Executive summary
This 2023, we back to normal operations with minimal restrictions, we are doubling our
efforts to catch up with our backlogs, such as trimming of trees and shrubs as well planting
activity.

Garden improvements, renovations and modifications are continuous activity of the


ground keeping teams, special projects/requests are given priority based on time line
requirements.

Best horticultural management is vital in maintaining a huge garden of Sara Village,


more so appropriate resources like equipment and its maintenance is very crucial.
Manpower skills, talent and attitude are also equally significant in attaining a goal, its
fortunate that we have best management support and ground maintenance employees
are manageable and cooperative in resolving ground maintenance challenges.

Projected Expenditure during 2023

In the original Horticultural Management Plan, the Horticultural Expenditure &


Forecast for 2023 is 167,119.84 SAR – plus 65,000 SAR for ground maintenance
equipment replacement.

The Sara Garden Village Landscape Management Plan

The main trust area of the Estates Services Department is the overall maintenance of
the garden and grounds using various horticultural maintenance strategies. A
sustainable approach in garden maintenance envisages an environmentally friendly
landscape with minimal maintenance, low water requirement and minimal use of
pesticide and synthetic fertilizer.

The Sara Village Compound is enriched with different varieties of plants grown for
potential adaptation to adverse environmental conditions and changing climate.
Drought tolerant, drought enduring and resistant plants are preferred to reduce water
requirements but not compromising the aesthetic presentation and panoramic view of
the landscape.

The Saudi Catering Estates Team

As the garden maintenance requirements changes through time, operational gardening


maintenance challenges and demands also changes. To meet the requirements, the
entire gardening was divided into 4 zones (zone 1 Courts: A,B,G,H,,J), Zone 2: Courts
O,P, Q,R and Zone 3 Courts S,T,U,V,W) while every weekend the focus is on the core
areas (Zone 4: from X villas to Football Field).

The focus is mainly on weeding, clearing or removing of dead plants, plant


replacements and tidy up or cleanliness of their respective area of responsibility. For
uniformity, aesthetic presentation, details of technicalities in shaping and trimming of
plants as well as emphasis on health and safety, a technical team was set up to handle

pruning task/activity inside Sara Village. To complement all the required necessary
garden works and maintenance routine, we opted to choose the Collaboration
strategies over healthy competitions to minimize disparity in garden presentation, this
results to reorganizations of team during winter to address backlogs.

The ground keeping and gardening teams exert an extensive effort in maintaining and
upgrading the estate landscape aesthetic presentation and ambiance in compliance with
the client’s Statement of Requirements. The head of estate and ground services and his
teams regularly monitored the village landscape and act promptly in addressing the issues
raised internally or externally. This 2023, the estate and ground services teams focus more
on improving maintenance details and customers service satisfaction.

Planned Estates Inspections

The estates are divided into 26 x locations consists of 15 x courts and 11 x facilities/areas
that required regular inspection and monitoring. The monthly inspections will range from
8 to 9 areas per month or equivalent to one cycle per quarter.

The inspection consists of:

 Inspecting for the presence of paper, sticks, stones and other debris from area
surrounding buildings /facilities and collect them and dispose.
 Communal areas must be free of branches, leaves, debris and any obstructions.
 Dry spots and brown patches of lawn areas due to irrigation water requirements
must be addressed immediately.
 Tree branches on pathways must be above head level in order not to distract the
bikers and walking residents,
 Bushes and ground covers must be properly trim to prevent encroaching the
walk path to avoid slip and trip to by passers.
 Removal of unwanted growth from shrubs, remove weeds and edge grass along
walkways and flower borders and pull-out weeds from all landscaped areas.
 Weeds and unwanted grass must be uprooted or sprayed without causing
damage to grass.
 Collected branches, leaves, papers, weed, grass cuttings and other debris must
be bagged and hauled them to nearby collection points within the site area.
 Controlling seasonal weeds on the gravel area by spraying approved to use
herbicides.
 Properly mowing of grass height to maintain the green colour.
 Over spraying sprinkler heads on sidewalks must be adjusted to minimize slip
hazard
 Trees and newly planted trees or shrubs in and around lawns must be free from
damage of garden machineries.
 Flowerbeds and grass lawns must be maintained regularly and provided with
nutrients to flourish.
 Side of the villas gravel strip must be free from debris and weeds.
 The hard landscape is scrutinized for safety measures and maintenance.
All safety concerns are reported back to the relevant department for
immediate rectification.

