE 5000

• CUCMBE 5000 also now supports electronic delivery of licenses. Where possible, it is
strongly encouraged to use eLD SKUs rather than physical-delivery SKUs. Please
refer to the eLD website for a review of the benefits of eLD for customers, partners,
and Cisco: http://www.cisco.com/web/tsweb/edelivery/pilot/edelivery.html.

2.2 Pricing Models

Cisco Unified Communications Manager Business Edition 5000 can be ordered in a couple of
different ways - either independently using User Connect Licensing or as part of a Workspace
Bundle.

Cisco® User Connect Licensing allows customers to license most Cisco Unified Communications
8.0 products* and future releases, including Cisco Unified Communications Essential Operate
Service, on a per-user basis. With User Connect Licensing, all right-to-use (RTU) fees, device-
license-unit (DLU) fees, port licenses, etc. are now converted to a single Cisco User Connect
License. As a result, customers have more flexibility to cost-effectively license unified
communications products. In addition, Cisco User Connect Licensing can be mixed with Cisco
Unified Workspace Licensing, making it easier to do business with Cisco.

Cisco Unified Workspace Licensing Business Edition offers an easy and affordable way for
customers to procure and deploy a broad range of Cisco unified applications and services using a
single per user license. Cisco Unified Workspace Licensing Business Edition includes all the client,
server software licenses, service, and software subscription that facilitates consistent deployment
of multiple applications to all users in their workspace.

Application licenses not included in the bundles can be purchased separately.

Both Cisco Unified Communications Manager Business Edition 5000 licenses require purchasing a
starter bundle. The starter bundles include all the UC server and client software for the applications
included under the licenses, the MCS 7828 server hardware for deploying Unified CMBE 5000 and
licenses for the first 50 users. To deploy Cisco Unified Presence the customer would have to
purchase a separate adjunct server.

Cisco Unified Workspace Licensing – Business Edition requires a prerequisite three-year Cisco
Unified Communications Software Subscription contract which entitles customers to upgrades for
all the client and server application software covered under the license. One-year agreements are
available for government and education customers subject to applicable laws regarding multi-year
contracts. In addition, one-month contracts are available to enable co-termination when users are

added during the course of a three-year contract. A valid Essential Operate Services contract is
required to activate the Cisco Unified Communications Software Subscription contract. Continue
reading this ordering guide for details.

2.3 User Connect Licensing - New Systems and Expansion add-ons (Physical
delivery)
This section covers ordering Cisco Unified Communications Manager Business Edition 5000 using
User Connect Licensing. To order Cisco Unified Workspace Licensing - Business Edition please
skip to section 2.4.

Following are the different types of profiles available under the User connect licensing.

Basic User Connect License is intended for analog-to-IP migrations or other users requiring
minimal set of IP telephony capabilities. The license is limited to one (1) Basic Cisco IP Endpoint,
currently Cisco Unified IP Phone 6911 and 6921 models. Basic IP User License also entitles Mobile
Connect for a user who does not have any mobile client (dual mode or Cisco Unified Mobile
Communicator) or any third-party mobile solution

Enhanced User Connect License Entitles the user to use of a single endpoint of any make or
model, including a hard phone and Soft phone from Cisco or a third party. The Enhanced IP User
License also entitles Mobile Connect for a user who has a mobile client (dual mode or Cisco
Unified Mobile Communicator) or any thirdparty mobile solution. Any user with a mobile client or
third-party mobile solution requires an Enhanced UCL

The Basic and Enhanced IP user licenses include the right-to-use for one phone, and Mobile
Connect for multiple mobile devices for the user. Adjunct User License can be added to
Enhanced IP User license for additional endpoint, softclient, mobile client (dual mode or CUMC) or
rd
any 3 party mobile solution.

Essential User Connect License Entitles one Cisco Unified IP Phone 6901, Fax Machine, or
other analog device like conference phone, modem, etc.

Note: Essential License was formerly known as Analog/App Only License

Public Space Device License This license is used for IP Phones not associated to an individual
such as conference room phones, lobby phones, wall phones, break room phones and other public
space devices may be added to an order.

Voicemail User Connect License is used for adding voicemails to a subset of users or for all
users in the system. This license entitles the user to basic voice messaging capabilities. Advanced
messaging capabilities like integrated or unified messaging, text-to-speech or advanced speech
recognition requires a basic-to-advanced upgrade license.

Cisco Unified Communications Software Subscription (UCSS) is recommended with new

systems and expansion add-ons. All licensed users must have UCSS; no partial UCSS coverage is
allowed. Refer to the UCSS section of this guide for corresponding product part numbers and
prices for one year and mutli-year terms. UCSS is an optional subscription product, except where
noted, that entitles customers to major software version upgrades when linked to a valid current
Cisco Unified Essential Operate Services (ESW) contract. Customers who purchase UCSS receive
major software version upgrades for the duration of the subscription.

