 Advice for preparation centres on
running an event
This guide will provide you with practical ideas for running
an event to tell teachers and parents about Cambridge
English Qualifications.
Who is the event for?
Start by considering who your audience is and what you want
to achieve from the event. Is it for teachers or parents?
Do they already know about Cambridge English Qualifications
or are they new to the exams, or a mix of both?
What topics will the event cover?
A package of presentation and workshop materials, as well
as presenter notes and handouts is available on Brandfolder
for preparation centres.
These resources are designed to be flexible, so you can
choose how you want to run the events, depending on the
time available.
For instance, you could run a series of short workshops for a
few hours or have a complete day's worth of presentations
– it's entirely up to you how you want to manage your
event. The presentation and workshop materials include
information about the exams as well as practical ideas for
the classroom. They are suitable for people who are already
familiar with Cambridge English Qualifications and those
who are new to the exams.
As an example, here's a selection of workshop and
presentation materials for Pre A1 Starters, A1 Movers
and A2 Flyers:

at both the teacher workshop on how to engage parents and the parent workshop on how parents
can help their child learn English.
yyReview the materials before the event to check if there
is anything you want to add or exclude. If you are
running an event for parents, consider if you need to
translate materials.
yyDecide on the best presenter and make sure they are
available on the date of the event.
yyDon’t forget to print out and take handouts on the day
of the event.
yyAllow time for questions and answers from the audience.
What needs to be done before
the event?
When will the event take place?
yyWhat day/time best suits the audience?
yyDo you want to combine the event with a teachers'
meeting or parents’ evening at the school?
yyDo you want to combine the event with a certificate
ceremony e.g. telling parents about A1 Movers, if their
child has just successfully completed Pre A1 Starters?
Where will the event take place?
yyWhat is the best place/room to hold the event? Consider:
|| Is it the right size for the audience (not too small or too
big, which may make it feel empty)?
|| Will you provide any catering (tea, coffee, food)?
Giving the people attending the event an opportunity
to network and share ideas often helps to make events
more successful.
|| What seating style works best? This will depend partly
on the space but also on how much interaction there
will be. Sitting in rows works best for presentations
whereas sitting around tables works well for workshops,
but it means that the room will fit fewer people.
|| Can you access the room before the event to set up
and check equipment?

yyWhat equipment do you need (laptop, projector, screen,
speakers, microphone, clicker)?

yyDo you need internet access, e.g. to show videos?

yyIs there a technician available to help?

Do you want to provide leaflets or other

promotional materials?
Contact your authorised exam centre to see if they can
provide you with promotional and support materials, such
as handbooks for teachers, leaflets for parents, classroom
posters or other materials. Ensure you allow enough time
for them to send materials to you.

Who will help on the day?

yyDo you need staff to help with catering, technical
support etc?

How will you promote the event?

yyEnsure you tell people about the event in advance and
send them a reminder a few days before it takes place.
Tell them the title and aims of the event, the date, time
and venue.

yyConsider using your website to promote the event.

yyIf you are inviting parents or people from outside the

school, you may want to consider using tools such as
Eventbrite or SurveyMonkey to track responses so that
you know who is attending.

What needs to be done after

the event?
Soon after the event, send attendees relevant links to
where they can find more information for teachers and
for parents. To help you plan future events, you may find it
useful to ask them for their feedback. You can use tools such
as SurveyMonkey to help do this. See template 1 for an
example of a post-event survey for you to use or adapt.
