The role and impact of technology in both the personal and working lives of

people are ever-growing. Understanding how people shape technology and how

technology shapes people's interactions with each other and the natural world is

important. Not only for those who research, develop, and implement new technologies

but also for those people and organizations who are using these technologies for work

and other aspects of daily living.

In this project, the proponents designed and developed a management system for

Watermax Enterprises to reduce the amount of work and time being consumed in

performing a vital task such as sales monitoring and inventory management. The

developed system provides more efficient way of managing products, inventory,

recording of sales transactions, and generating reports. The system also provides

information regarding customers information, orders, sales transaction, generation of

receipt and contract, inventory details, and reports, such as sales report and inventory

report that are stored to facilitate faster retrieval. It also provides a portal for the

customers for processing their orders, viewing information about the packages, products,

and services that the company offers.

The proponents conducted an interview to identify the existing process of the

current system, problems encountered with the manual process, and identify the features

to be integrated into the system to maximize the system’s functionality. The proponents

used the Rapid Application Development as the basis for the development of the

Watermax Enterprises Management System.

The Watermax Enterprises Management System is a web system that makes use

of different application programming interfaces. The system was developed using

Hypertext Mark-up Language, Cascading Style Sheets, and PHP as well as MySQL for

the database. The implementation of the proposed system requires various resources such

as hardware, software, and people. A web server is also required to host the system and

enable the end-users to access the system.

The usability of the system was measured using SUMI which focused on

Efficiency, Affect, Helpfulness, Control, and Learnability. Based on the results of the

usability testing, the system was able to meet the expectations and requirements of the

company which makes it usable.

Chapter 1

INTRODUCTION

The role and impact of technology in both the personal and working lives of

people are ever-growing. Understanding how people shape technology and how

technology shapes people's interactions with each other and the natural world is

important. Not only for those who research, develop, and implement new technologies

but also for all those people and organizations that have to use those technologies in their

working and personal lives. Technology concerns itself with understanding how

knowledge is creatively applied to organized tasks involving people and machines that

meet sustainable goals. There are three important aspects to this definition: technology is

about taking action to meet a human need rather than merely understanding the workings

of the natural world, which is the goal of science; it uses much more than scientific

knowledge and includes values as much as facts, practical craft knowledge as much as

theoretical knowledge; and involves organized ways of doing things (Lane, 2019).

Situation Analysis

Watermax Enterprises is owned by Mr. Alfred Maximo located at Alcala,

Pangasinan. They offer high-quality products and systems for water refilling stations. The

company has proven its credibility, complete one-stop for all necessary materials and

with high-efficiency equipment. Today, the company is enjoying continued patronage

and loyalty from its clientele and is looking forward to sustaining its growth in the future.

However, Watermax enterprise still using a manual process that makes the transactions

slow. The proponents designed and developed a web-based management system for

Watermax Enterprises that can solve the problems encountered using the manual process.

Significance of the Project


The proposed system will be beneficial to the following:

Watermax Enterprises. This project would help the company to monitor the

sales of the product and to reduce the time consumed for computing the sales as the

system provides an easier and efficient way to perform these tasks.

Administrator. This would provide an accurate and reliable transaction to make

the task easier. It also helps lessen the amount of time consumed to provide better

services and accommodate the needs of the customers.

Customers. Through this system, they can keep track of their records regarding

their payment and the product/s they bought.

Proponents. This will enhance the knowledge of the developers concerning

management systems that they can use in developing more improved management

systems.

Future Developers. This project would act as a guide to the future developer on

how to work and practice their gained knowledge in developing a system. The future

developers can get an idea from this project and will help them developed a much better

project.

Scope and Limitations of the Project

The proposed project entitled Watermax Enterprises Management System

includes customers record, product inventory, sales transactions, and generating sales

report and inventory report. The system will consist of some significant modules to

satisfy the requirements of the company as well as the employees.

The project Watermax Enterprises Management System has four levels of

security, namely: administrator, sales agent employee, inventory personnel, and

customer.

