THE BACKGROUND OF THE STUDY
INTRODUCTION
1.1 Project Context
Dental Clinic is an organization that is responsible in providing a health
medication and treatment for all types of dental patients. Surely, everyday there are
people that need to use the dental clinic services. But how can clinic provide a faster
and efficient services if they are still using the traditional method on their daily
operation? The traditional method means the customers need to fill in their detail in
registration form manually and the information will only keep in files. After the
registration, the files will be place in the rack and this will cause problems like taking
a longer time to retrieve the information, make mistakes during writing or misplaced
the files.
The main reason why online scheduling appointment system is gaining
popular nowadays because it helps much for the patient to make appointments in
easiest way and hassle-free process to different doctors, clinics or hospitals. Simply
done by using computers, accessing a software or website and making an
appointment, instead of personally going to hospitals and wait for hours just to make
an appointment for the next coming weeks or months (Irin et al., 2016).
As proponents, this study aims to propose the Scheduling and Digitization of
Rescar Dental Care Clinic’s Patient Information System to be specialized and
designed to allow the clinic to have high efficiency management tools, computerized
and systematic patient’s record, and detail of treatment records. The digitization of
patient records opens rich possibilities for medical professionals: in particular, search
capabilities to instantly access and process patient data, automated reminders to avoid
medication errors, improved information sharing across the medical team, and
increased transparency by ensuring both complete and legible documentation of the
patient’s condition. This system also has an appointment feature that allows patients
to view appointments that have already been made by doctors/dentists. This new
system will replace the clinic’s current system, and it is expected to improve clinic
services and make daily operations run more smoothly.
1.3 Objectives
General objective/statement:
This study aims to design and develop scheduling and digitization of patient
information system that would help Rescar Dental Care Clinic to their daily
transaction.
Specific objective/Statement:
Specifically, this project aims to achieve the following objectives:
To design a system that will cater the on-site scheduling and digitization of
patient record.
To develop an organize platform that will generate the history record of the
patient.
To develop a system that will upgrade the manual checking of patient
information into digital or computerized format.
To design a system for the Rescar Dental Care Clinic to serve as their
management platform in doing Digitization and Scheduling of patient
information.
Digitization – it is the process of changing from analog to digital form, also known as
digital enablement. Said another way, digitization takes an analog process and
changes it to a digital form without any different-in-kind changes to the process itself.
Health care – it is the various services for the prevention or treatment of illness.
Information - facts provided or learned about something or someone.
Medical treatment – means the management and care of a patient to combat disease
or disorder.
Patients – an individual awaiting or under medical care and treatment.
Patient Record – a patient record is the repository of information about a single
patient. This information is generated by health care professionals as a direct result of
interaction with a patient or with individuals who have personal knowledge of the
patient (or with both).
Platform – a digital service that uses the internet to facilitate interaction between two
or more separate interdependent user.
System - a system is a collection of elements and procedures that interact to
accomplish a goal. The function of many systems, whether manual or computerized,
is to keep an organization well managed and running smoothly.
Scheduling - the process of assigning individual patients and/or patients' activities to
time and/or healthcare resources.
Technology – it is the use of system especially in computer and telecommunication
for retrieving and sending of info.

RELATED LITERATURE
RELATED STUDIES
Appointment Scheduling
Appointment scheduling (Alex Kuiper, Michel Mandjes, Jeroen de Mast,
Ruben Brokkelkamp 2021) is generally applied in outpatient clinics and other
healthcare services. The challenge in scheduling is to find a strategy for dealing with
variability and unpredictability in service duration and patient arrivals. The
consequences of an ineffective strategy include long waiting times for patients and
idle time for the healthcare provider. In turn, these have implications for the perceived
quality, cost‐efficiency, and capacity of healthcare services. The generation of optimal
schedules is a notoriously intractable problem, and earlier attempts at designing
effective strategies for appointment scheduling were based on approximation,
simulation, or simplification. We propose a novel strategy for scheduling that exploits
three tactical ideas to make the problem manageable. We compare the proposed
strategy to other approaches, and show that it matches or outperforms competing

