1. XEEDER Hotel Lock Wireless System Overview
Wireless Networked Lock is another product which is designed for large hotel and office building by xeeder, inherits all
advantages of networked lock, work out the troublesome of networked lock cabling, make it easier to build up
networked hotel lock and large office lock. The basic feature and networked feature coincide with other networked lock
( TCP/IP,RS485): through front desk, can download data to lock, remotely control locks, real time monitor the lock
status, when open the door can instantly receive the unlocking records, etc. However, the lock part no need to do some
tedious works such as cabling, each floor just need one standard network cable to connect center node ( LA171), then
is can be composed of a wireless network, achieve to transfer and control wireless data between front desk and locks
requirements of users.
Features :
z Easy to get power supply:lock uses 4 AA alkaline battery to get power, no need anyexternal connection
wire, easy to install.
z communicate, locks on each floor communicate with center node (LA171). Each floor just needs one
center node (LA171) to communicate with computer by TCP/IP protocol.
z Real time monitoring all rooms, automatically upload unlocking events and show logs(even though PC is
offline), collect lock events at any moment (including card type, date, user name)
z Center control to open the door, remotely unlock and unlock by card, show the records in computer
simultaneously.
z Multi users with different rights, 5,000 users + 10,000 events, flash saves events, can carry out that multi-
card unlock a door and multi-door are unlocked by only one card.
z In case of emergency, control all locks in unlocking or locking status by computer.
z Guest records and issued cards records search and printable
z Based on TCP/IP technology but no limit to quantity in one LAN (project).
z Free combination of rooms/time table in 1 card, Passage mode for meeting case.
z Operation grade edit fully by yourself, allows the supervisor to edit different level operators which have the
different rights of operating certain menu or button.
z Camera function. Field take photo for the staff and guest, add the photo to issue card.
z Statistics Center. Inquiry the current room occupancy rate/different type of room occupancy rate and VIP
guest.
z Refresh Card. Allows to modify a card’s info such as invalid period, building No., instead of re-issue it.

3. Software Installation
3.1. Install Xentral v1.0 server

Networked lock is composed of two parts, Xentral is server, Hotel lock system is client. If your hotel uses
only one PC to issue card, Xentral is installed in a same PC with Hotel lock system networked, so that the PC is both
server and client. However, if you have more than one PC for issuing, Xentral has to be installed in an appointed PC
runs as server independently, and Hotel lock system networked is installed in a PC used as client (issuing card PC).
Here we just stalled in one PC.
Step1: Put Xeeder CD into computer’s CD-ROM,open my computer and double click DVD drive.

Step2: Double click the icon ,so enter the main guide, select Hotel Lock Networked,

Step3: Select Xentral to set up.

Step4: Click next to continue, choose your suitable path. According to the information tips, then finish.

3.2. Install Hotel Lock System networked
Step1: In the same CD window, Choose the second one Install hotel lock system to set up

Step2: Click next to continue, choose your suitable path, if the process is successful, show following information, then
click Finish.

3.3. Install USB encoder driver
User should program keycard in the hotel lock system by encoder, so install enceoder driver here in advance
Step1: Enter the networked lock installation window, select Driver to install.

Step2: There are two drivers for the different type hotel lock, one is used for the M1 card lock and another is for IC card
lock. Please select the first one USB M1 Encoder driver, this can be installed in WINDOWS XP/ VISTA/ WINDOWS 7.

Then click next to finish installation.

4. Interface
4.1. Main Window

For networked system, you have to run the server Xentral firstly when you use the system first time, then double

click the software shortcut icon on your computer desktop to start up Hotel Lock System. Or else, system will
say error. However, next time you use it, no need to run Xentral manually by yourself, it will run automatically just when
you start up the client Hotel Lock System.
For the first time use, there will be a message to remind you to create the database.
-Create database on local disk.
-Create database on SQL sever.

Click OK button.

For common users, please create database on local disk to save data is enough. For some big system, if your database
is created on the SQL server, please select SQL SERVER to share database.
Click Create database button.
Also user can change the path of database to save on any disk.

Then switch to “System Options” to select the lock type, please select the second one and the third one to save.

Then, choose user system and enter password 0, you will come into the main window immediately.

