OVERVIEW
Everest Base Camp is on the bucket list of every travel
enthusiast. Each year, Everest Base Camp at the height
of 5365 meters is trekked by more than 35,000 people.
The trek has become an achievable goal for people from
all walks of life and is an amalgamation of spectacular
scenery, cultural interaction and physical challenges.
The personal sense of achievement makes this trek one
of the most unforgettable experiences.
Everest trek goes through the adventure villages in the
Everest region which is popularly known as the Khumbu
region. Taking part in a trekking holiday allows you
access to remote areas and villages, to the mountains
and to a culture so different to our own, one that has
changed little over the years and whose customs have
been passed down through generations.Trekkers can
experience their friendliness at first hand and have the
opportunity to see and try to understand a little of this
culture so different to our own.
The trek is conducted at a reasonably relaxed pace
along rough but well laid trails taking into account the
altitude, allowing ample time to photograph the
magnificent scenery and observe the wildlife and to
meet the people. Rest days are included to assist our
acclimatisation as we climb higher into the mountains.
On this trip you will take on the challenge of reaching
the mountaineer's base camp and gain an insight into
the world-famous Sherpa culture. You will cross glaciers
and broad plains, traverse valleys and climb high
passes to reach the picturesque Everest Base Camp.
DETAILED ITINERARY
Day 1: Arrival at Kathmandu (1350 M/4428
FT)

Kathmandu, the colorful capital of Nepal, is a


fascinating blend of  Traditional Architecture
and symbols of the 20th Century. It's rich artistic
and cultural heritage is evident where ornately
carved balconies mingle with beautiful shrines
and temples. It is the gateway to Nepal
Himalayas and stands at the elevation of 4,400ft.
Arrival before 3 PM is preferable. This day will be
having orientation in evening and activities to
interact with your fellow trekkers.

This day is dedicated to exploring the vibrant


capital city of Nepal. The Durbar Square with it's
temples, markets and busy atmosphere is a must
visit. It is also worth the climb to visit the
Swayambhunath - the 'monkey temple'. Explore
the network of street markets and alley bazaars Day 2: Fly to Lukla / Ramechapp, Trek to Phakding
and Pashupatinath. The neighbouring towns of
Patan and Bhaktapur are well worth a visit. Altitude: 2651M / 8700FT

Day 3: Phakding to Namche Bazaar

earthquake but is now being repaired.

Day 6: Tengboche to Dingboche

Day 7: Acclimatization at Dingboche

Tawoche and Ama Dablam. If you've forgotten,
acclimatization days are aimed at preparing the
body for the elevation gains to come (AKA to
decrease the risk of acquiring some altitude-
induced ailment – which could kill you). These days
require hikers to head up to as high an altitude as
they can manage before then descending to sleep
at (or around) the altitude the day began at.
Day 8 : Dingboche to Lobuche

Altitude: 4940 M / 16,207 FT

Day 14 : Departure from Kathmandu

no activities planned for today and you are able
to depart the hotel at any time. Check out time
from the hotel is at 12 noon. If you are departing
later, you can arrange luggage storage at the
hotel.

The last two days are for exploring the capital city of Nepal,
Kathmandu. These days also act as buffer days to get your body
acclimatize to lower altitudes again. These days can be spent
exploring the Kathmandu valley which is the political, commercial,
cultural hub of Nepal, framed for its natural beauty and historic and
holistic places. Kathmandu valley contains three fabled cities,
Kathmandu, Patan and Bhaktapur. Kathmandu city has an artistic
exposition of graceful temples, elegant palaces, brick paved
courtyards and giant streets. It is surrounded by green mountain walls
above which tower mighty snowcapped peaks. The city has the

Kathmandu's Durbar Square is one of three durbar (royal palace) squares in the
Kathmandu Valley. It is the site of the Hanuman Dhoka Palace Complex, which was

Many operators make statements about their services that are intentionally designed to
mislead or avoid addressing important issues. The reality on the mountain is that unless you
have a strong and experienced leader with sufficient Sherpa staff in support, the chances of
summiting are dramatically reduced. Expeditions that are operated by local staff, with no
qualified and experienced western guides, are generally not able to offer you a legitimate level
of safety or success. These expeditions have the highest ratio of accident and frostbite injury
on trips which may seem cheap at the time when booking but the long term effects make the
price difference irrelevant.