The administrator has complete control of the system and is capable to manage

different information and resources for the system such as user type and employees

record and account. The admin can also manage the product category, brand, product,

package, services, supplier info, freebies, promo or discount, and orders. In addition, the

admin is also responsible for monitoring and maintaining customers information and their

account, sales transaction, delivery and installation, contract. Lastly, the admin can

generate sales report and inventory report.

The sales agent employee is capable to manage and monitor customers

information and the sales transaction. The sales agent employee is also responsible for

managing and monitoring customers payment, contract, and can generate sales reports.

The inventory personnel is in charge of keeping track of the products. The

inventory employee can manage the information about the stocks and inventory of the

products. This user can monitor the quantity of each products. For easy monitoring, the

system also includes a notification about the status of each product.

Customers can track their records such as their orders and payments. The system

allows the customer to view and avail the packages, products, and services that the

company offers. Lastly, the customer can view the status of their order, transaction

history, and payment history.

However, the system is delimited to online payment. The system can only accept

payments on a cash basis and does not support electronic payment such as credit card and

e-wallet. The system is also delimited to mobile applications, and it is only intended as a

web-based management system.

Definition of Terms

These are the following technical terms defined to help readers understand the

documentation content on how the proposed project will be developed.

Administrator. An administrator is a person responsible for the overall features

of the system.

Inventory. It is one aspect of the proposed system that deals with the

management of stocks of supply in the Watermax Enterprises Supply.

Machine. It refers to the materials ordered by a customer.

Management System. It is a computerized system of a company.

Online. It is used to control projects and information technology to lessen human

works in the production of goods and services.

Sales. In this project, it refers to the profit earned in selling products.

Supply. It is a fundamental economic concept that describes the amount of a

specific good that is available to consumers.

Watermax Enterprises. An enterprise or a shop for water refilling station

accessories and parts.

REVIEW OF RELATED LITERATURE

As the proponents conceived the idea of developing a Management System for the

Watermax Enterprises, several related literature were gathered that served as the basis for

the developers to fully understand all aspects concerning the system. The following are

the related literature that helped the developer conceptualize the idea of developing a

Management System for the Watermax Enterprises.

R. Kumar (2020) stated that a manual system includes users are maintaining

ledgers, books etc. to store go downs, customer details as well as employee details. It is

very difficult to maintain historical data. Also, regular investments need to purchase

stationary every year. Some of the important business operations are estimating the

requirement of new raw material, dealing in the production of purchase order, purchase

invoice, sales invoice, and debit note. All these operations are performed by a team of

skilled members which are prompt in financial calculations and have a sharp memory.

The operations are handled in an effective way, but the process is time taking and

subjected to human errors.

According to James and Rashid (2016), most of the problems encountered with

the old (manual) system were inefficiency in record tracking due to over reliance on

paperwork, wastage of office space due to compilation of manual files. Also, poor

storage, retrieval and manipulation of data when required; a lot of time was normally

wasted while trying to carry out all these. K. James and T. Rashid (2016) added that

other company uses manual ledger systems that results in a lot of undesired drawbacks.

There is a lot of time wasting since the information is first written on hard copies then

typed into a spreadsheet program. It takes a very long time to search for a particular

record with the current system and lots of paper and ink are wasted too. This makes the

system very inefficient. With flat files, data duplication is a common problem that results

in all sorts of problem such as update and delete errors just to mention but a few. Since

the manual ledger system can easily be manipulated and ledger books can also get lost

thus leading to loss of data which is very vital for the company; this makes the system

insecure.

Santiago et al. (2016) stated that using a manual inventory system may cause to

duplication of documents and work redundancy. Some businesses are depending on their

manual listing of products and inputs of data which is possible to commit errors. Some

businesses can’t view their proper records of sales or income in a given time of the year.

It also doesn’t have its proper listings of product.

In the study published by Dahiru (2020) entitled “Design And Implementation Of

An Inventory Management System”, an automated Inventory Management System (IMS)

was developed to effectively and efficiently manage the inventory of Walid Halal Spices

in their store.