4.5. Filter

This filter is not only used for quickly searching room for guest, but also can
browns all building and room’s types and status. When you know guest’s
requirements of rooms, you can quickly find the room from here.
Usage-
1. Select room type firstly
(Default is All type).Then all rooms of the selected room type come out
(E.g. Standard rooms.)
2. Select room status, usually you should find an ‘OK’ room for the new
guest.
Click OK, here you will find all rooms of free Standard room

4.6. Track Record

Occupied- Quantity of busy rooms


Self-use- Quantity of rooms leaved for self-use
Booked- Quantity of rooms booked by guests

Dirty- Quantity of dirty rooms


Bad- Quantity of repairing rooms
Total- Quantity of all rooms in hotel

It is log to real time show the unlocking events, when card, key and computer open the door, record is showed here
immediately, even though your PC is offline.

4.7. Right-click menu Refresh- Make the window updating, show the new content, pressing F5 is the
same function.
Check-In- Issue card for guest.
Group Check-In-Issue card for some guests who are a family or a team. Change
Status- Change room’s status.
Lock Events- Collect room’s unlocking events, when you select rooms, it’s
available.
Open it now!- Remote open the door by computer.
Passage mode On- Make rooms into passage status and they will keep
unlocking status always including deadbolt.
Passage mode off- Make rooms passage status off and will be locked.
Arrange by Room NO.- Arrange rooms by room’s NO.
Arrange by Status- Arrange rooms by their status.
When a room is selected, these menus are available.
4.8. Explanation of Status sign

Door contact is started.

There has been one guest checked in this room. If the room is double room, you have issued 2 cards for
two guests, ×1 will change into ×2, that is quantity of cards.

Wireless lock room icon.

means the voltage of batteries in lock is lower than 4.8V and need to be changed batteries asap.

is used to indicate the signal intensity. Weak signal shows ,if no signal,it shows , the reason is possibly
this lock is far way from the center node.

5. Initialization
After complete installation of software, you should do initialization, including register, build rooms, add operators etc.

5.1. Register
Step1: System Setting->Register Click OK

Step2: Place the authorized card on the encoder Click OK and enter licence code

Step3: Click Update, register successfully. Restart software to use.

Warning:
Registered version will show ‘Registered’ on the title of

soft.
If you have not finished registration as the above, you
can not go on following setting.
All your operation will be reported ‘ Operate not

IC lock- use SLE4442 card
AT lock- use T5557 RFID card
TI lock- use TI card
RFID(Mifare)- use Mifare 1K card.
Note: It requires to restart software for switching to
another lock type.

Name-Hotel name
Due check out time-Time of checking out, it is hotel regulation for guest to check out at a specified time everyday.

Default staying days-Default staying days that when issue guest card.
Compensating time-Length the valid time of guest card longer than the specified to give guests enough time to tidy up
luggage.
E.g. here it is 20, when guest check in 12:00 to next day 13:00, his card valid time will be 11:40 to next day 13:20.
Advanced:

Common door function- Start up common door function, if Off, there is no related menu showed.
Elevator function- switch of elevator function (hardware required)
Multi-cards for 1 room-Several cards issued to open one room.
Fast revoke (guest card)-when it is off, if the card is not blank when you issue guest card, system will remind to revoke
it firstly.
Passage function- when it is on, passage option will show when issue guest card. If guest card select passage on, it
will make the door in unlocking status after reading.
Deadbolt override-If Selected, this option will be auto selected when issue guest card and all other functions cards.
You can cancel it.
Detect not closed fully warning-
3 beeps in 3 sec plus red light- 3 beeps if door is not closed properly.
Always beeps plus red light- Continuous beeps and red light.
Red light only- Only red light.
No alarm- No alarm when door is not closed properly.
Motor running time- 0.20sec to 12.60sec, default is 0.20sec (we do not suggest you adjust it to over 0.40sec, it may
cause motor damaged.)

