FOREWORD

Praise and gratitude, may God continue to pray for the presence of Allah SWT has
given all the abundance of His grace to all of us, so that the program PBL (Project Based
Learning) with the title Incoming and Outgoing Letter Procedures well organized and timely.

Regarding the Covid-19 pandemic, SMKN 2 Teluk Kuantan took a policy to do


street vendors in the form of PBL and we as students are ready to carry it out.

PBL (Project Based Learning) makes projects as a substitute form of PKL (Field
Work Practice). Hopefully the results of the project are useful for me personally, the school
and the general public.

We hope that these PBL (Project Based Learning) programs can beneficial.
Therefore we expect constructive criticism and suggestions the final result of this project
work went well, thank you so much.

CHAPTER 1
PRELIMINARY

1.1 Background
Letters are a means of communication used as a means of information in writing, the
information provided is in the form of notifications, questions, orders or reports. Letters
received or sent by companies or institutions education has various types of letters, if the
letter is not handled specifically and one of the letter makers will cause problems for flow
of communication and information.

Therefore we need someone who is able to manage incoming and outgoing letters come
out with certain methods and systems to anticipate these problems properly and correctly.

1.2 Problem Formulation


In accordance with this background, the formulation of the problem is obtained as
following :
a) Problems with managing incoming and outgoing letters at BAPENDA
(Regional Revenue Agency) Kuantan Singingi.

1.3 Purpose and Benefits


1.3.1 Purpose
a. Knowing the importance of letters in the organization
b. Can distinguish between incoming and outgoing mail
CHAPTER II
ACTIVITY PROGRAM

2.1 Work Procedure


1. Procedure for handling incoming mail
a. Reception
At the reception, the letter is received by the front office.
b. Mail sorting
After the letter is received from the receptionist, then the letter is separated
based on the destination address.
c. Recording of letters
Recording is done using an agenda book. Officers can read a letter to find out
if it is a regular letter, important or confidential letters.
d. Briefing of letters
Directing the letter is to determine who will process letter related to mail
problems. Mailing done by the leader who will be responsible for handling
mail the.
e. Submission of letters
If the leader has written disposition instructions, then the letter will be given to
the person appointed by the leadership disposition bar.
f. Mail storage
If the letter has been processed, the original must be submitted to
administrative section to be stored with a certain storage system.
2. Outgoing procedure
a. Drafting letter
Compiled in accordance with the correct form of the letter or the will of the
leadership.
b. concept approval
After the concept is completed, it must first be approved by the parties
responsible for the letter.
c. Giving letter number
The concept will be completed or given a letter number.
d. Concept typing
In the typing process, you need to be careful because there are many important
things must be true and appropriate.
e. Letter signing
After the concept is ready to be typed and equipped with all the completeness.
The letter is ready to be signed.
f. Stamping
Stamping on the top left of the signature and hitting a little mark the person who
is directly responsible for the letter in question.
g. Recording outgoing mail
The next step is recording on the outgoing mail agenda book. Which recorded
are the serial number, date, purpose of the letter, subject, letter number,
attachments, origin of the letter, and information.

Correspondence activities in an organization play a very important role important in
achieving the goals of the organization. Likewise for officers who handle correspondence,
should have skills in the field of correspondence.

5.2 Suggestions

While carrying out field work practices at the KUANTAN SINGINGI REGENCY
REGIONAL REVENUE AGENCY Office (BAPENDA), the writing of incoming and
outgoing letters on the agenda is well organized and the filing is also well structured and neat.

And all Field Work Practice (PKL) activities at the Regional Revenue Agency of Kuantan
Singingi Regency are running well and efficiently.
