1 Registration process

1.1. HEI’s who are applying for A& A process for Cycle 2 onwards or Re-assessment
 HEI’s who are applying for A& A process for Cycle 2 onwards or Re-assessment can directly
Login.
 Use old credentials (Username & PASSWORD) which were used for earlier LOI process.
 In case you have forgotten the password, click on “Forgot Password” link to get the reset
password link to your registered institutional email-id.
 In case you have forgotten both username & password or for any other queries regarding
login kindly contact NAAC helpdesk at naachelpdesk@gmail.com

 On the Login page, you can also find Help Documents and Contact Us Details.

1.2 HEI’s who are applying for A& A process for Cycle 1
 HEI’s applying for A &A process for the first time/Cycle1 Process has to click on “New
Registration” link and proceed as instructed.
 Type in your HEI Name, HEI Type, AISHE ID, HEI Email and Mobile number.
1. HEI Name: Type in Name as per the record of UGC/MHRD

2. HEI Type : College or University - Choose University here

3. MHRD AISHE ID- id: This is nothing but the reference number, Eg: U-1234,
provided to HEI’s on uploading the institutional information on MHRD AISHE

ID portal.
4. HEI Email: This should be a university email-id that shall be used for all
communication henceforth. No personal emails are to be entered. Please note,
the email-id you have registered cannot be changed. Max: 50 characters
5. Mobile Number: This number that shall be used for sending all SMS alerts
from NAAC hence it should be the Head of Institution’s official Mobile number
or mobile number of any responsible person from university. Max: 10
characters

 Enter the CAPTCHA as seen in the image in the textbox provided or click on the
CAPTCHA image to reload a new captcha.
 Then click on Register button.
 You can also click on Cancel button to cancel the registration process.

 An activation link will be sent to your registered email address, click on the link to
activate your registration.

1.2.1 Activation Link Email alert


Once the Registration is complete the HEI will receive an activation link to the registered institutional
mail address.

 Click on the link to activate.


 On activation your login credentials (Username & password) will be sent to the same
registered institutional mail address.

1.2.2 Login credentials Email alert

 Now Login into the HEI portal on NAAC website with the user name and password given in
the email.

 As soon as you login make sure you change the password (Refer 2.3 - How to change
password) for security purpose. The login credentials will be unique for an HEI for the

complete Assessment and accreditation process.

 Please note you can use the same login credentials in future also.

2 Login and IIQA Process

2.1 How to Login


 Please type your username, password as received in registered email-id from NAAC.
 Next enter the CAPTCHA to login. You can click on the image, if you want a new captcha.

2.2 Dashboard
After login, the first page you see will be the Dashboard screen. In this screen you will see

 Status of IIQA Payment etc


 Alerts and Notification – Important Information or Guidelines NAAC has provided
 Important Dates – Dates to be taken care of, regarding your IIQA and SSR process

 Previous cycle information if any.

On the left hand side you can see all the menu options.

2.3 How to change password


 You can access the change password option by clicking on Account icon on the

right hand side of the window.


 First type the old password and next new password twice, and then click on

submit.

 You will receive an email on your registered institutional email id with the new
password, for login reference in future.

 According to Password Policy, it should satisfy following conditions:

o Length should be between 6 to 9

o At least one character (A-Z or a-z)

o At least one number (0-9)

o At least one special character (!, $, #, %, _, @)

2.4 Left Hand Side Menu details


Various options are available in the left hand side panel of your home screen.

2. Manage IIQA

Manage IIQA
 Click on the Manage IIQA option and it will open the application form of IIQA along with 4

left menu options to do various actions.

 We can save the details at any time of filling the form by clicking the save & next button
shown on the bottom of the page.

 Sample data is entered in the application form as shown below.

2.5 Prepare IIQA


When we click on Prepare IIQA option, the IIQA form opens with 5 tabs that need to be

completely filled, before proceeding to Make Payment. Below, each tab and sample details to
be filled in each tab has been explained.

2.5.1 Basic Eligibility


This tab is for capturing the basic eligibility criteria of an HEI, to be eligible for Assessment
Process.

In Basic eligibility form the following important details are to be filled:


1. Name of HEI: The name of the Institution shall be as mentioned in the UGC/MHRD
notification letter.

2. City: Name of the city in which the HEI is situated should be filled.
3. State: Name of the state in which the HEI is situated should be filled; enter the first 2 or 3

letters of the name of the state and choose from the suggestions displayed.
4. Date of establishment of the institution: Either the date of establishment of HEI should be
mentioned. Or the year of establishment of the HEI can be mentioned if date is not known.

5. Years of graduation of the last two batches: Latest two years of batches graduated from HEI

has to be mentioned in Year 1 text box & Year 2 text box respectively.
After filling all details please click on Save and Next to proceed.

If basic eligibility form is saved, you will be able to proceeding to the next tab Affiliation
Compliance.

Refer Eligibility Criteria Manual in NAAC Website for further details.


At any point of time, you may click on View IIQA compliance, to see how much of IIQA

Compliance have you successfully met.


Here ‘Errors’ signifies errors in any forms saved until now in IIQA & ‘Warnings’ Warnings
in Any forms saved until now).

If any errors or warnings in this window click on respective tab to get the details.

Eligibility Condition-

The conditions for basic eligibility of A&A are as follows:

 At least six years of existence since inception of HEI. OR


 At least two batches have graduated from the HEI.

HEIs can proceed further if at least one of these two conditions is met. You will have to come back at
a later stage when you meet basic eligibility criteria and are eligible to apply for accreditation.

2.5.2 Affiliation Compliance


In this tab, you will fill information regarding Affliations and SRA Programs.

