Assessment Task 1 - Plan and create a work schedule


Performance objective

In this assessment task you are required to develop a work plan and schedule for you and your
workgroup.

Assessment description

The task is designed to be applied to your workplace. You are required to work collaboratively to
produce a work plan, description of work roles and responsibilities, contingency measures, work
schedule and record of adjustments made during implementation/completion.

Procedure
1. Select an existing or upcoming task/project from your workplace that requires a work plan,
schedule and the participation of others in order to complete. You will need to include at least
two colleagues for this assessment.
2. Speak with your trainer/assessor to confirm the suitability of your choice. If you do not have
access to a suitable workplace, discuss alternative options.
3. Create a work schedule report outlining:
a. the project you undertook
b. Identify your work objectives and complete a work plan. You may use the template
provided in Appendix 1 on Moodle Soft copy of Appendix 1 will be provided on
Moodle.
c. Assign job roles and responsibilities for each team member. You may use the
template provided in Appendix 2 on Moodle. When assigning job/task roles,
consider the individual skills and knowledge of each participant, client needs,
resources available and targets for the project or task.
d. Analyse and prioritise work objectives in your plan to complete a work schedule for
yourself and each team member. Be sure to communicate your own work plan to the
other team members. You may use the template provided in Appendix 3 on Moodle
e. Select a business technology to schedule tasks and plan work, e.g. Outlook, Google
Calendar, Excel, or any other. Explain why you chose this specific business
technology to track and complete this task. What are the advantages of using this
technology?
f. Write down possible obstacles to the achievement of the work plan and develop
contingency plans to deal with them should they arise.
g. Ensure you monitor activities to measure achievement of objectives and performance
of team members. Write down the methods you will use to monitor progress in
accordance with organisational requirements

2. Schedule time for work activities to ensure that the work is completed as efficiently and
effectively as possible.
3. Follow your work plan and work schedule to complete the work.
4. As you are completing the work, monitor how the work is progressing against objectives and
make any adjustments to the work schedule if necessary.

● your ability to plan and schedule work tasks

● demonstration of your knowledge of interpersonal and consultation skills

The business technology we choose to schedule tasks and plan work is Google Calendar. Google
Calendar is a free web and mobile calendar that lets you keep track of your own events and share your
calendars with others. It's the ideal tool for managing personal and professional schedules. It is both
simple to use and very powerful. By only having a Google account, each of the staff have access to
Google Calendar. If you download the free Google Calendar app for iOS or Android, you'll have easy
access to your appointments while you're on the go. Best of all, when you add an appointment to your
calendar on one device, it immediately syncs across all your devices to ensure you're always seeing the
most up-to-date information.

Methods to monitor progress in accordance with organisational requirements:


1. A regular meeting within the manager and owner will be held every week.
2. Book record for every goods ordered to supplier will be check as daily routines.
3. Goods damaged will be return to the supplier and will be also recorded.
4. Expiry date of goods will be checked regularly every months, and the upcoming expired goods will
be displayed near the counter cashier.
5. Rules of first come first go to avoid expiry goods.