The table below shows 2023 Neighborhood Court Inspection schedule. The areas are inspected quarterly to make sure that the issues will
be addressed in minimal down time.

The Upkeep and Maintenance of SCCC garden works at Sara Garden Village

The horticultural plan for the maintenance of Sara Village gardens is set up to be easy
to manage through a systematic and sustainable approach to fulfil performance goals
and objectives, regular evaluation of gardening activities with allocated resources and
available facilities.

a. Lawn maintenance conversion and environmental projects

The lawn area covers 119,563m² of turf grass, of which the sports field alone covers
7,968 m². The entire lawn consists of 550 strips of different sizes, comparatively
bigger, moderate and smaller ones. Considerable parts of these are landscaped with
level terrain with a few exceptions of slope terrain. Some of the areas are erected as
berms with varying dimensions.

Out of 105 berms, 98 were fully converted to ipomeas, 5 to ice plants and 2 on schedule
during 2023. Some lawns were converted to shrubs and tiles during 2012-2022. This year,
we have very minimal conversion project which is mostly modifying the previous
converted areas.

Harvesting of three (3) compost pit contribute a lot in our potting and repotting
activities which will be developed during this reporting year. We are now sustainable
in terms of garden soil requirement, which will reduce overall costs during 2023. The
project has saved approximately 2x truckloads of garden soil from supplier, whilst
reducing our “’carbon-foot print’’. Some of the garden beds inside of the courts have
received vast amount of wood chippings in order to hold moisture and at the same
time suppressing the weeds and reduce water wastage – this will be ongoing during
2023.

The Completion of the Grass Reduction Program

In line with Clause 6.2.4 of the Statement of Requirement, of our obligation, we


have successfully removed 37.98% of the grassed areas across the estate and will
continue during 2023.

b. Environmental projects

Recycling of mowed grass as primary medium for composting. Mowed grass


was collected and brought to compost pit provided in plant nursery area, it
takes around 6 to 12 months to decompose depending on the environmental
temperature. We observe that during summer time decomposition rate is faster
than winter time, same observation found with woodchips decomposition.

c. Fertilization
Minimal amount of fertilizer was use because of the irrigation water are from
STP and it contains some nutrients needed by plants especially Nitrogen.
Fertilizer application done biannual for football as part of intensive
maintenance, other areas were treated as the need arise. Newly planted
shrubs and ground cover, basal fertilization technique was used together with
peat moss and perlite for immediate recovery. Trees and shrubs were fertilized
as the need arise only.

d. Berms conversion

The total number of berms in Sara Village is 105 equivalents to 28,268.5M² were

converted to ground cover. Out of this, 99 berms were planted with ipomeas
while 4 berms were planted with ice plants and 2 are on progress. The main
purpose of these conversion is to minimize spraying of water on the walk path
that may cause the risk of slip and trip to by passers and at the same time to
minimize the water consumption in compliance to our environmental and
energy policy compliance. The berms were regularly monitored and those looks
old or failed to flourish will be cleared and redo the process using ice plants as
planting material.

e. Rockeries

There are 40 x rockeries in Sara Village that enhances the aesthetic presentation
of the communal garden. The original design was ground cover integrated with
cacti and succulents but as time passed it becomes matured, overcrowded and
not appealing anymore, it was gradually change to cacti, succulents, flowering
shrubs and topiary in minimal quantity with gravel as dominant feature which
complement to big rocks and gives contrast to the green surroundings.

To maintain the quality of the rockery, a regular monthly inspection was carried
out and if there is a missing or unhealthy plants, we replace immediately using
the same plants/category available plants in the nursery.

The garden team plan to improve the rockeries by shaping/training the shrubs
into round shape and topping up more gravel, it was noted that some of the
gravel starts to deteriorate/sink and discolored.

f. Planter boxes
Originally plant boxes at the back of the villa were planted with flowering
ground covers but some residents have taken the ownership for seclusion and
gardening purposes. Some planter boxes were planted with trees which serves
as hedge/barriers for their privacy and they are responsible for maintaining it
with the assistance of residential services when necessary.