1. If HEI is offering any programs recognised by SRAs other than UGC, that information should

be filled here.
2. You can add SRA Programs applicable to your HEI from the list, and upload supporting

document (Approval or appplication of Approval) for the same.

2.5.3 Profile Information


This tab is for capturing all Profile related Information of the HEI.

The following important information is to be filled:

1. Salutation and Name of Head of Institution


2. Designation of Head of Institution.
3. Functioning from own campus yes or no.
4. Address of HEI. Address-Min: 20 characters, Pin code-Max: 8 numbers
5. Phone numbers of HEI.STD Code -Max: 5 numbers, Phone number- Max:10 numbers; Fax
No- Code Max: 3 numbers, Fax Max: 10 numbers; Mobile number Max: 10 numbers

6. Email information of HEI. Max: 255 characters


7. Alternate faculty details- Salutation, Name and Designation

8. Alternate faculty address details. Address-Min: 20 characters, Pin code-Max: 8 numbers


9. Alternate faculty phone numbers. STD Code -Max: 5 numbers, Phone number- Max:10
numbers; Fax No- Code Max: 3 numbers, Fax Max: 10 numbers; Mobile number(should not
be same as primary mobile number) Max: 10 numbers

10. Alternate faculty email information (should not be same as primary or alternate email of

HEI)Max: 255 characters


11. Website of HEI. E.g. www.abc.com

12. Nature of HEI has to be selected and documentary proof for the same needs to be uploaded
13. Select type of University whether it is Unitary or Affiliating

14. And details about the University Institutes/Campuses under it have to be filled.

15. UGC 2f recognition if yes proof has to be uploaded


16. UGC 12B recognition if yes proof has to be uploaded

17. Recognition as Potential for Excellence if yes proof has to be uploaded


18. If University not recognised by UGC then Parent Authority proof must be attached
19. Date of uploading data on MHRD website for AISHE
20. Attach declaration by the Head of Institution on adherence to rules & regulations of the
Statutory Regulatory Authorities or other applicable governing/administrative authority.
21. SSR Upload link URL
22. Statutory Declaration on institution website under Section 4(1)(B) of RTI Act 2005 select yes
or no.
23. Statutory Cells or Committees of the Institution has to be selected.

University Institutes like Satellite Campus, Off Campus, Offshore Campus, Regional centres,

Institutes, PG Centres and their addresses are to be filled. Enter the details like State, City,

address of the University Institute and click on Add button. You can click on remove to delete
the entry made.

When there is no recognition for University under purview of UGC, you must specify the
Parent Authority under which it was established along with documentary proof for the same.

2.5.4 Academic Information


This tab is to capture all Academic information of the HEI, like

1. Number of programs offered. Max: 2 numbers


2. Program details. Department name Max: 100 characters
3. Details of staff. Max : 7 numbers

4. Details of students. Max : 7 numbers

5. MOU related information and documentary proof

You can add the Departments in your HEI, by clicking on add button under Program details,
which then gets populated in the Department list.

You can now select the Department, add corresponding programs.


If any program is recognised by SRA select the name of the SRA accordingly.

You need to add the Program details as per the Number of programs you have given
previously for each level of programs. E.g. If you enter 2 in UG programs, but fill details of
only 1 UG program, your information is incomplete. Hence you cannot proceed further.

You need to enter the number of all Permanent, Other and Non-Teaching Staff and Regular

Students.

2.5.5 Quality Information


Quality related information is captured in this tab such as:

1. Date of establishment of IQAC


2. Minutes of IQAC meeting and Action Taken Report (applicable to HEIs coming for Cycle 2

onwards)

3. Date of submission of AQARs of last 4 years to NAAC and supporting documents for the
same. (applicable to HEIs coming for Cycle 2 onwards)

How to proceed for payment?

2.6 Make Payment


After filling all tabs under Prepare IIQA, you may proceed to make payment.
Input all the values as asked in the space provided and click on save and next button.

The following details regarding your payment will be captured


1. Amount (prefilled)
2. DD number. Max : 6 numbers
3. Date of DD issuance
4. Bank name

5. IFSC Code. Max: 11 characters


6. Copy of DD has to be uploaded.

How to do the final submission of IIQA?

2.7 Submit IIQA


After making payment, you can proceed to submit the IIQA.

Please accept the terms and conditions by clicking on the checkbox.

Finally at the bottom of the page we have a Submit IIQA button. Click on the button and the
IIQA will be successfully submitted
Please remember after IIQA submission, no further editing of IIQA details will be allowed. So

please check the errors & warnings generated and correct it accordingly.

As soon as the HEI submits the IIQA an Email alert will be sent to the registered email

address of the HEI.

Henceforth whenever you login to HEI Portal on NAAC website, you will see the following
message.

2.8 Assessment History


On clicking on Assessment History you can view the details regarding your assessment like your

current cycle of accreditation and status.

2.9 Assessment Timeline


You can at any point of time, see the Assessment history of your HEI, by clicking on Assessment
timeline. This will show all activities since your registration.

2.10 How to preview IIQA form and documents?


At any point of time during the IIQA filling process or later, you may click on View filled details link on

top of the window, under that 2 sub tabs. The first one is named as Preview PDF and the second one
is named as Preview uploaded documents.

1. The First sub tab Preview PDF is used get the preview of data that the HEI has entered for

IIQA Registration.

2. On the top right hand side corner we have a Download PDF button to download the
document.

2.10.1 How to view uploaded documents?


The second tab Preview uploaded document is used to view the documents that the HEI has

uploaded against specific questions. In the list please click on the view option to get the document.