More in 1 Guest card- The several rooms issued in one card, it is that issue a card to can unlock several rooms.
Default is 8, can be changed in configuration table.
Note: The two above can’t be changed here, you can modify in configuration table.
Status color:

Networking setting:

Server IP address- If the Xentral server is set up in your computer with Hotel Lock System, you are the server and
client, so, you must select I am the server, then this item is unavailable. If Xentral is set up on other computer, you are
not server but client only, you need to search server’s IP and fill in here.
Read null card-Max times of lock reading a null card, when over it, there will be alarm. You can change in 4 to 10.
Unlocking delay- Time of unlocking door

Covered by latest- When lock events in lock is over the max that lock can save, the old will be covered by new
automatically. Alarm for full- when events is full, there is an alarm.

5.3. Building Rooms


Step1: Room Setting->Room Type Setting

You can rename, define rate and quantity allowed to live in, add more new room types, click save and close it.
Note:No limit to issue card- It is used for limiting how many cards can be issued for the room when guest check in. if there is
limit to cards quantity to this type room, if you select this option, the front desk can issue guest cards for no limit how many they
want, if you cancel it, means this type only can be issue several cards corresponding to your setting in Card quantity.
Step2: Room Setting->Build Setting

Rename all the building and add new save and close it.

1. Set station information for each center node and wireless bridge

use this small tool to distribute IP address for each center


node. Normally, one center node for one floor. Remark which floor it is belong to. Save..
2. Add wireless bridge for each center node. It means how many and which wireless bridges are controlled by one
center node. When the distance from lock to center node is larger than 30M, it need to add 1 wireless bridge to transfer
signal to lock. Fill in wireless bridge ID. Save.
3. Switch to “Room information” to set room.

Firstly: Set room No., select type “Wireless Lock”, fill in Mac add. which is labeled on lock PCB board. Next, select
which Station IP this lock is belong to, means select the correct center node for lock. For example, the lock of room 201
is on floor 2, and center node “192.168.0.111” is also on floor 2, so select it, this lock is controlled by the center node
“192.168.0.111”. Set all rooms and save them. Click “Update to Xentral”
Secondly: Switch to “Station information“, click “Update station management list”

Step4: Room setting->Networked Lock Parameter. Restart software to set lock parameter.

Covered by latest-If the data saved in lock is full, they will be automatically covered by the new.
Alarm for full-there will be alarm for data full.
Read invalid card times-If someone uses an invalid card to try to unlock the door over the times you set here, the lock
will alarm.
Unlocking delay- The delay that from you read card to the door unlocked.
Finish to set all these info for one door, then you should “Set lock information” for lock, it is send the all info to this lock.
Reload user info-Used for changing lock
If a room (e.g. 102) needs to change lock maybe because of damage, just need to install the new lock, then enter
“Room Details” window , find the 102 to fill in new MAC, and other info keep the same as before, finally, select the room
102 which is changed lock in the Networked Lock Parameter window, click Reload user information. Chang lock
successfully. This is so easy for users. Finish the settings, click Set lock information.

5.4. Add operator


Usually, hotel has some different operators with different rights such as supervisor, manager and receptionist.
Operation grade edit is user-defined fully. Firstly, what you should do is add departments of your hotel owns to the
system.
1. Operator->Departments. Newly built department such as MANAGEMENT, SERVICE.

2. Operator->Staffs. Add the staffs in your hotel including their personal info so that you can check them anytime and
specify any of them as the operator later. Most important, you can issue one card to each staff.

Step1: Fill in the staff’s info, such as name, gender etc, then select the dept which he is belong to, all dept you add
before is listed here, and you can also add new again by click , then you will enter the department window again.
Step2: You can assign one card to each staff and specify which room he can lock with this card. Usually, the staff in
you hotel should own one regular staff card, with the locking rights according their positions.

Place a card on the encoder, click to read the card No., so, it will be memorized in the system. e.g. MIKE’s card No.
is 06646A, next time no need to read that card on the encoder, just copy the card No. to fill in.
Step3: Take photo for staff. If his photo is ready-made in advance, then you just need to Add it. Also, it’s so easy to
field take photo by Camera.
Step4: Save staff info to switch to Access permissions, specify the rooms which he can unlock by this card for the
staff. Click New to add room, then all rooms you built before show in a form, you can select any of them.
Deadbolt override: Here if you select it, means this card can unlock the door even though deadbolt. In access
permissions form, it will be true.