If health and safety issues is concerned, appropriate course of action is


implemented. Those planted boxes that still under estate care and maintenance
were gradually converted from ground cover to flowering and foliage shrubs,
like variation of neriums, bougainvillea and vitex. Planter boxes in front of the
villas were planted with seasonal flowering plants like petunias and vincas
during winter while moss rose or gazanias during summer.

g. Flowerbeds conversion to flowering shrubs

Flower beds were gradually converted to flowering and foliage shrubs for easy
and cost saving maintenance. There are still several flower beds in Sara Village
that gives attraction and colours like round-a-bouts which planted by petunias
and were replaced biannually. Pergolas inside the courts were planted with
bougainvillea which bears flowers during the season. Neriums and
bougainvillea were propagated in the nursery while petuinas and geraniums
were purchased off based. Corners of the courts were dominantly planted with
bougainvillaeas, cassia glauca and neriums which are perennials hence minimal
replacements required.

h. Bare Patches, damage plants and renovation projects

As the season change, especially from post winter to peak of hot season, some
degrees of deterioration are visible like bare patches, wilted plants and dieback. To
maintain the satisfactory level of garden presentation, bare patches were tidied up
and cleared. If bare patches are huge, we redesign the area using matured and
robust shrubs available in the nursery because it has greater chances to survive in
unfavorable weather condition.

If the patches are smaller, we just tidy up and clear waiting for next planting season.
Wilted plants and die backs were regularly monitored and given special attention
like more water, soil and nutritional requirements to recover or at leastto survive
during incremental weather condition.

i. Weed control

Weeds detract from the beauty of lawns; the most efficient method of
controlling lawns weeds is to maintain a dense and vigorously turf. Weeds can
be controlled simply by altering cultural practices to favour the turf grass
rather than weeds. The cultural control includes raising or lowering the
mowing height, changing the frequency of mowing, lengthening or shortening
the period between irrigations etc. Hand weeding were done on the areas near
the trees and shrubs while those in open areas we use post emergence non-
selective herbicide and those weed mix with ground cover we use selective
herbicide. We employ extra care when using these chemical because some
residents have cats and dogs strolling around alsofollowing Health and Safety
protocol.

j. Pest Control

If the turfs look like damaged, wilted and dried or even with yellow patches it
may be due to pest/insect attack. Insects feed on roots, defoliate or cut the leaf
blades. The insecticide application here in Sara Village are very minimal, if plant
parts are damaged, we just cut it out. If the damage is severe that’s the only
time, we request pest control for spraying. During winter months, fungal
infection notably visible especially in football field, we use certain amount of

fungicide to prevent further inspection. To mitigate the damage of lawn, we over
seeded it with winter

rye grass to make football field playable even duringwinter months.

k. Ground cover and flower beds

In order to maintain the garden aesthetically appealing throughout the year,


seasonal plants were introduced alternatively on summer and winter seasons.
On focal points such as round-a-bouts, town centre, main road and plant boxes
in from of villas were planted with petuinas during winter and during summer it
were replaced by moss ross or gazanias. Ground covers mostly last annually,
some of it were replace by the same kind but most of it were replaced by shrubs
for longevity, easy maintenance and cost-efficient purposes.

l. Irrigation maintenance

Sprinklers filters, solenoid valves, strainers etc were cleaned on regular


schedules, normally 3 times a year or depending on the irrigation water
impurities and all the garden staff were trained for these tasks. Sprinkler
nozzles are always to be directed towards lawn areas. Damaged sprinklers are
to be changed immediately. All the above activities were monitored, and in case
of irrigation faults irrigation plumbers are responding on time. Over spraying is
still an issue in some areas and are already in the list of modification program.
Some of the sprinkler lines will be converted to dripper line for water saving
andfor slip and trip issue prevention as well.

m. Supervision/Reorganization

Garden related activities such as planting, weeding lawn mowing, lawn edge
trimming, pruning, fertilization etc is under the immediate supervision of 5
Grounds foremen and performed their day-to-day activities in their respective
garden areas. During the planting season, grass cutting team were assigned to
do the garden renovation program. The teams were reorganized twice a year to
meet the demand of maintenance requirement (winter and summer have
different working schedule). Modification and enhancement projects are under
the direct supervision of horticulturist with guidance of Sara Village
Management.

n. Safety measures

Proper safety training was provided to the grounds men on how to use
gardening tools and machineries in particular to avoid injuries and damage
tomachinery. Appropriate personnel protective equipment was provided and
used based on particular nature of work taken.

