(Permanent Whole Time)

Job Specification

1. The Post:
This post will be filled on a permanent whole-time basis, 35 hours per week.

2. Reporting to:
Head of Faculty or such other person as may be appointed by the President or assigned from time to time.

3. Eligibility
This is a confined competition from the Education & Training Sector Candidate Pool (The Education & Training
Sector Candidate Pool is the pool of eligible applicants that may apply for administrative postswithin the
Education and Training Sector, the Education and Training Sector comprising of Education and Training
Boards (ETBs) and Institutes of Technology (IOTs).

Essential Requirements
Candidates must:

• have the requisite knowledge, skills and competencies to carry out the role. Competencies will be informed
by best practice Public Appointment Service competency frameworks for the Irish Public Service;
• be capable and competent of fulfilling the role to a high standard;

• have obtained at least O6 in five subjects in the Leaving Certificate Examination (higher, ordinary,
applied or vocational programmes) or equivalent or have passed an examination at the appropriate level
within the NFQ which can be assessed as being of a comparable to Leaving Certificate standard or
equivalent or higher or have appropriate relevant experience which encompasses equivalent skills and
expertise;
• have at least two years in a Grade III post, or equivalent, or higher, in the Education and Training
Sector;
• have successfully completed their probation period or have successfully completed a probation period at a
lower eligible grade.

4. The post holder will provide administrative and organisational leadership within the Faculty for Postgraduate,
Springboard and Apprenticeship programmes as well as International Students and will be responsible for the
effective and efficient administrative management of the Faculty.
The Job involves access to and processing significant confidential information and involves regular contact with
students, staff, the public and organisations and individuals at all levels where discretion, tact and courtesy has to be
constantly exercised. The post holder is required to take decisions involving the conscious exercise of judgement.

• Be capable of displaying initiative and exercising a high degree of delegated responsibility at a senior level;
• Possess well developed communication, presentation and team working skills;
• Have experience in the preparation of reports and the presentation of the results / findings contained in such
reports;
• Have a high degree of computer literacy including Microsoft applications;
• Have proven administrative abilities and experience;
• Have experience in the supervision and management of staff;
• Have strong organisational skills with the ability to problem solve and work to tight deadlines;
• Be familiar with Accounting (Agresso)and Student (Banner) Software Systems;

Key areas of responsibility include but are not limited to:

Administrative management of the Faculty.

Working as part of the Faculty team, the post holder will be expected to be enthusiastic, innovative and self-motivating
in responding to the requirements of this challenging post the position necessitates both formal and informal
leadership and a high level of interpersonal skills is required. The appointee will undertake administrative
management of the Faculty including such tasks as:

• Managing the operation of the Faculty Office - including overseeing the planning, design, review,
implementation and ongoing operation of quality assured administrative systems to support (i) academic and
general administration and (ii) records management (including electronic and manual records);
• Supervising clerical and administrative staff assigned to the Faculty, organising the smooth running of the
administrative function and setting and maintaining high standards of effectiveness and efficiency to include
developing and implementing appropriate administrative Standard Operating Procedures;(SOPs);
• Co-ordinating the administration associated with Programme and Exam Boards, including the administration of
Board Meetings and associated tasks; for Postgraduate, Springboard and Apprentice Programmes within the
Faculty.
• Supporting tenders such as Springboard, uploading documents to tender portals after they are finalised by the
Head of Department
• Liaise with International Office in the provision of support to international students
• Liaise with SOLAS and ETB regarding Apprenticeship programmes. Reporting attendance/absences to ETB,
management of exam paper/practical exams via Cascade (Online Platform used by SOLAS)
• Provision of student support including general queries, deferral requests, extenuating circumstances, certified
absences, exit award requests, exam deferrals, qualification verification requests etc.
• Supporting online and flexible learning activities within the Faculty.
• Provision of support to Department teaching staff with regards to student attendance, CA scheduling, purchase
order requests, data collation, online student inductions, document dissemination etc.
• Provide support to the Dissertation Co-ordinators for Post Graduate Dissertations, keep records of Dissertation
Deferrals, Extensions etc.

Such other duties as may be required from time to time.


Remuneration: Grade VI Salary Scale: €51,528 – €62,951

Selection Procedures:
Selection will be by interview and in accordance with procedures laid down by the Minister for Further and Higher
Education, Research, Innovation and Science. Short-listing may take place. The completed application should be
submitted online not later than 12.00 noon (Irish Local Time) on Friday 6 January 2023.

Location: The post holder will be based on the ATU Donegal, Letterkenny Campus.