Step5: Click ok to issue this staff card. There will show a window to check it is successful or failed.
Now this card can unlock 101. Just require card No., no need to place card on the encoder.
If you want to prevent a staff unlocking certain room, you just find the staff (e.g.Tom) in Staff list without place card on
the encoder. Then select Tom, enter Access permission form and delete rooms which you want to terminate (e.g.
101). Finally, click Delete. That’s ok, this card can not unlock 101 any more.
3. Operator->Grade Edit
New built operating grade, the highest grade is default Supervisor that the system give the right to do all operations.
The grade name you can define by yourself. Click New to built next grade such as Receptionist, usually, this grade is
just authorized to do a part of operations.
Step1: Fill in the grade name and Description, save it to edit the permission.

Step2: Then in Operation Permissions click Edit, you can edit the rights for this grade. e.g. here, we give
Receptionist Refresh Card, Guest Card, etc. Then save them, so the operator in Receptionist Grade will just can do
this operation you have authorized, others you did not authorized are unavailable in system.

Step3: In Room Permissions, select rooms which Receptionist can operate, save it. Then, build next grade name

4. Operator->Entitle Operators
Step1: Default SYSTEM is the highest grade operator, you can add a photo and edit the info. Such as select
Department, also, department info can be edited again by . But Grade and operator can’t be modified here. Modify
password, save it.

Step2: Click New to edit next operator Lucy, whose personal info has been stored in the staff management. Select
Department and Grade from list, all we built before are in the list. Set new password. Save it. Add next operator.

Guest card is required for check-out-

This option is used for if it needs guest card when staffs do check-out. Because in our system can directly do check-out
from right click menu, which is convenient for management.

But prevent some un-honest staffs cheating, you can select this option for some staffs when add operator, as a result,
when this staff do check-out for guest, it needs guest card, otherwise, can not do check-out for guest.
5. Operator->Switch Operator, Operator Edit has been finished, next you could switch operator you have added to
check if it works well.
Step1: Log in

All operators you specified before are in the list, select operator A to check. By the way, don’t forget the password.
Step2: Look over the window. All operations you authorized in Grade Edit form are available, however, others menus
doesn’t work.
Also you can switch operator directly. Operator->Switch operator
6. Modify password.
Operators may modify their passwords freely, Operator-> Modify password

6. Issue Card
6.1. Setting card(Adjust time)
In Xeeder Hotel Networked Lock System, Setting Card is just used to adjust lock’s time when lock power source supply
(both external power and battery) is cut off in a period, because time has lost, if don’t do this, there will be errors. But no
need to issue any card. Maintain ->Setting card.

Select the room and click adjust

6.2. Check-out card


Check-out card is issued to force check out for guests who refuse to check out but the living time has expired or over
the invalid time greatly. Maintain->Check-out card.

card you issued before has no effect from
now on.
If you don’t know the card is blank or not,
before issuing Check-out card, you can

6.3. Loss-Report card
Hotel should offer safe room for guest. The card lost usually happens everyday. It is necessary and very important
make the lost card unable to work. You should Issue ‘Loss report’ card.
Maintain->loss report

By card NO.
step1:Click Select, all the cards issued before will show in a form, you can easily find lost card by card type and issued
time.
e.g. You can select guest card, issued on 17th, July,2009, then records according with you show in form. Then close it.
step2: Click issued, finish.
Invalidate it- Make the lost unable work
Recover it- Make the lost card which you have loss-reported to work again. When lost card has been got back but you
have reported the loss of it, you can recover it to work as before.

6.4. Guest card


Issue card->Guest card,When guest check in hotel, you have to issue guest card to them

Step1: Select room the guests want to check in from Room list. Click Room list, all rooms shows in form, when you click
a room, its status shows on the top. You can also search room quickly, input name of the room, building or floor. After
finding the room, double click it, close.
Also, you can select rooms directly in the main window, then, right click it and choose check in

Step2: Input the nights guests want to living


in (default is 3 nights), fill in the Guests name,
passport, specific time of checking in and
checking out. Finish, issue card.
More in 1- Issue multi-door in one card, so
card can open several rooms. If selected,

Note: Auto common door is common door set before, if you want to change, cancel and select from list.