The project that was implemented is an Automated Inventory Management

System for the company which was covering the storage needs of all the products that the

company possesses, and placing orders made by the registered customers in the system.

The system was able to input and update information about products in the stock, view,

and search for information about different users, customers, vendors, products, and orders

of the customers. The system also allows the admin to record all information about

products purchased, products sold and those remaining in the store. The system is able to

export all the records stored to Microsoft excel as reports for analysis and to generate

sales report. The developers used Rapid Application Development for it is an object-

oriented approach to software development that includes a method of development as

well as software tools (K. James and T. Rashid, 2016).

M. Mejs (2019) defined usability testing as the key to design validation. Usability

testing is more concerned with the design intuitiveness of the product and tested with

users who have no prior exposure to it. The first stage in conducting usability testing lies

in deciding on the type of testing required and the measures through which success will

be defined. A prototype with the functionalities you’d like to test therefore must be

prepared, alongside a scenario of the behavior expected of the participants. It’s also

important to create a test environment that reflects the environment the end product will

be used in. The second stage is where you’d need to pick and invite a sample of the

population your end product will be used by. The third stage is where the data from stage

two is analyzed. The feedback gathered through this can reveal issues with something as

specific as the order of buttons or give rise to a completely new functionality that would

make the products user experience better. 

According to Sauro and Lewis (2016), standardized usability questionnaires are

questionnaires designed for the assessment of perceived usability, typically with a

specific set of questions presented in a specified order using a specified format with

specific rules for producing scores based on the answers of respondents. One of the

commonly used questionnaires for post-study is SUMI (Software Usability Measurement

Inventory). Almost all of the questionnaires have undergone some type of psychometric

qualification, including assessment of reliability, validity, and sensitivity, making them

valuable tools for usability practitioners. The SUMI measures users’ perception of the

Efficiency, Affect, Helpfulness, Control and Learnability of a system.

Synthesis

Some many existing studies and projects are similar and related to the proposed

system. Most of the studies above shows the same processes as monitoring of stock

availability of the product and monitoring of sales activities for faster way of generating

reports. In addition, the features include in a computerized sales and inventory system

was shown in the study of T. Dahiru (2020), it shows that the admin inputs all the current

stock and can be able to update if there should be any changes. Monitoring all the sales

activities can be done by simply printing the report sales. Tracking the quantity of goods

available in the store, or if need be, for a restock. Also, the admin can be able to generate

report on all the activities of the store. In addition, in the study of K. James and T. Rashid

(2016), in an inventory Management System, it must be able to input and update

information about products in the stock and allows the admin to record all information

about products purchased, products sold and those remaining in the store.

Moreover, the proposed system shows more similarities in the study of K. Wong

(2019), for the system provides computerized searching of inquired products and it will

generate accurate records in the inventory. Also, it is able to generate monthly sales and

inventory report. The manager will be the admin that will manage to add staff and

products, update and delete records for the database after adding the staff. Yet it differs in

generating sales and inventory report because the proposed system can generate daily

reports.

In the study of K. Matillano (2019), the proponent developed a system to provide

an efficient tracking of the inventory products and records, to maintain accuracy in the

computation of products and give security to their personal and transaction records. This

Sales and Inventory System provides computerized information record of the staff; easy

management of staff, inventory, and sales transactions; secure storage of accounts,

inventory, and transaction records; and provide computerized sales and inventory report.

In summary, the amassed literatures have contributed a lot to conceptualize this

study. The proposed system is similar to the previous studies, however, it differs in

generating of inventory and sales report which can be performed daily. The system also

provides a customer portal where they can order products and packages and also where

they can avail services for the maintenance of their machines. More than that, these

literatures also served as a guide for the developer to identify the features and

advancement that was incorporated on the developed system.

Conceptual Framework

The developers had used the conceptual framework patterned on the Input-

Process-Output Model (IPO). The IPO model provides the general structure and guides

for the direction of the project.

Figure 1 illustrates the existing processes in the current system, problems

encountered in the current system, and the features of the system as inputs for the

development of the system.