o. Machinery Inventory and maintenance


Garden Machines, equipment and tools are properly maintained regularly with
the help of a mechanic and helper. Sit on mowers, lawn mowers, brush cutters,
blower machines, manual street vacuum, shredder machines, hedge trimmers,
aerator, power sprayer are the main garden machines. Gardening tools like
garden shear, looping shear, pole pruner, chain saw, garden hoe, draw hoe,
digging hoe, digging shovel, digging fork, leaf rake, hand rake, edge trimmer,
etc, are the main gardening tools for effective and quick maintenance of the
garden.

p. Operational Services

Warehouses, workshops and other facilities were monitored and schedule for
once a week tidy up or as per request basis.

q. Tree Pruning and palm trimming

There are around 366 trees identified to cause potential damage if allowed to
grow unmanaged. Some trees located inside the private garden were taken out if
the villa is empty or resident had oved out. Those trees that raised to help desk
for immediate attention were prioritized. Tree pruning team was created to
address the overgrown trees. This season we will concentrate pruning the trees
inside the courts as well as trimming of palm dry fronds. In summary, all trees
on the corners of the courts were already trimmed, this season we are
concentrating in managing the tree and palms inside the courts, Target of
completion will be in March/April 2023.

r. Perimeter Trees:

To enhance the aesthetic presentation of perimeter trees, some of it were shaped


into round/topiary especially on the main entrance road, while the remaining
trees were continuously monitored to ensure they do not overgrow and obstruct
the security cameras.

The SARA Garden Village Hard Landscaping

a. Corroded metal pergolas.

Metal pergolas inside courts are already corroded/dilapidated, for safety purposes,
these metal pergolas were removed and relocated to plant nursery to use as shed
for plant propagation/recycling. Currently, all the metal pergolas have been
removed and those in good condition were modified as propagation tunnels.

b. The hard landscaping and street furniture are included in the monthly communal
court inspections. The structures are examined for safety and maintenance work
i.e. wooden bench and its concrete base.

c. Overloaded wooden pergolas

Wooden pergolas were planted with climbers (bougainvilleas and Jasmin), these
plants grow aggressively and cause damage to the wooden mess, also the weight of
the plant’s stresses to pergola itself. As of January 2023, only 3 wooden pergolas
left (on schedule).

ENVIRONMENTAL

a. Recycling

Five (5) wooden boxes were initially constructed in the plant nursery, these boxes are
covered with nets and serves as composting bins, it has an approximate capacity of 40
cubic meter of fresh grass, it takes about 4-6 month to be matured, once it is ready it
will be mixed to plant repotting (transferring of plants from small pots to a bigger
container) medium as additives.

b. Mulching and repotting using compost

Selected tree branches (size ranging from less than 1 inch up to 6 inches calliper) from
trimmings or uprooted trees were chipped using a machine. The heap of wood chips
was turned regularly using bobcat and temperature was regularly monitored. Some
were used as composting additives to grass while some are left tobe decomposed on
site.

The Sara Village plant nursery consist of 48 planting beds out of these 16 beds measuring
2.40MX4.60M each are provided with shade while 32 beds measuring 4.50MX4.0M in size
16 beds are covered with nets and the remaining 16 beds are leave open. All these beds were
utilized for the production of annuals, perennials, ground covers. Potting and conditioning of
established plants were done in open areas available in the plant nursery. Productions of
perennial plants as well as annuals through vegetative propagation. The established plants are
used for renovation, and plant replacement during the planting season.

Plant propagation is a continuous activity in the plant nursery. The two newly constructed
propagation tunnel will increase the plan production output. To date, the propagation bed as
well as plant conditioning areas are full of plants. Below is the recent inventory of our plant
nursery with its corresponding estimates. Please note mostly ofthese plants are intended
for plant replacement only. If there is a project that requires plants not available in the
nursery it will be sourced off base, this will be currently on hold until September 2023 for
review – BAE Accommodation Strategy Plan announcement.

Current Issue in ground maintenance

The football ground was attacked by the crows, it was found out that it was infested by
grubs. We immediately conducted a remedial measure to prevent further damage by
applying pesticide and fertilizer.

Football ground was sprayed with pesticide, top up with fine sand and rolled to
make it playable. As of this date minimal bird infestation still observe and we
continue monitoring and rectifying to maintain its playable status. Grass
discoloration is due to frost or winter effect, over seeding was done to rectify
the issue.
