2.

REQUIREMENTS (Technical and Functional)

2.1 Technical & Functional Requirements

The contractor is responsible for supplying all necessary equipment and supplies required for the

operation of a coffee shop. This shall include but not be limited to the following items:

2.1.1 Coffee machines and grinders

2.1.2 Kettles and teapots

2.1.3 Coffee cups, mugs, and glasses

2.1.4 Saucers, teaspoons, and stirrers

2.1.5 Hot chocolate, flavored syrups, and other beverage ingredients

2.1.6 Milk dispensers and frothers

2.1.7 Coffee filters, filters baskets, and filter papers

2.1.8 Coffee-making accessories and utensils

2.1.9 Coffee shop furniture, including tables, chairs, and stools

2.1.10 Beverage-making equipment, such as espresso machines and blenders

2.1.11 Refrigeration equipment, such as ice makers and refrigerators

2.1.12 Cleaning supplies, such as mops, buckets, and cleaning solutions

2.1.13 Food storage containers, such as thermoses and canisters

2.1.14 Point-of-sale systems and cash registers

2.1.15 Menu boards and other signage


2.2 Quality Requirements

2.2.1 All equipment and supplies should meet or exceed industry standards.

2.2.2 Equipment should be energy efficient and have a low environmental impact.

2.2.3 Supplies should be made using food-safe materials.

2.2.4 All items should be well-constructed and durable.

2.2.5 The contractor should provide a warranty on all equipment and supplies.

2.2.6 The contractor should provide a maintenance plan for all equipment and supplies.

2.2.7 The contractor should provide service and repair assistance in the event of any malfunction.

2.2.8 The contractor should provide training sessions for staff to ensure the proper use of all

equipment and supplies.

2.2.9 The contractor should provide documentation and technical specifications for all items.

2.2.10 The contractor should provide certifications for all items confirming compliance with

applicable standards.

2.3 Resource Requirements (Equipment and Human Resources)

2.3.1 Physical Resources

2.3.1.1 The contractor should provide all necessary equipment and supplies required for the

operation of a coffee shop as outlined in Section 2.1.

2.3.1.2 The contractor should provide appropriate storage space for all items and ensure that they

are stored in a safe and secure manner.


2.3.1.3 The contractor should provide all necessary equipment and supplies in a timely manner.

2.3.2 Human Resources

2.3.2.1 In order to carry out the tasks, the seller must hire or make use of individuals who are

well-suited, knowledgeable, educated, and experienced.

2.3.2.2 For purchase, storage, building, and high-quality upkeep, the contractor must give an

adequate number of employees.

2.3.2.3 The contractor needs to give a breakdown of the roles, names of the accountable parties,

and reporting chains in an organizational structure.

2.3.2.4 To guarantee that all staff members can utilize all tools and supplies in the right way, the

contractor must provide them with the appropriate training.

2.3.2.5 The contractor is responsible for ensuring that all employees abide by the relevant codes

of behavior and safeguard the privacy of all project-related information, including blueprints,

material patents, and other sensitive information.

2.4 PERFORMANCE REPORTING REQUIREMENTS (During the procurement control)

2.4.1. In a timely way, the contractor must report on all purchases, delivery, and installs of tools

and supplies.

2.4.2. The contractor must guarantee that all tools and materials are created from food-safe

materials, are energy-efficient, and meet or exceed industry requirements.

2.4.3. The contractor must regularly notify the client on the project's progress, including any

delays or issues that have arisen.


2.4.4. The contractor must offer thorough reports on the performance of all tools and materials,

detailing any issues or fixes that are necessary.

2.4.5. The contractor is required to show proof of all warranties, maintenance schedules, and

service records.

2.4.6. The contractor needs to show that all of the compliance certificates with the relevant

requirements are valid.

2.4.7. The contractor should provide evidence of all training sessions provided to staff.

2.4.8. The contractor should provide evidence of any testings conducted on the equipment and

supplies.

2.4.9. The contractor should provide evidence of any quality assurance measures taken and the

results of those measures.

2.5 Senior Management Requirements (At high level of the organization)

2.5.1. Senior Management is responsible for making sure all criteria are satisfied in the allotted

amount of time.

2.5.2. The project's projected timeframe must be examined by senior management, which must

also provide the required monitoring and direction to guarantee that the project is finished on

time.

2.5.3. The contractor's performance reports should be reviewed by senior management to make

sure they adhere to the necessary criteria and are of a high calibre.

2.5.4. Senior Management must make sure the contractor has access to all the resources required,

such as tools, materials, staff, and training, to finish the project on schedule and within budget.
2.5.5. The contractor's financial performance, including expenses, budgets, and any possible

savings that might be realised, should be assessed by senior management.6. Senior Management

must ensure that the contractor complies with all applicable laws, regulations, and standards.

2.5.7. Top Management must assess the quality assurance steps implemented and confirm that

the contractor is adhering to the appropriate safety regulations.

2.5.8. In order to make sure that the project complies with the appropriate legislation and fulfils

the requisite standards, Senior Management must examine the contractor's documents and

certificates.

2.5.9. Senior Executives must guarantee that all warranties, maintenance plans, and service

records are offered and kept current.

2.5.10. Senior Management is responsible for ensuring that all required tests and inspections are

carried out and that the findings are evaluated.