Research and observation about the existing process in the current system were

conducted. To better understand the system requirements, interviews were conducted.

These inputs were essential factors in the generation of the system’s specifications.

These inputs were transformed to their expected output, using the rapid

application development methodology that comprises requirements planning, user design,

construction, and cutover phases. The result was the Watermax Enterprises Management

System. To have a better overview of the methodology used in the developed system,

please refer to Figure 2.

Chapter 3

METHODOLOGY

This chapter gives an outline of study methods that the proponents followed in the

project. It also presents the research design, population and sample of the study, research

instruments, data gathering procedures, and analysis of the data.

Project Design

The proponents used descriptive- developmental research design for the

Watermax Enterprises Management System.

Descriptive research, also known as statistical research, describes data and

characteristics about the population or phenomenon being studied (Reeves et al., 2010).

Developmental research, as opposed to simple instructional development, has been

defined as the systematic study of designing, developing, and evaluating processes, and

products that meet the criteria of internal consistency and effectiveness. According to

Akker (2000), developmental research has two main types. The first type is the so-called

formative research which focuses more on the impact of the product on the organization

while the second type is the so-called reconstructive studies which are oriented toward

the general analysis of design development or evaluation processes of a product as a

whole or as components.

Rapid Application Development has four (4) phases: Requirements Planning,

User Design, Construction, and Cutover. Figure 2 presents the graphical representation of

the RAD model.

Requirements Planning. According to A. P. Morse (2016) during this initial

stage designers, developers, and users come to a rough agreement on project scope and

application requirements, so that the future stages with prototyping begin. During this

stage, the proponents communicated with the owner of Watermax Enterprises to

determine the goals and expectations for the project as well as current and potential issues

that would need to be addressed during the build. In doing so, the proponents prepared a

guide questions pertaining to the relevant processes in the organization and conducted an

interview with the owner.

User Design. According to A. P. Morse (2016), user feedback is gathered with a

heavy emphasis on determining the system architecture. In this phase, the proponents

developed a prototype showing the different features of the proposed system.

Construction. According to A. P. Morse (2016), the construction phase is where

most of the actual application coding, testing, and integration takes place. In this phase,

the proponents started building the project. They started started coding using (PHP)

Hypertext Pre-processor as the scripting language and MySQL as the Database

Management System.

The proponents used Cascading Style Sheet and Adobe Photoshop for the design of the

proposed system.

Cutover. According to A. P. Morse (2016), the final cutover stage allows the

development team time to move components to a live production environment, where any

necessary full-scale testing can take place. In this phase, the proponents implemented the

proposed system while the coders and clients continue to look for bugs in the system.

Population and Locale of Study

The project was conducted in Watermax Enterprises in Alcala, Pangasinan. An

interview with the supervisor of Watermax Enterprises was conducted to determine what

and how the work is done inside their office. The other employees were also interviewed

about their job and to understand the different processes inside the organization. The

gathered information was analyzed to determine the problems they encountered with the

existing process.

In addition, to gather more important data needed in the study, a survey

questionnaire answered via Google Forms was administered by the Watermax Enterprises

employees and customers.

The total population of this project was chosen randomly using the Slovin’s

formula as shown below.

Data Instrumentation

The following are the data gathering tools that will be used by the proponents to

further describe the needed information about the respondents.

For Objective No. 1 and No. 2, the proponents used structured interview as the

first method in gathering data and information for the system's development. For

Objective No. 1, the interview focused on understanding the process of the employee’s

designated work. For Objective No. 2, the interview focused on determining the problems

encountered in the company’s current process of their work.

For Objective No. 3, the proponents used prototyping tools to present

visualizations of the design of the system to understand the look and feel of the final

product and to gain insights into how real users would use the product.

For Objective No. 4, the proponents used an online survey questionnaire based

on Software Usability Measurement Inventory (SUMI) focusing on: (a) Efficiency, (b)

Affect, (c) Helpfulness, (d) Control and (e) Learnability. This will help the proponents to

study how the end-users will use the system and their preferred features. This was used

for measuring the usability of Watermax Enterprises Management System according to

the user’s evaluation.