PAYMENT POLICY
To  confirm  the  booking  a  deposit  of 50% of the package cost
per person will be required.
At  the  time  of  making booking,  please  send  us  a  scan  copy  of your
passport's first and last page and fill the google form of details.
100% payment is to be made 30 days before the tour date.
Any flight booking payment shall be 100% in advance (If opting for
flight booking).
Payments by credit card incur an extra handling fees (as charged

CANCELLATION POLICY
Cancellation affected more than 45 days prior to departure will
attract a cancellation charge of 50% of the trip cost.
Cancellation affected 45 to 30 days prior to departure will attract a
cancellation charge of 75% of the trip cost.
Cancellation affected less than 30 days prior to departure will attract
a cancellation charge of 100% of the trip cost.
No refund will be due after the commencement of travel.

IMPORTANT NOTES

The tea houses on the trail where the trekkers will be


put up have exhaustive menus and hence the guest can
treat their taste buds  to Indian, Tibetan, Newari,
Chinese, Sherpa and English cuisine .

Price of Everest base camp is highly depended on the


airfare prices, fuel surcharge and local taxes. Any
changes in that would change the cost of the trek and
the difference would be charged from participant based
on the actual.

Difficulty Level: The EBC Trek just like any other


Himalayan Trek is moderately demanding on the body.
The participants need to have a base level of fitness.

For Single Trekker we provide porter cum guide.


The prices are not valid during peak season time.
IMPORTANT NOTES
We are just aggregators. Any situation arising from a third party’s side, which is beyond their/our
control, Chal Kabira shall not be held responsible.
Chal Kabira trip has 3 types of packages, standard, premium & luxury. Service will be as per the
package you choose. If you want to upgrade from one to another you will have to let us know in
advance, last moment changes are not possible.
All the payments should be made in the company's account only (Bank details will be shared at the
time of booking) and not in any personal account.
DO NOT make payment in any personal bank account even if they claim to be an employee of Chal
Kabira. For any such loss Chal Kabira will not be responsible.
Any delay in payment may affect the quality of the services offered.
In case of any delay in payment when the trip begins Rs. 500 per person per day will be charged.
Customers can not change the itinerary during the trip without confirming with Chal Kabira.
Any last minute change in itinerary is not possible. Any sightseeing place to be added must be in
consultation with Chal Kabira and not directly with the driver, as we will not be responsible for any
delayed plans/situations/cost which arises.
After making the payment of a particular package, if the client makes any amendment or changes or if
the client wants to postpone the dates then needs to bear amendment charges of the same and all
rights have been reserved by Chal Kabira only.
To ensure quality service we book hotels/accommodations and transport after receiving your booking
amount to avoid any non availability/booking issues. A big upfront amount is paid to vendors than
received in token amount. As such any cancellation due to any reason will attract cancellation fees as
per cancellation policy.
If a trip is called off due to natural calamity/unforeseen situations like (rain, snowfall, earthquake,
landslide, strike, lockdown, bandh etc) then participants will be provided with voucher/credit note) no
refund shall be provided. If the trip is aborted mid way due to mentioned unforeseen situations , then
no refund would be provided. In case of cancellation from the client side, after the registration at any
point of time, then in that case there will be no refund.
Incase of late booking the suggested hotels/rooms might be sold out & best hotels may not be
available, we will not be responsible if the package is booked late by the client.

