CHAPTER ONE
1.1 BACKGROUND
Nimmomack convenience store is a small convenience store that was opened up at Karen
Garden estate. The convenience store offers products to its customers. Nimmomack
convenience store was opened up on 22nd March 2019.
It is a sole proprietorship business that is owned by Anne Mwangangi. The convenience store
has three employees. The three employees deal with stocking up the shelves and arranging
the shelves while the owner Ms. Anne is the cashier of the convenience store. The
convenience store gets a lot of customers from the estate and it gains profit as it benefits the
members of the estate. The convenience store is always properly stocked with products the
owner buys for the store.

1.2 PROBLEM STATEMENT

The convenience store has no computerized system for inventory of stock and sales hence
Ms. Anne has a lot of paperwork-delivery notes, invoices and bills of the stock that has been
brought in and that has been sold so she loses track of some stock enabling some of the
employees to take some products from the shelves at the convenience store without the
knowledge of the owner.
Ms. Anne also has to be the cashier all the time because she does not trust the employees
with the money.

1.3 PROPOSED SOLUTION.

Creating an inventory management system that can keep track of the invoices and bills of
goods brought into the convenience store, and receipts of the goods sold and the stock of
goods available in the convenience store.

1.4 OBJECTIVES.
The main objective
Is to create an inventory management system for Nimmomack convenience store.
The other objectives are:
A. To research about the inventory management system.
B. To analyze and design an inventory management system.
C. To test and implement the inventory management system.
1.5 JUSTIFICATION
The inventory management system is supposed to:
 keep track of the number of the goods of each product that are delivered to the
convenience store.
 keep track of the number of goods of each product that are in stock in the
convenience store.
 keep track of the number of goods of each product that have been sold from
convenience store.

This will therefore help the owner determine the fast moving goods, the slow moving goods and
also the amount of sales and therefore profit made in the convenience store each month.

1.6 SIGNIFICANCE OF STUDY.

1.6.1 INTRODUCTION

The significance of this study is a part of the introduction of the research. It should determine wo
benefits from the study and how that specific audience will benefit from its findings

In this case the audience that benefits from the study is Ms. Anne who would be able to keep
track of the amount of goods that are brought in, the amount of goods that are in stock and the
amount of goods that are sold from the supermarket. This will assist her to know if any goods are
taken from the supermarket without her knowledge by the three employees who work with her in
the supermarket as well as help her manage her sales and profits.
CHAPTER TWO
2.1 LITERATURE REVIEW

2.1.1 INTRODUCTION

This chapter includes substantive findings as well as theoretical and methodological

contributions concerning the inventory management system of Nimmomack convenience store.
According to Chase, Jacobs and Aquilano (2004), inventory is the stock of any item or resource
used in an organization. Finally, Pycraft et al (2000) defined inventory as “the stored
accumulation of material resources in transformation system”. Due to uncertainty in future
demand, and because of the unguaranteed availability of supplies, stock is therefore held to
ensure an availability of goods. The purpose of holding stock by a firm is for three motives
(Drury 2000) that is precautionary, transaction and speculative motive. Gruen and Corsten
(2007) document that stocks-out have serious implications for businesses and they affect owners,
employees, customers. Customers delay of purchase, or not making a purchase may result from
such behaviors. According to an inventory management system developed by Robert Nyamao in
2012, his system was to affect the quality of products/ services offered by the SSEs and the
businesses’ image as compared to its competitors. The fallback of this system is that it does not
improve the business performance or the satisfaction of customers through keeping track of
various stocks improving the sales and the market share I the competitive world.
CHAPTER THREE

3.1 METHODOLOGY
3.1.1 Research Methodology

This is the process of collecting data and information for the purpose of making business
decisions. This processes include, interviews, surveys, document reviews ad questionnaires.

 Document review- this is the use of knowledge from already written sources either past
or present sources.
 Survey- this method is observation of peoples’ attitudes, opinions, behaviors ad
characteristics. This is the method used for this project as the convenience store is in our
estate and the convenience store lacks an inventory management system.
 Interview-a method that contains an interviewer and interviewee. This is another method
that was used in this project where Ms. Anne was the interviewee and as a frequent
customer she did not mind voicing her concerns to me.

3.1.2 Development Methodology

This is a framework that is used to structure, plan and control the process of developing an
information system. The following are some of the methodologies used:

i. Rapid Application Development

This is an agile project management strategy popular in software development.

The key benefit of using this methodology is fast project turnaround, making it an attractive choice
for developers working in a fast-paced environment.

This is made possible by RAD’s focus on minimizing the planning stage and maximizing prototype
development.

Phases in RAD.

 Requirements planning.
Goals and expectations for the project are determined in this stage as well as current and potential
issues that would be addressed during the build.

 User Design

Clients work with the developers to ensure their needs are being met at every step in the design
process.

 Rapid construction

This phase takes the prototypes and beta systems from the design phase and converts it into the
working model. This phase includes: preparation for rapid development. Program and application
development, Coding and Unit integration and system testing.

 Cutover

This is the implementation phase. It includes data conversion, testing and changeover to the new
system as well as user training.

Benefits of RAD.

i. RAD lets you break down the project into smaller, more manageable tasks.
ii. Tasks are assigned according to members’ specialty and experiences.
iii. Clients get a working product delivered in a shorter time frame.

3.3.1 System Development Life Cycle.

There six stages in this cycle:

 Planning
 Analysis
 Design
 Development and testing
 Implementation
 Maintenance
SDLC’s aim is to produce high-quality systems that meet or exceed customer expectations by
delivering systems within scheduled time frames and cost estimates.