Data Analysis

This section involved the tools which will be used in data analysis to gather and

interpret the data that is needed in the production of the requirements in the development

of the system.

For Objective No. 1, the data gathered from the interview guided the proponents

about the needed data and information that are necessary in the development of the

system. Data Flow Diagram will be utilized to visually represent the manual processes.

For Objective No. 2, the data gathered from the interview allowed the proponents

to identify and analyzed the existing problems that the organization encounters with the

manual process.

For Objective No.3, the proponents used the Entity Relationship Diagram (ERD)

for the database design of the system. The Data Flow Diagram was used to visualize the

flow of the system and get a picture of the functionality needed for the system.

For Objective No. 4, the data was gathered from the SUMI questionnaire. The

proponents computed the overall mean based on the responses of the testers. The mean

was interpreted using the 5-point Likert Scale shown in Table 1.

The responses that will be ranging from 2.61 – 5.00 will be interpreted as usable,

satisfactory, and easy to use for which the system has met the requirements of the users.

Responses ranging from 1.00 – 2.60 will be described as not usable for which the system

did not meet the requirements of the users.

Description of Initial Prototype

The initial prototype of the system as shown in the plates served as a guide to the

proponents in finishing their proposed system.

correct, then the system would automatically link them to their homepage and could use

all the available features of the system.

Proposed Implementation Plan

The Watermax Enterprises Management System is a web system that makes use

of different application programming interfaces. The system was developed using

Hypertext Mark-up Language, Cascading Style Sheets, and PHP as well as MySQL for

the database. The implementation of the proposed system requires various resources

such as hardware, software, and people. A web server is also required to host the system

and enable the end-users to access the system.

Features of the Watermax Enterprises Management System

This provides the summary of the expected features that the system must possess

in order to perform its functionalities.

The Watermax Enterprises Management System will be the official site of the

Watermax employees and their customers. This time, workflow of the system can be

considered as dissimilar with the current system wherein operations are done manually.

To start the process, data serves as the inputs. The data entered by the users will

be directly stored to the database. The system provides information regarding customers

info, customers’ orders, sales transaction, contract, inventory details, and reports, such as

sales report and inventory report that are stored to facilitate faster retrieval.

The feature that each user can access depends on their user type inside the

company. Some features are not accessible by a typical employee and can only be

accessed by the supervisor of the company. The system also provides a portal for the

customers for processing their orders online, viewing information about the packages,

products, and services that the company offered. This portal will be exclusively accessed

by the existing customers of the company.

To start with the system walkthrough, the index page is shown in Plate 5.

Plate 5 shows the employee’s index/login page of the system. This page will ask

the employee to enter its username and password to login with the system. The system

allows the admin, sales agent, and inventory personnel to log in to their account by

entering their default username and password given by the admin of the system. The

login page will automatically determine the role of the user based on their account ID. If

successfully logged in, the user will be redirected to the homepage intended for a

particular role of the employee.

Profile of the Testers

In testing the level of usability of the developed system, the proponents conducted

a survey to a group of users which includes the store supervisor, sales agent, inventory

personnel, and customers. Table 2 shows the profile of the testers.

The total numbers of respondents are 30. Among the 30 testers of the application

13 or 43% are male while the remaining 57% or 17 are female which dominates the entire

population of the testers.

In terms of age group, a respondent whose age ranges from 21 to 30 years old

covers 67% of the entire population. Majority of the testers or respondents came from

this age group. It can also be observed that only 1 or 3% of respondents has age ranges

form 31-40. While there are 9 or 30% whose age are in range of 18-20 years old. Lastly,

none of respondents or testers has age greater than 40 years old.

Usability of the Watermax Enterprises Management System

To test the usability of the developed system, the proponents conducted a survey

to the supervisor, sales agent employee, inventory personnel, and customers of Watermax

Enterprises, who were the expected clients / users of the Watermax Enterprises

Management System.