Package policy:
The above itinerary is a suggested Tour Plan. The Company is responsible for only those services which
are charged from the guest. All other services which are not paid by the guest to the Company are
Suggested services and Company is nowhere bound to provide that service or pay the cost for the
same.
Chal Kabira reserves the right to stop the trip at any time in case full payments are not received in a
given time.
Bills of Hotels/Driver as per company policy cannot be shared.
The quote sent has a validity of 7 days, later that cost will not be applicable.
The cost of each package has been calculated on the basis of fixed inclusions. In the scenario of
customization required, then cost shall be incurred on the basis of value additions.
There shall be no refund, if the client fails to join the group at the commencement of the tour, or joins
the group later or leaves the group before culmination of the tour. It shall be noted that for all
purposes, it shall be the responsibility of the Client to reach the place of commencement of the Tour
and register with the representative of the company at the appointed place, date and time.
Chal Kabira reserves the right to cancel any trip at any time for any reason if the quality of the trip or
the safety of the travellers is judged to be compromised. In such circumstances, a credit note of all
payments received by Chal Kabira will be issued.
In case if a client alone or along with his family/group is compelled to discontinue the tour due to any
reason whatsoever including illness, death or loss of passport or any travel documents, no claim shall
be entertained for refund of unutilized services.
In unavoidable circumstances due to delay in arrival or any other unforeseen event, the guest may
have to stay back at the nearest city. The additional costs in such cases shall be borne by the guests.
Please remember that all special requests like early check-in, late checkout, smoking room, non-
smoking room, views, floors, king bed, twin bed, adjoining and/or interconnecting rooms are strictly
subject to availability. Special requests for room allocation must be made in writing at the time of
booking, but all such requests shall be subject to availability.
Check in and Check out will be according to the timing of the respective Hotels. Incase of early check
in or late check out extra charges have to be paid by the client.
Extra Bed Means Extra Mattress.
You will be out sightseeing most of the time and hence we have taken care to select hotels which are
convenient and comfortable. Hence sometimes they may be located away from the city centre. Most of
the rooms have a private bath or shower.
Due to trade fairs and conventions in the cities the hotels may be blocked out for more than 2 yrs in
advance. In view of this you may have to stay in hotels further away from the cities and itineraries may
have to be altered / amended.
Any damages caused to the hotel rooms / Coach / place of visit etc. during your stay/tour/visit, shall
be borne and payable by you, and the company will not be liable for the same.
Company is not liable if there is sudden disruption/disorder of telephone, electricity, internet services,
and other amenities while staying at the hotels.
IMPORTANT NOTES

Facilities like mini bars, pay television channels, telephone etc are not complementary and these
facilities if used by the client have to be paid for by the client directly to the Hotel and such charges
are not included in the tour cost.
Meals will be according to the timings of the hotels and their policies.(if any meal is included in the
package)
All baggage and personal effects are at all times and under all circumstances your responsibility. We
will not be responsible or liable in case of loss of such items from the hotel premises / coach /
Cruise / Airport / during travel or place of visit etc. Some hotels offer the facility of safe deposit
lockers, which can be availed of by you at your own cost and risk. The company will not be liable for
any loss/theft from the same.
During festival/ peak season due to high demand there is a shortage of quality hotels, drivers,
guides, cooks, support staff, etc., which affects the quality of the services at times and it is beyond
control.
If the minimum size of the batch is not met , we reserve the right to cancel or make changes in the
batch.
Company is not responsible for compensating any loss or additional cost incurred by the guest while
taking the tour. Nor is liable for any damage, loss or injury caused to any passenger while taking the
tour. Any claim related to the package must be brought to the notice of the company within a week.
Company is NOT responsible for any change in itinerary and unavailability of services due to bad
weather conditions.
Sequences of the day wise tour program may change depending upon travel schedules/restrictions
on some roads and other unforeseen travel related conditions.
If there is any unprecedented hike in the cost of transport (including fuel surcharge) or
accommodation it will also affect the cost.
You are not eligible for a refund or any extra service if you fail to show under given timeline, date of
itinerary.
The vehicle has been charged for the fixed inclusions .ie., only for the fixed places as per the
itinerary. It will not be available on a disposal basis.
The drivers are bound by specific rules, like maximum driving hours within a day and during a week,
rest period per day / week etc. Clients will have to strictly adhere to the prescribed timetable for the
day so that the driver can complete the travel, otherwise certain sightseeing schedules may be
missed due to your actions/ delays and the same will be non-refundable.
If you are carrying any high value items on the coach / private vehicle, we advise you not to leave
them behind when you leave the coach / private vehicle. We will not be responsible or liable in case
of loss of such items from the coach / private vehicle.
We have found it fair to operate daily seat rotation on board our coach (wherever applicable), so no
seat numbers are allocated. The coaches may be equipped with an emergency washroom(only in
international destinations), however this facility is not to be used in lieu of the rest rooms at our
frequent comfort stops.
We shall not be responsible for any change in the itinerary due to landslides, flight/train
cancellations, weather conditions, any natural calamities or any unforeseen circumstances. The
additional cost incurred will be in addition to the cost. On occasion of any such event we have a
backup plan ready most of the time. There are times we have to cancel some activities mentioned but
it's only due to reason that we are bound by situations beyond control.
No refund will be made for any unused accommodation, missed meals, transportation segments,
sightseeing tours or any other service whatever may be the reason. Such unused items are neither
refundable nor exchangeable.
The menus are pre-set menus provided for meals on the tour (if applicable). Unlike an airline, we
cannot provide a special meal, nor do we guarantee a special diet to the client, we however reserve
the right to change the meal arrangement if circumstances make it necessary to do so. (If any
preference in meal, veg/non-veg, jain/regular, then kindly inform prior booking & we will try to
provide it wherever possible)
In the event that the client wakes up late and misses the breakfast offered to him or the client is out
on his own and reaches late or in case of delay of flights/trains or whatsoever reason the client
misses any meal including breakfast offered to him, then no claim can be made for the
meal/breakfast, which he has missed and not utilised.
Room allocation is done by the hotel depending upon availability at the time of check-in in the
category of room as specified on your confirmation voucher. No refund shall be claimed, if the
services & amenities of the hotel were not up to your expectations.
Any cost arising due to natural calamities like, landslides, road blockage, pandemic, political
disturbances (strikes), etc. is to be borne by the client, which is directly payable on the spot.
Any case of non-compliance and misbehaviour with our support staff will NOT be tolerated and will
result in cancellation of the Trip.
As such any itinerary shared to client/participant, its clients responsibility to read them. Booking of a
trip would be acceptance of itinerary and agreement of terms shared which are considered read.
As we are not holding any booking, at the above mentioned hotels rooms are subject to availability at
the time of package confirmation.
IMPORTANT NOTES

