OPERATION MANAGEMENT, initial draft

MANPOWER:

 Read and implement the company policy.


 Keep the environment calm and prevent of any internal or external activity that might cause
stress for business (including employee and customers).
 Keep all the instruction in written form either as a memorandum letter or through some app or
tools such as TO DO LIST, TELEGRAM and etc.
 Any violation (either verbal or written) must be done in private area.
 Employees are not allowed to share any information regarding their salary and bonuses with
anybody either co-worker or customers.
 Taking any kind of alcohol, drugs and even medicine (exception: submission of doctor
prescription) for all of co-workers is strictly prohibited.
 Monitoring the co-worker’s behavior toward each other and creating a respectful and safe work
environment for them.
 Any tardiness, absenteeism, rudeness and any activity that might be harmful for company goals
must be reported to HR DEPARTMENT through incident report and during the investigation,
keeping all information confidential is a must.
 Monitoring co-workers time-in, break time-out, break time-in and time out to avoid of any data
manipulation.
 Any request for cash advance must be written in CA FORM and submitted to HR DEPARTMENT.
Releasing budget will be under HR DEPARTMENT DECISION based on operation manager advice.
 Any request for leave and exchange rest day, must be written in LEAVE FORM and submitted to
HR DEPARTMENT. approval will be under HR DEPARTMENT DECISION based on operation
manager advice.
 Co-workers are not allowed to go to office without prior confirmation with HR MANAGER.
 Collecting time records and validating them prior to submission to HR MANAGER.
 Issuing notice to explain form, violation form, pay slip and salary releasing.
 Ensuring that employees are in good mental and physical condition and preventing of employee
duty while they are not fit to work.
 Reporting any activities that might be harmful in short or long term for business to HR
MANAGER or company CEO.
 Conducting weekly general meeting with employee to ensure that all employees are updated
with latest company rules and policy.
 Setting up working schedule, rest days and break time.
 Request for hiring, recruiting high quality manpower, initial interview, collecting 201 files,
orientation, deployment and monitoring the employee performance.
 Training the new employee
INVENTORY:

 Keeping inventory list updated and reporting to ACCOUNTING DEPARTMENT with complete
details.
 Preparing the purchase order and submission to PURCHASING DEPARTMENT.
 Auditing the purchased or received material to ensure that there is no any discrepancy in
quality, quantity and even price (confirming the material price with suppliers is the key factor).
 Collecting a list of supplier’s address, contact number and product price list.
 Motivating, questioning and monitoring the purchasing team to improve their performance.
 Monitoring these activities with deep attention to details:
Products in & out to storage, products in & out to branch, expired materials, purchasing prices,
bottle reserve & bottle keeping, request for deduction of salary for missing items, securing
company assets.
 Preparing a master list of all suppliers including their contact numbers, products and price list.

MAINTENANCE:

Scheduling for general cleaning for air conditions.

Monitoring all equipment’s in kitchen, bar, cashier, sound system, lighting and etc. to ensure that they
are in good condition and conducting preventive maintenance and check-up.

Collecting a list of skilled persons and companies that we might need them for repair and maintenance.

Reporting the maintenance job order in group chats, following up and scheduling with skilled persons to
attend to our concern.

OPRATION:

 Double checking the entire facilities prior to opening the operation such as sound system,
lighting, air conditions, smoke machine, cleaning all areas such as glasses, comfort rooms, bar,
kitchen, DJ boot and dance floor, ktv room, VIP room and etc.
 Double checking the entire facilities upon closing the operation such as sound system, lighting,
air conditions, smoke machine, cleaning all areas such as glasses, comfort rooms, bar, kitchen, dj
boot and dance floor, ktv room, VIP room and etc.
 preparing dancer, DJ and performance team working schedule.
 Monitoring dancer, DJ and performers team performance.
 Preparing a master list of all DJ, dancer, mc, performer including name, pictures and contact
numbers and highlighting those who have the best performance.
 Preparing and keeping updated all the SOP’s for servers, utilities, bar tenders, cashiers, chefs,
shisha boy, dancers and etc.
 Coordination with head office regarding implementation of memorandums.
SECURITY:

Reviewing and confirming the security team schedule and positions.

Reporting any incident that might be occurred due to security team’s mistake.

Attending to governmental offices and officers concern such as police station, barangay, city hall, bir and
etc.

Times to times checking up the fire extinguishers to ensure that they are in right place and right
condition.