There are 27 respondents from the customers and 3 respondents from the

Watermax Enterprises, who took part in the survey. The usability of the developed

system was determined using the Average Weighted Mean (AWM). The computed mean

was interpreted based on the Likert scale presented in Table 1.

Table 3 shows the assessment of the testers towards the usability of the developed

system in terms of efficiency.

which users feel that the software assists them in their work and is related to the concept

of transparency. As shown in Table 3, the usability testing result of the developed system

in terms of efficiency has a computed mean of 4.33 which is interpreted as usable. This

means that the system is efficient to use, it is easy to do what the end-user want, and the

system is consistent.

Chapter 5

SUMMARY, CONCLUSIONS, AND RECOMMENDATIONS

This chapter presents the summary of the findings based on the objectives of the

project, the conclusion drawn from the findings and the corresponding recommendations

given based on the result of the project.

SUMMARY

The proponents designed and developed the management system for Watermax

Enterprises that solved the manual process that the company have. The proposed system

provides more efficient way of managing products, inventory, recording of sales

transactions, and generating reports. The developed system also provided a portal for

customers to conduct online ordering of packages, products, and offered services.

The main objective of this project is to design and develop a management system

for Watermax Enterprises to reduce the amount of work and time being consumed in

performing a vital task such as sales monitoring and inventory management. More

specifically, the project described the existing process that is currently implemented by

the company. In addition, the project also identified the problems encountered by the

stakeholders with the current process. The project also showed the features integrated in

the developed system. Lastly, the usability of the developed system was measured in

terms of efficiency, affect, helpfulness, control, and learnability.

To achieve these objectives, the proponents conducted an interview to identify the

existing process of the current system, problems encountered with the manual process,

and

identify the features to be integrated into the system to maximize the system’s

functionality. The proponents used the Rapid Application Development as the basis for

the development of the Watermax Enterprises Management System.

On the other hand, major findings as based on the problems were also presented.

Based on the research problems, the following findings were presented:

The Watermax Enterprises is using manual processes that includes recording and

managing their client’s information in a different spreadsheet, generating sales reports

and paper-based products inventory.

There are problems that arise because of the manual system used by the

institution, such as: (1) record keeping and data retrieval of their customers; (2) recording

and storing customers info with their transactions in different spreadsheets; (3) manually

computing their monthly sales for generating their sales report; and lastly (4) paper-based

products inventory.

The features of the developed system include implementation of the business

rules and specified system requirements. The system provides information regarding

customers info, customers’ orders, sales transaction, printing of receipt and contract,

inventory details, and reports, such as sales report and inventory report that are stored to

facilitate faster retrieval. The system also provides a portal for the customers for

processing their orders online, viewing information about the packages, products, and

services that the company offered.

A survey focused on Efficiency, Affect, Helpfulness, Control, and Learnability

was administered to test the system’s usability. Based on the results of the usability

testing, the system was able to meet the expectations and requirements of the company

which makes it usable.

CONCLUSION

Based on the analysis of the gathered information, the proponents arrived at the

following conclusion.

1. The system provides an efficient and easy way for the employee to record and

manage customers info with their sales transactions, generating sales report,

monitoring and updating of their inventory, and generating inventory report.

2. The system provides an efficient and easy way for the customer to order package,

product, or avail services online, and for monitoring their past orders and

transactions with the company.

3. The features of the system are considered and incorporated to come up with the

functionalities of the system. These functionalities include the different system

features that would help the company to easily store and manage relevant

information.

4. The summary result of the developed system was interpreted as usable in terms of

Efficiency, Affect, Helpfulness, Control, and Learnability, and has met the end-

user’s needs.

RECOMMENDATIONS

Based on the findings and conclusions of the study, the following

recommendations are proposed.

1. The proponents recommend the implementation of the Watermax Enterprises

Management System to aide in the problems encountered in the current

system.

2. The system must be updated relative to the needs of the users.

3. For the development of similar system that uses the same technology as the

proposed, the RAD methodology is advised.

4. Since the results of the usability tests were usable in terms of Efficiency,

Affect, Helpfulness, Control, and Learnability, the proponents recommend

using the developed system.
