What is Word?

Microsoft Word is a productivity tool that you can use to create text documents.

These documents can contain images or graphs, but mostly text.

Documents created with Word are primarily meant to be printed, and as such they usually do
not contain things like video’s or GIF files.

Word is great for things like:

● Contracts
● Books, stories or poems
● Theses
● School projects
What is Excel?

Microsoft Excel is a program created to make spreadsheets. Spreadsheets are documents that
contain a lot of data which you can process in different ways.

Excel is great for things like:

● Timesheets
● Invoices
● Quotes
● Tables
● Rosters
What is Powerpoint?

Microsoft Powerpoint is a productivity tool that you can use to create slideshows.

These slideshow usually contain images or graphs, and some text.

Slideshows created with Powerpoint are primarily meant to be presented, usually with
something like a projector.

Powerpoint is great for things like:

● Presentations for business or school


● Picture slideshows for functions
Creating a new file
Let’s create a new document or document. It’s easy!

1. Open up program
2. New versions of Office have templates. If you
have Office 2013 and newer, then either
choose Blank (this will just give you a clean
page), or choose a template that fits to what
you are trying to do. If your Office is older than
2013, it should open a blank page automatically.
3. Voila! Now you can start typing.
What’s what?
● Ribbon
○ All of your options and
settings.
● Ribbon tabs
○ Different ribbons, they
do different things
● Rulers
○ Measure distance
● View controls
○ Zoom, and other view
modes
● Quick access
○ Buttons you use
frequently
● Document information
○ Info, like how many
pages / words in the
document
Formatting
Formatting refers to the look of your text.

It refers to the font, size, colour and spacing of the text.

You can get all of the basic formatting options in the HOME tab ribbon.

● Bold
● Italics
● Underline
● This is Superscript
● This is Subscript
● Comic Sans font
● Yellow text colour
● Blue highlight

● 24px text size


Inserting Images

Sometimes, you want to put an image in your


document. This can easily be done in multiple
ways.

1. In the INSERT tab ribbon, choose


Picture.

or

1. Drag the picture you want onto your


document.

This process works the same in almost all


versions of Word.
Inserting graphs

Inserting a graph is not as easy as it is


with pictures, but it isn’t difficult either.
All you need to do is:

1. Go to your INSERT tab ribbon


2. Choose Graph
3. Wait for excel to open up and
then input the data for the graph.
4. Format your graph.
Headers and Footers
Headers are pieces of text that will
always be at the top of the page.

Footers will always be at the bottom.

They can either contain static information


(Like a logo or name), or dynamic
information (like page numbers).

1. On the INSERT tab ribbon, click on


Header or Footer.
2. Choose the style you want
3. Type the info you want in the
header/footer
4. In the ribbon, click Close
Header/Footer
Saving your document
It is very important to save your document,
especially if it is a long one. Anything can happen,
and if you do not save, you might need to start all
over again.

To save, you can:

1. Go to the FILE tab


2. Click on Save As (If you want to give the file a
special name, or save it in a different place) or
just Save

Or

1. Click on the save icon in the Quick Access bar

Or
Exporting to PDF
Different computers have different settings. If
you open your document on a different
computer, some things might change, like your
spacing, fonts, or locations of pictures. If you
have a document that must look a certain way,
such as an invitation, you can export this as a
PDF file. PDF files are special, they look
exactly the same on every computer.

1. Go to the FILE tab


2. Click on Save As
3. In Save as type, choose PDF.

OR

Instead of Save As, go to Export, and choose


XPS.

1. How to create a file in each program


2. How to format it, and add media
3. How to save and export it.

There are a whole lot of other tips and tricks that program can do, but as long as you can do
these basic things, you should be ready for the world outside.