Step3: Place card to encoder.

6.5. Stay Extend.


Sometimes guests want to stay longer than the period in issued card, you should length the time.
Step1: Ask how many days extending and get the card from guest.
Step2: Place card onto encoder, click shortcut to verify card information and check the expiry date.

Step3: Select new check-out date, click Extend Issue button.

Verify this card again, the new expiry date is 29th,Nov, and the original is 28th, Nov.

6.6. Check-out
1.Check-out with card.
In the Entitle operators window which described in Initialization, there is a function of definite whether the operators
need cards for check out or not.

Suppose the current operator is ANDY, she has to need guest card to do check-out.
Step1: Get the card submitted by guest and place it on encoder.

Step2: Issue card->Check out

Enter check-out window, we can see the information of card, gust name, check-in and check-out date, operator of
issuing the card.

Step3: Actually, there are two ways of check-out in this window, one is Card + Room, another is Room, because Andy
needs gust card to do check-out, so the second one is unavailable.
Click Card+Room

Click OK, then there is a tip to ask you print check-out paper or not.

Click YES, can see the information of the room

2.Check-out (without cards)

Step1: Find rooms by guest name or checked in record

Step2: Select room icon and right click, click Check-out.

Click Room to check out


Note:
Check out without card requires to make the card unable to work any longer.
To make the previous card not working anymore on lock. You have 2 ways.
1.Use Override function.
Issue new card by selecting ‘Override’. After the new guest read this card on door(e.g. 101), the previous 101card will not
unlock anymore by red light.
2.Read the loss report card,( Especially for the lost card)

6.7. Verify/Revoke
Sometimes you need to revoke card to clear card content, in order to write new information. Before revoking, to reduce
mistake you should examine what the content is by using Verify function.

Step1: Place the card to encoder, Issue card->Verify/Revoke, or click shortcut

Check the card’s content to confirm if this is the one you want to revoke.
If you confirm it is the card you want to revoke, click Revoke. Otherwise, don’t revoke, because once revoked, the card
can not be recovered again.
Step2: click Revoke card

Note: Be cautious to use Revoke, once card is revoked, you can’t recover any more.

6.8. Card Search
Issue Card->Card search. Select card type and issued date, all items according with you will show, quickly search the
card issued before.

6.9. Mater card/ Area card/Building card/Floor card/Passage card/Emergency card


All these cards can be issued in a multi-form same with the Loss-Report card
Issue Card-> Mater card/ Area card/Building card/Floor card/Passage card/Emergency card

Card is effective in valid time, you should fill in specific time in Begin Date and Expiry Date. Input holder’s name. Then,
click Issue . Issuing information shows at the bottom.

Master card can open all locks in a certain period, including deadbolt status.
2. Area card
Area card can open certain area’s doors in valid time. Maximum of 4 areas in one card (area should be defined when
building rooms).
Select areas (can contain several areas) and valid time, default is 1 year. Fill in the valid time of every day and holder’s
name.
3.Building card
Building card can open a certain building’s doors in certain period.
Same as master card. Select buildings(can contain several buildings) and valid time, default is 1 year. Fill in the valid
time of every day and holder’s name.
4. Floor card
Floor card can open certain floor’s doors in certain period.
5. Passage card

Passage card can make all doors into unlocking status which allow to unlock without card in certain period, including
deadbolt.
6. Emergency card
This kind of card can open all locks in certain period including deadbolt in emergency case.

6.10. Override function


In case of lost card usually, every time when issue card please select ‘Override’

How it works? The key is card’s issue date is different between the old and the new.
Software will make a note in new card from the time new issued by selecting Override
For example, room 101 card was taken away by the guest used to living in 101. Today (e.g.Jul.20.11:00) there is a new
guest need to live in 101, when issue card for him, select ‘Override’.
When the new guest read this card on the door, the lock give up working for all guest cards which issued early than
Nov03 11:00).The previous 101 card will not unlock anymore by show 1 blue + 4 red.

7. Lock Events
7.1. Real time Supervising
If any door is opened by any card, key or lock read any invalid card placed maliciously, the records are showing in a log
immediately.