uniformly accepted. However, properly implemented digitization can enable better
patient outcomes, improve convenience, potentially lower healthcare costs, and
possibly lead to much greater physician satisfaction. Precision (also known as
personalized or individualized) medicine is frequently discussed today, but, in reality,
it is what physicians have attempted to do as best they could for millennia. But now
we have new tools that can begin to give us a much more high-definition view of our
patients; from affordable and rapid genetic testing to wearable sensors that track a
wide range of important physiologic parameters continuously. Although seemingly
counterintuitive, the digitization of health care can also markedly improve the
physician-patient relationship, allowing more time for human interaction when care is
bolstered by digital technologies that better individualize diagnostics and treatments.
It stated that the digitization of information and the Internet will be extremely
powerful in reducing healthcare costs while assisting providers in the delivery of care.
One example of healthcare inefficiency that can be managed through information
digitization is the process of prescription writing. Due to the handwritten and verbal
communication surrounding prescription writing, as well as the multiple tiers of
authorizations, the prescription drug process causes extensive financial waste as well
as medical errors, lost time, and even fatal accidents. Electronic prescription
management systems are being designed to address these inefficiencies. By utilizing
new electronic prescription systems, physicians not only prescribe more accurately,
but also improve formulary compliance thereby reducing pharmacy utilization. These
systems expand patient care by presenting proactive alternatives at the point of
prescription while reducing costs and providing additional benefits for consumers and
healthcare providers (Noffsinger R, Chin S 2000).
Combining conceptual, pragmatic and operational approaches, this edited
collection addresses the demand for knowledge and understanding of IT in the
healthcare sector. With new technology outbreaks, our vision of healthcare has been
drastically changed, switching from a ‘traditional ‘path to a digitalized one. Providing
an overview of the role of IT in the healthcare sector, The Digitization of Healthcare
illustrates the potential benefits and challenges for all those involved in delivering
care to the patient. The incursion of IT has disrupted the value chain and changed
business models for companies working in the health sector, and also raised ethical
issues and new paradigms about delivering care (Loick Menvielle, Anne-Françoise
Audrain-Pontevia, William Menvielle 2017).
Hilall Atasoy, Brad N Greenwood, Jeffrey Scott McCullough (2019),
Electronic health records (EHRs) adoption has become nearly universal during the
past decade. Academic research into the effects of EHRs has examined factors
influencing adoption, clinical care benefits, financial and cost implications, and more.
We provide an interdisciplinary overview and synthesis of this literature, drawing on
work in public and population health, informatics, medicine, management information
systems, and economics. We then chart paths forward for policy, practice, and
research.
Digitization and data analytics in healthcare have enormous potential as it can
increase the efficiency of the current healthcare and greater efficiency translates into
successful treatment of a large number of patients (Shalini Vermani, Prishu Purva
2022) it can be analyzed for great insights that lead to better decision-making process.
The primary concern of this research is to examine different trends in analytics and
the usage of digitized health records in healthcare and to identify the roadblocks in
implementing the digitized records. The paper discusses the benefits of digitization in
healthcare, security threats, India’s stand toward digitization in healthcare and how far
it has come in implementing digitization.

areas: The Digitization and Appointment Scheduling.
The appointment scheduling is the foundation of the digitization of patient
information. Appointment scheduling system (Diwakar Gupta, Brian Denton, 2008)
are used by primary and specialty care clinics to manage access to service providers,
as well as by hospitals to schedule appointment (Papiya Bhattacharjee, Pradip Kumar
Ray 2016) it also play an important role in controlling and synchronizing patient
arrival with resource availability, reducing patient waiting time and increasing
resource utilization Alex Kuiper, Michel Mandjes, Jeroen de Mast, Ruben
Brokkelkamp 2021) it is generally applied in outpatient clinics and other healthcare
services. Appointment Scheduling (AS) can enhance the utilization of expensive staff
and facilities’ medical resources while reducing patient wait times. Appointment
scheduling aims to build an appointment system that optimizes a specific quality
standard in a healthcare application of scheduling tasks under uncertainty (K. S.
Shehadeh et al. 2021). Appointment scheduling has become a complex task especially
for healthcare professionals in hospitals and clinics. It has a long-term and direct
impact on the hospital/clinic and its patients, not only solving current problems but
also reducing travel and costs for patient and also allowing better overall interaction
between doctor and patient and disease response, leading to better quality health care.
This not only helps patients with their regular check-ups, serious illness and other
health concerns, but also the hospital and clinic to schedule appointments and
maintain the stability of hospital and clinic capacity.