Analog Phones and Public Space Devices

Unified IP Phones not associated to an individual such as conference room phones, lobby phones,
wall phones, break room phones and other public space devices may be added to a Cisco Unified
Workspace Licensing order. Likewise, analog phones or other analog devices such as fax
machines, credit card scanners and other such devices that do not require any applications may be
added as well. In both cases only the right to use for the corresponding phone will be provided and
no applications (e.g. voicemail, presence, conferencing or any other applications) may be used with
these phones. Public space IP phones may not exceed 15% of the total devices utilized in a
workspace licensing cluster, and total public space devices (analog + IP) may not exceed 50%.
Analog phones and public space devices are considered users under Cisco Unified Workspace
Licensing, and so require Cisco Unified Communications Software Subscription.

WebEx Connect, or Cisco UC Integration™ for Microsoft Lync – Customer has a choice of soft
client and they may choose one copy of Unified Personal Communicator, one copy of Cisco IP
Communicator, open copy of Cisco UC Integration™ for WebEx Connect, or one copy of Cisco UC
Integration™ for Microsoft Lync per user. If a combination of clients is chosen, the total amount can
be no greater than the number of Unified Workspace Licenses being ordered.

Cisco Unified Video Advantage - Customer has a choice to add Cisco Unified Video Advantage
to their choice of Cisco Unified Personal Communicator or Cisco IP Communicator. Note, an
optional Cisco VT Camera III high definition USB camera is also available for order in a bundled
with Unified Video Advantage.
Hardware
Hardware, such as MCS server for Cisco Unified Presence and Cisco Unified IP Phones are not
included Cisco Unified Communications Manager Business Edition 5000 Workspace Bundle. At
this point in the ordering process, the user should add the hardware appropriate to complete the
deployment by selecting the appropriate top-level SKU for these components.

When selecting IP phones for Cisco Unified Communications manager Workspace Bundle
deployments, there is no need to purchase licenses for the Cisco Unified IP Phones (UCL’s or
DLU’s) as these are included in bundle.
Applications not included in CUWL BE can be purchased ala carte. UCL license can now be mixed
with workspace licensing. So customers can purchase the workspace bundle and order User
connect licenses for users that may not need applications like voicemail or presence.

2.6 Software Upgrades

An upgrade involves changing the Cisco Unified Communications Manager Business Edition 5000
software on a customer’s existing server to a more recent version of Cisco Unified Communications
Manager Business Edition 5000 software.

Customers that currently do not have UCSS should use the following part numbers for ordering
upgrades. The following part numbers allow customers to upgrade from all Unified CMBE releases
that support direct upgrade path to 8.5 release and migrate to the new User Connect Licensing
model at the same time.

Please check the version compatibility matrix posted on the following site for direct software
upgrade paths supported for each one of Unified CMBE 5000 releases.

http://www.cisco.com/en/US/products/sw/voicesw/ps556/products_device_support_tables_list.html

There are two upgrade options.

1. Upgrade with UCSS (and convert to UCL) – This option allows customers to migrate to the
user connect licensing model and obtain the media kits for software upgrades to Cisco
Unified Communications Manager Business Edition 5000 8.5. The offer requires UCSS
for 3 years or more and the configuration tool will enforce mandatory selection of UCSS

Ordering Guide

Customers can leverage the upgrade part numbers (both ala carte upgrade
as well as the 3x3 upgrade promotion) to migrate phone, user. Software
licenses from Unified CME or CM environments. All migrations require the

VMBAS
3) Select version, VERSION-8.X
4) Order mandatory UCSS for 100 usersUCSS-BE-KENH-3-1 qty 100,

3. Cisco Unified Communications Manager

Business Edition 6000
3.1 Pricing Models
Cisco Unified Communications Manager Business Edition 6000 can be ordered in a couple of
different ways - either independently using User Connect Licensing or as part of a Workspace

5. Cisco Capital Financing

The significant benefits offered by Cisco Unified Communications make it the natural choice to
replace traditional PBX systems. As with any technology investment, the question is the
affordability of the new system. The answer is financing from Cisco Capital. Whether through

expenditure with an operating lease, we can give you access to the right Unified Communications

Ordering Guide

technology for your business, right when you need it.

Removing Sales Barriers:

Typically, Cisco Capital can help remove or reduce the barriers preventing organizations from
obtaining the technology that can most benefit their businesses. Cisco Capital can:

● Remove cash flow issues, allowing the company to spread the cost of its investment over a
number of years
● Offer flexible repayment terms matching expenditure to benefits, which means that
payments can be timed to coincide with business benefits that may be seen later in the
project, or deferred to meet a company’s budget cycle
● Turn capital expenditures into operating expenditures through an operating lease that
enables companies to benefit from the residual value of the technology upfront and because
no one knows Cisco equipment like Cisco, you can be sure of market-leading residuals
● Provide a sale and lease-back arrangement (where available) that softens the initial costs
by taking on existing commitments that may be attached to legacy equipment

Tips for Taking Advantage of Financing to Accelerate and Close More Business:
● Consider financing early in the deal cycle: This will save time later and help get you paid
faster.
● Get your customer pre-approved for a credit line with Cisco Capital: By showing the
customer they can afford more than they though they could, you can pave the way early on
for growing the deal size. It is recommended you do this as early as possible in the
customer discussions/deal cycle.
● Provide a lease quote with every proposal: You can do this by contacting your local Cisco
Capital team. And, in some markets, Web-based tools are available so you can quickly
generate your own lease quotes.
