Department of Production planning and control

PPC will be an independent department will work between Marketing and plant, to
implement all the systems and smooth plant operation related with Operations/Material
management/Q C /Dispatch department.

Main function of the department:

1-Collect inputs from the plant - Organization Chart (Responsibility of each person)

- Daily monitoring of all the process related department


- Collect the daily production and B/D report
- Collect all the daily consumable data
- Daily stock update
- Daily rejection update
- Daily WIP/NCR
- Mill Utilization
- Documentation/Department Manuals
- Equipment wise parameters data Sheet
- Ready recnor of the plant(Following points to be cover)

- Mill Capabilities with product detail and specification

- Finishing Capabilities Machine wise detail

- Accreditation and Licensing


- Calculation of Product cost /Ton
- Available Facilities
- Specification requirement
(All Chemical/Mechanical/Physical/Dimensional)
- Inspection and Testing
- Raw Material
- Special requirements
- Achievements and further Developments /Capacity
enhancement/future plan.

2-Collect inputs from the marketing - Department organization and responsibilities

-Target for domestic an export (Quarter wise and Zone wise)

-Order Book in present

-Expected order Month wise

-Min. order quantity as per plant feasibility

- Product Mix as per plant and marketing both feasibility


3- Making the production plan for 60 days (Min .45 days) with the marketing department
according to plant feasibility

4- Collect all the PO and OC from marketing

5-Order summarized and preparation the QAP with the help of QC Department

6-Monthly Plan with the operation head and QC head and marketing head

7-Daily production plan and process sheet shop order wise.

8-Line balancing according to equipment capacity

9-Monitering of all requirements and coordination with QC Department to arrange the


inspection agency and preparation of TC for final product

10- Coordination with Material handling/Dispatch department to arrange the vehicle and
loading and packing list.

11- Monitoring of the function of each department-Production/Q.C./MM/Dispatch.

12- Controlling the produce over Stock/WIP.

13- Disposal for the NCR/Commercial product with the marketing department.

14- MIS Report-Daily and monthly and yearly on cumulative basis

15- Yield Monitoring on daily and monthly basis.

16- Internal Audits

Organization Chart of the PPC Department:

1- Head of the Department (Senior Level)-Location Kolkata


2- Middle Level staff – Location KGP
3- Junior Level Staff Two – Location One KGP and One Kolkata

Note: - - Daily Meeting: for only half an hour by Plant Head with All HOD’s for the daily
performance review.
- Weekly meeting: for weekly plan, will be KGP with the Operation Head &QC head
with all the section head like Hot Mill/Finishing Mill/MM/Dispatch with plant head.
- Monthly meeting: will be in Kolkata with Operation &QC &Marketing with CEO and
plant head.
- Marketing Conference yearly: market overview and to set the yearly Target, Zone
wise and review the plant capacity and facilities and evaluate the plant performance
customer satisfaction and complain, corrective and preventive action and further
strategy for next financial year.
- Appointment of Management Representative (Plant Head/Q C Head)