Sometimes your PC maybe disconnect with locks such as the cable is pulled out, however, although PC is offline in this
period, if someone unlocked any room, all unlocking records will show just when you connect PC with lock again
instantly. No record is lost.

7.2. Failed Issued


This is used to check the failed information when issue cards.
Maintain->Failed Issued.

7.3. Guest Search/Room Search


1. Maintain->Guest Research. You can check all information of guests who have checked in.

2. Maintain -> Room Search. It is same function as Room List in Check-in, In order to search room quickly, we
usually use the Filter.

Red background room is busy.

7.4. Lock Events


Xeeder Networked Lock can memorize all unlocking events both using key and card (as more as 5000 events). Any
time, you can collect locking events from lock to your server so that search records can be searched by choosing time
period according with you. It is quite convenient for your management.
Search lock events:
Step1: Select a certain room (can including several rooms one time), then right-click, choose Lock Events.
Step2: This is to search records saved in local hard disk when the records real time displays in log, no need to collect.
Search records corresponding to your time period.

Select time period of searching, then click Search, records in this period will show , then you can print it or save as
Excel file.

Collect lock events : Maintain->Collect Events


However, sometimes you lost the software database by careless or change software into another one new, so there are
no records in local disk, the records are still stored in lock, ,you have to collect records from lock. Maintain->Collect
Events , select room No. you want to collect (can collect several rooms one time), select Including History to
collect all events. Then collect in sequence by room NO. and date.
Including History- If select this option when you collect lock events from lock, it will collect all records in lock to display;
if didn’t select this option, it will collect events from the date last time you collect.
E.g. Last time collected events on 20th July, today is 25th July, so if you collect today, and didn’t select Including
History, the records collected are from 20th to 25th .
As the following, room 305, we selected Include History to collect, so all records in lock of 305 have displayed, there
are 123 records in total.
After collected, these records are all saved in local disk, also can select period to search as the above.

Note:
If remote unlocked by computer, card type is blank and card No. is zero or blank. If collect more than one room at one time,
records is collected according to room No. firstly, according to the time secondly in one room. You can clear data, collect again.
Records can be saved as Excel file and printable. But only searched events are visible in print status, collected events is un-
visible. In other word, if you want to print records, please search from local sever in advance after collecting.

7.5. Statistics Center


Statistics Center includes 3 parts data of system: the current room occupancy rate/different type of room occupancy rate
and VIP Guest. System make statistics data instead of you operate manually, It’s helpful and easy to manage.
Step1: current room occupancy rate. This is to show the occupancy rate of all rooms clearly. There are 6 rooms, Stand
is 3 and 2 have been occupied; Lux is 2 and 2 have been occupied; Honey is 1and 1 has been occupied
Look over from this chart, we can see that the quantity of idle room is small, just one Stand room.

Step2: Switch to Inquiry of room occupancy rates. Select the period of inquiry, e.g. we inquiry from October 15 to
October 20, 2009. Then select status All room, then click Inquiry. As the chart shows, there are 5 occupied rooms,
Stand room is the 20% of them, Lux room is 40%, Honey room is 40%

Step3: VIP Guest. It is to check the guests who frequently check in your hotel, then you can provide more discount and
better service to them to maintain the mutual relationship and attract more guests

Each guest have ever checked in and the times he has checked in your hotel has listed here, then you can also input
guest’s name to inquiry their specific time of checked in. e.g. jack has checked in 3 times, for john, 2 times etc.

7.6. Backup and recover database


Backup: System setting>Database Backup. This is to save the old file in case that you want to recover the previous
status,
because just when you run system, the files such as language file and lock file, will be changed at once. It’s helpful.

Notice: Backup database is in .mdb file.


Its name will be auto marked today’s date.
E.g. 091021100316, in this group number,
09-10-21. 10-October 21-Date Click Save to save it.

Recover: System setting>Database Recover

Notice: Once you recover from a history database, all current info will be covered by the new.

To recover database, you should find the backup *.mdb file.


Here current database is
lock.mdb. The backup database is 091021100316_BackUp.mdb
Click open to recover the database.

Folder ’Db’ will leave by soft to ensure next installation at the same folder will keeps all data continue use able.
To clear it please delete by manually.
