•15% EXCESS OF MINIMUM GAURANTEE AGREED RATE WILL BE CHARGED.
•ABOVE 15% OF MINIMUM GAURANTEE 20% EXTRA ON AGREED RATE WILL BE CHARGED.

TERMS AND CONDITIONS
1. In case of corporate bookings where Sayaji has granted credit facilities, booker needs to
provide confirmation letter through authorized booker. Non-receipt of confirmation letter
within one working day of booking may cause cancellation of the booking.

2. ADVANCE:-
a. 30% of the estimated billing initially to confirm the booking.
b. Balance amount of the final estimated billing on or before 15 days of the function/event.
c. In case of any changes in the number of person after the full amount as per the guaranteed
figures, the balance should be paid before 24hr of the function. Any balance amount in case
of unexpected increase in the number of persons should be paid immediately at the end of
function on very same day. (Only Cash or Credit Card).
d. 20% of the final estimated billing as security amount on or before 15 days of the function.
This can be paid by way of account payee cheque of same account.
e. In absence of advance as above, the booking can be cancelled without any further
communication with the customer and we shall not be liable for any consequences due to
such cancellation.

3. BILLING:-
a. The representative(s) of the Sayaji Hotel and the customer will jointly count the number
of persons and number of plates and whichever is higher will be billed accordingly.
b. If number of guests/plates are more than minimum guaranteed then billing will be done at
actual number of guests/plates otherwise it will be done for minimum guaranteed.
e. F&B Rates mentioned in the function prospectus will be charged. No discounting allowed
for child etc.
f. Taxes will be charged as may be applicable at the time of billing.
g. The rates of the package can be changed without prior intimation before confirmation.

4. FUNCTION DETAILS & OTHER INFORMATION:-


Customer should provide following information promptly on or before 15 days of the
function. Non-submission of the same, may cause cancellation without further
communication.
a. Complete details regarding billing i.e. in whose names billing will be done.
b. PAN card copy of the billing names
c. TCS: “TCS @ 1% would be required to be paid in addition in case, if cash Sale in goods/
Services in cash exceeding Rs. 2 Lakhs.
d. Complete addresses of all billing names
e. Complete menu finalization and décor finalization
f. Minimum guaranteed guests for each function.
5. CANCELLATION POLICY:-
a. If any function is cancelled within 45 days prior to function date no refund & no
adjustment in any other function of advance amount.
b. If any function is cancelled within 46- 60 days prior to the function date then only 50% of
advance amount would be adjusted in next function (fresh booking) within a year from the
date of cancellation. Rest of amount would not be refunded or adjusted.
c. If any function is cancelled above 60 days prior to the function date then only 75% of
advance amount would be adjusted in next function (fresh booking) within a year from the
date of cancellation. Rest of amount would not be refunded or adjusted.
d. If time gap between booking date and function date is less than 60 days and:
i) If function is cancelled before 15 days of the function date then 100% advance would be
adjusted in next function (fresh booking) within a year from the date of cancellation.
ii) If function is cancelled within 15 days of the function date then 50% advance would be
adjusted in next function (fresh booking) within a year from the date of cancellation. Rest of
amount would not be refunded or adjusted.
e. Tentative bookings:-will be held for a period of 03 days only, after which time, the
space/hall will be released.
f. Note: above percentages will be calculated on 30% of the tentative billing amount.

6. OTHER TERMS:
a. The Hotel undertakes the responsibility of providing food for not more than 15% extra
persons above the minimum guaranteed numbers on given during the booking on agreed
rates. Any increase above 15% will attract a 20% extra charges on the food value. Food will
be supplied only as per available resource in case of such increase of pax.
b. Hall should be vacated on or before the end time stated in the contract.
c. We do not provide quarter plates in any of our counters.
d. We do not allow any outside vendor for any kind of services.( only authorized vendor of
hotel is allowed).
e. Bar Service:-will be available till 10.30 pm as per excise rules.
f. Licenses & Govt. permissions:- original copy of Bar License for cocktail party, Music
license for live music, Live performances, Recorded Music etc and any other necessary
permission required from Local administration would be obtained & submitted by
customer/party/event company to hotel 48 hours prior of the function.
g. Music-D.J/Orchestra/Ghazal program/Live music/performances is allowed till 10.00 pm
only as per Govt. rules.
h. Dhol is not allowed in the hotel premises.
i. Damages: - The customer is responsible and agrees to indemnify Sayaji Hotel for any
damage to the hotel properties by him or his guests.
j. Delivery & collection of goods:- The hotel will only accept delivery of goods one(1)
working day prior to event and all goods must be collected within two(2) working days after
the conclusion of the event. The hotel does not accept any responsibility for any items
delivered or left for collection these may be collected from the receiving area of the hotel
within the stipulated working hours.
7.COVID CLAUSE:-
Considering the current COVID 19 situation the following protocols need to be followed by
all the guests
a. Event closing time – 11.00 pm
b. All the guests should be carrying their masks and need to wear them at the event area
also.
c. It is mandatory to follow the strict social distancing by the guests.
d. Temperature check and Hand sanitization is a must at the time of entering the hotel
premises.
e. In case of the complete Lockdown, the event dates can be postponed as per the
availability of the venue and for the same the quotation will also be revised as per the rates
available on the date of the fresh booking for the postponed dates.
f. In the case of postponement due to lockdown the advance amount will be adjusted in the
next function (fresh booking) within a year from the date of the cancellation.
g. In case of COVID 19 worst case scenarios, the flow of the event will be as per the
Government Guidelines rolled out for that particular period.

8.HOTEL WILL NOT BE RESPONSIBLE FOR ANY THEFT OR LOSS OF


PERSONAL VALUABLES OF THE GUESTS.