transparency by ensuring both complete and legible documentation of the patient’s
condition.
CHAPTER III
TECHNICAL BACKGROUND
3.1 NON-FUNCTIONAL REQUIREMENTS
The non-functional requirements of the proposed system or the qualities and
constraints are as follow:
Accessibility: The proposed system was design to developed for the Rescar Dental
Care Clinic to help patients to easily make an appointment for their dental health and
also to help the dentists to easily access their patient’s information and inquiries.
Usability: The system was design and developed in accordance with the needs of
Rescar Dental Care Clinic.
Maintainability: In terms of its maintainability, the system must be properly
maintained after its successful.
Back-Up: The system offers efficiency for data backup.
Errors: The system will track every mistake as well as keep a log of it.
Security: In terms of security for Rescar Dental Care Clinic, the administrator and the
users have their different privileges. The user can only make an appointment and the
admin can control the system.
Patient Identification: The system needs the patient to recognize herself or
himself using the phone.
Login ID: Any users who make use of the system need to hold a Login ID and
password.
Table 1 shows the hardware and software requirements and specification needed by
the end users for the mobile application. The Mobile application can be installed to
any mobile phone running on android 8 (Oreo) and up with a minimum RAM of 2
gigabyte and an Octa-core processor with 1.4 Gigahertz.

the end users for the software application.
3.1 FUNCTIONAL REQUIREMENTS
Registration - The system will allow the patient to filled out the information that
needed to registration.
Login – The patients will login to the system by entering valid user ID and password
to schedule appointment.
Information of the patient – The online scheduling and digitization of patient
information system will generate a report on every patient regarding on their various
information.
Adding patients – The system enables the dentist to include new patients in the
system.
Online Scheduling – The patient will schedule appointment that will be approved or
disapproved by the dentist.
CHAPTER IV
RESEACH METHODOLOGY
This chapter explained some details on the research design, instrument, and
procedure used in gathering the data needed for the presented study. This
methodology is important because it will be the guide throughout developing the
system to produce a complete and functional system.

The figure 1 shows that the patients or the users should visit the system first, then if
the patients have already an account, he/she will click the login while if the patients
don’t have an account, he/she will click the register button. After that the patients
will put the required information on appointment the system will automatically notify
the admin. The admin will be the one who approved or disapproved the appointment.
The admin will confirm the appointment that the patients made. After confirmation
the patients will go to the dental clinic if the scheduled day come for his/her
treatment. The payment will be done after the treatment process. If the patients want
to logout, she/he will click the Logout button but if the patients don’t want to logout
his/her account she /he will click the Exit button and that’s the end of the process.

also includes the data/patient information system such as patient, and dentist which
are essential in the overall process of the said system.

The figure 3 where the data flow diagram shows the different level or steps of process of
the patient’s information and online appointment. First are the patients will be going to
have an online appointment, he/she will input the required information. the admin or
staff can see or manage the list of patients or the patients records. The admin can
generate the patients records.

The figure 4 shows the Entity Relationship Diagram. The entity patients have a
different attributes like email, Birthday, phone number, occupation, name, address
and gender. The patients should apply for an appointment to the dentist and the
patients will consults to the dentist. The dentist will schedule an appointment for the
patients wherein the dentist will apply a treatment on the patients when the scheduled
time was come.

Type of Testing
We have used one type of testing to ensure the error free features of our
system.
Units Test
This type of testing is the testing of individual software components. It is
typically done by the programmer not the testers. It requires details information
acknowledge about the internal program design and code to perform this. This process
focuses on the logical intervals of the software ensuring that all statements have been
tested and on functional interval is conducting test to uncover errors and ensure that
defined input will produce actual results that agree with the required results. Program
level testing, modules level testing integrated and carried out.
The First Phase is the project identification selection where the researchers or
developers selected a system proposal to be presented.
The Second Phase is the project initialization and planning where the
researchers or developers provide a letter of permission to the Manager where the
study happened.
The Third one is the analysis phase, in this phase the researcher or developers
gathered information to understand what the customer wants from the system.
The Fourth one is the logical design phase where the developers arrange the
data into a series of logical relationship called entities and attributes.
The Last Phase is the Implementation Phase where the researcher delivered
the result, achieved the purpose, and implement the project.

The researcher and developers were able to gain more details and processes
that needed to be considered in building the system after a simple meeting with the
owner of Rockford Auto Parts and Accessories Shop. The requirements were gathered
using techniques such as interviewing and observing. Face-to-face interviews with the
owner are beneficial to the system because they clarify many differences in system
requirements. All requirements that must be computerized were discovered by the
researchers or developers.
CHAPTER 5
RESULTS AND DISCUSSION
To have an access to the system, the current user must enter his or her
username as well as his or her password. The user must choose between two
categories: admin and user, wherein the administrator has a complete access to the
system while the user has a limited access on the system.