Due to climatic conditions if there is any night halt on urgent basis in any
place in between then clients have to pay directly for it. And no money refund
against the trip due to any unavoidable circumstances depending on weather.
Early check in and late check out shall be paid by clients directly at the hotel.
Rate valid for Indian citizens only.
Prices are highly dependent on fuel prices and local taxes. Any changes in
that would change the cost of the trip and the difference would be charged
from participants based on the actual.
The package price is calculated based on the current price of permits as per
the date the package is quoted.
Slots at the campsite/hotel will be confirmed only after receipt of full
payment.
Management accepts no responsibility for injuries or the loss/theft of any
personal property during the tour.
Registrations/tickets once booked cannot be exchanged, cancelled or
refunded.
In case of any breakdown of the transport in the way, you would have to wait
until the transport gets repaired. No backup transport would be provided.
The company will not be held responsible for any delay due to Traffic, natural
calamities, breakdown of transport.
There may be change in plan due to snowfall or any other natural calamities.
Bonfire and Musical nights depend on the rules of the local authority or camp
/ hotel rules.
Seats on Bus / Traveler depend on a first come first serve basis.

What to expect in group travels:


People from a mixed diverse background, age groups and economical levels.
The decision of timing and sight seeing places is taken up by the majority of the group in
consultation with the driver and team.
We are not responsible for managing internal issues among participants of the group.
Any sort of persistent hindrance, may discontinue your trip keeping in view of comfort of
other participants, no refund shall be given on that case.
If you wish for a luxury experience you can also opt for premium packages/customized
private Trips.
IMPORTANT NOTES & THINGS TO FOLLOW IN
HIMALAYAS/MOUNTAINS

Flight delays and cancellation cases


Due to the bad weather condition(s) flight delays or cancellation can happen in case of Kathmandu-
Lukla or Lukla Kathmandu. Then the cost of accommodation in Nepal will have to be borne by the
guest. We advice everyone to have at least 2 buffer days. (Flight delays may happen for hours
whereas there is a chance of cancellation for the flying date as well).
Sometime due to the heavy air traffic at Kathmandu airport the flight time may get disturbed as well.
The airport can be changed from Kathmandu to Ramechhap(5 hours drive ). The clients will have to
leave early in the morning by 3/3:30. Vehicles provided may be as per availability. It can be a basic
shared vehicle/Toyota/ /Haice based upon availability and group size.

Lukla Kathmandu Flight reconfirmation process


Despite being booked in advance we need to reconfirm the flight once you are back in Lukla again.
This thing will be taken care of by your guide(s) or our team member(s) in Kathmandu with
coordinating the respective airlines.
Weather can't be controlled by Chal Kabira, we don’t expect a review for the same and service can
change due to weather which is beyond our control.

Alternative solution of flight cancellation(s)


• Helicopter can be taken from Kathmandu to Lukla or Lukla to Kathmandu in case of flight
cancellation(s). And the cost will be extra US$ 500 per head and 5 persons can fly at a time.

