Upon acceptance of this proposal, a representative from Smart Idea will work with you to finalize
implementation planning and scheduling to meet your organizational requirements.

Software You Should Know
About

Smart Idea Document management in essence is an electronic filing cabinet with the added benefit of
managed workflow and enhanced security features. All documentation may be stored according to your
own customized filing cabinet set up by user or by department. A system supervisor will define access
rights to this documentation for each user or department. Specific emphasis has been put on the
document authentication process and the handling of the raw file or original document.

This is exactly what SmartPrint was developed for. Irrespective of whether you are focused on economic
efficiency, productivity, environmental protection or any other criteria: with SmartPrint you will achieve
your goals and implement a comprehensive print policy in order to ensure compliance. The innovative
software controls all print jobs and accounts in the network and automatically routes them to the most
suitable system – according to your print policy. You decide who has access to which system and you
monitor every copy, fax, print and scan made by each user or department. You decide who is allowed to
print in colour and who is not allowed to print at all. You decide how environmentally conscious your
printouts are. And thanks to the integrated scripting language, SmartPrint can be adapted perfectly to your
own specific requirements.
The fact is, no matter how well-organized your office is, invoices and other important office documents
often arrive on paper or in formats that are difficult to integrate into your workflow. Converting, indexing
and filing the documents in the correct target applications takes up a lot of time and money. Automating
this process effectively streamlines your office workflow, reducing operating costs and significantly
increasing productivity. Smart Idea’s KYO capture 5.0, a fast and efficient document capture software,
releases your employees from many of the burdens of administration, leaving them free to do what they
do best.

Terms and Conditions
In the event of an order being cancelled, the customer will be liable for all installation costs and a
25% handling fee for all equipment installed.
All prices quoted are at 15% escalation and 60 months payment term unless otherwise stated.
Installations will be done during normal office hours.
All rentals exclude comprehensive insurance.
Masonry work will be done at your expense.
Transport outside Gauteng is not included in this quotation unless otherwise specified.
Smart Idea will not be held responsible for any consequential damages for whatever reason.
This quotation is valid for 7 days.
All terms and conditions outside of our standard quotation must be authorized by the General
Manager / Director before any changes to the Terms and Conditions are accepted.