Others
Bottle water/Hot water/hot shower/WIFI/Electricity to charge gadgets are all extra and cost are as
following :
• Bottled water- NPR 150 to NPR 400 per litre
• Hot water: NPR 200 to NPR 600 per litre
• Hot shower: NPR 500 to NPR 700 per shower
• WIFI: NPR 500 per day or Everest link 1 GB = NPR 600 or 10 GB = NPR 2000 and works at all the
hotels in Everest.
• Electricity to charge gadget(s): NPR 300 to NPR 1000 per gadget
Additional Porter charges - Rs. 2000 per porter per day from lukla to lukla. Porter can take max 9kg bag
per person.
Room upgrading cost Rs.2000 per person per day.
Extra guide- Rs.25,000 for trek.

Food and accommodation rules in Khumbu region


• You have to have your food at the places where you are staying. Khumbu region has this sort of rules
for every traveler(s) and you have to respect or follow the system.
Accommodation for the traveler(s) during the trek
• Room(s) with attached bathroom for the premium package holder(s) will be provided (wherever
available/possible). And for the standard package- it will be sharing bathroom(s).
Tea lodges will be decided by guide and there will be no changes in lodge, if you don’t wish to stay in
them kindly opt for a premium package.

*Clients opting for luxury and deluxe packages must not expect a 5 star service like cities on the trek.
Since it's a mountain region.

IMPORTANT NOTES & THINGS TO FOLLOW IN HIMALAYAS/MOUNTAINS

Extra night(s) or unused accommodation in mountain/Kathmandu.


• Basically, we are providing a 2 nights hotel in Kathmandu with breakfast. And 11 nights’
accommodation in Khumbu/trekking. Just in case if you are not able to use 11 nights accommodation in
the trek- there will be no compensation in Kathmandu for that.

Tipping to guide(s) and porter(s)


• Tipping is a part of culture in Everest trekking. The normal trend of tipping is the 10% amount of the
total amount you have paid for the trip. Still, you can pay at least NPR 6000 or more to your porter(s) and
NPR 10000 or more to your lead guide(s).

Anything extra(s) apart from services in inclusion section(s)-(like teahouse(s), guide(s), porter(s),
rental(s), transport(s), will be charged whether in standard/deluxe/premium package. Incase of
additional days due to weather you will have to pay extra for each and every service directly.
Basically, if the given services exceed the inclusion(s) then you have to bear it from your side.
Company will not be taking care of those things.
If you want to change any service in the standard package you have to opt for deluxe or premium
package.

Currency
Amount allowed to be carried in flights as Nepal Rashritriya Bank is 930 dollar, More currency can be
carried after declaring the currency. (Note – please check recent RBI guidelines for recent limit )
Please carry 50k NPR or equivalent for trek in cash for food/emergency and additional 15k NPR if
you want porter. You can get amount in cash via withdrawal from ATM which supports cards.
You can carry Indian currency in denominations of ₹100 or smaller in Nepal.
For renting gears you need additional 8K NPR which will be refunded to you after gears are received
back without damage.
Your Indian sim card will not work in Nepal, and you will not get TP to make payments, your debit
card may not work in Nepal (it will be mentioned behind the card), as such bring adequate cash with
you for trek, any payment made to us for cash will attract 5% GST + 1% remittance fees = 6% P

ATMs/Money Changers/Bank
ATMs: There are several ATMs booths, at airport and inside Thamel where you
can withdraw the cash. The maximum you can withdraw at once is NPR. 35,000
(US$ 350 approx.) and will get charged NPR.500 per transaction. And in the
trekking, there are ATMs point upto Namche Bazar.
Money Changers: Money changers are easily available inside the airport and
Thamel. During the trekking, if you have US dollars then you can exchange it.
Banks: Also, there are several banks in Kathmandu. And you can find bank up
to Namche Bazar.

Trek Insurance
In the unfortunate event of injuries/ illness on the trek which needs medical help/evacuation the hefty
cost will be borne by the insurer. Hence it is advised to have an insurance that covers medical aid/
evacuation by helicopter. We don’t provide insurance but can assist you to get one. Also make sure
that the insurance covers the emergency evacuation upto 5500 meters as helicopters/Yaks/Horses
are the only means of transportation.
