Vision and Values

To be a space where the Latin-American community can share their traditions, culture, music, dance,
and food with the wider and multicultural community that lives in Tamaki Makaurau Aotearoa, where
everyone can be treated respectfully and feel included.

Objectives
1. To promote Latin-American products, services and culture to the whole community

2. To provide a platform for Latin-American small and emerging businesses to have an affordable, safe
and supportive space to trade and share experiences

3. To share Latin-American culture, dance and music.

4. To create a public gathering point, for neighbors and Latin-American people


Guidelines, Health and safety
The event will be held the second Saturday of every month open to public from 10am to 3pm at Ellen
Melville Centre, 2 Freyberg Place, Auckland CBD, Auckland, 1000.

Stalls setup will be from 8:00am until 9:30am, during that time only the bollards will be open to drive
straight through Freyberg place to unload the vehicles only, after unload, vehicles should be removed
right after to allow more stallholders to complete the same process, a schedule with each stall setup
time and location will be sent by email to all participants at least 5 days before the event.

Safety check will be done by the organizer from 9:30am – 10:00am

Stalls that require power, will have to bring their own power cords with safety tags up to date, this will
have to be requested on your EOIs to evaluate availability.

All stalls should remain set until 3pm, even if they run out of products (failure to comply will ban you
from the next events)

All vendors must keep their goods and money in a safe place.

There will be a speakers system with a mic, so in case of any missing kids, public that needs first aids,
etc., please contact the event manager to handle any emergency situation, there will be a trained first
aider on site, and fire extinguisher.

All stallholders must work in a safe manner to avoid accidents for their employees and clients. If you
witness or visualize any hazard, unsafe condition or behavior, get in touch with the manager so it can be
improved immediately.

In case of an emergency, the meeting point will be at the lower part of Albert Park at the Kitchener St
entrance.

Food vendors must comply with Food Act 2014, Auckland council requirements and all legislation and
rules that applies to your business. A copy of food register, and public liability insurance will be
requested when logging EOIs

If the government imposes COVID restrictions, we may suspend the operation of Carnaval Latino if we
cannot operate this event safely. This will be made at the discretion of the Carnaval Latino Team with
stallholders and communities health and safety in mind.

Stallholders responsibilities
Clean-up and Rubbish

All stallholders must ensure that their site and the area that surrounds it is left clean and tidy once the
market closes. Part of the market vision is to achieve zero waste over the first few years of operation. To
help achieve this, recycling bins are provided at the market for customer use only; stallholders are
required to take all of their own rubbish away with them.

Labelling and Signage

All stallholders will be expected to comply with the Australia and New Zealand Food Standards Code,
including exhibiting their food registration and the requirements to correctly package, label and describe
value-added goods. Further information is available at

stallholders must comply with all legal requirements.

Rules of Conduct

All stallholders are expected to conduct their business in a courteous and professional manner while
participating at the event.

The Event Manager has the authority to immediately suspend the trade of any stallholder who
disregards the rules of conduct

The following behavior will not be tolerated:

Publicly aired arguments with customers or stallholders or Site Manager

Public swearing

Intimidation or harassment

Failure to comply with the Site Manager's directions

Carrying out any activity that is in serious breach of the Market Charter

Denigrating the market to customers and stallholders during the course of business

Smoking anywhere within the marketplace

Attendance under the influence of drugs or alcohol.

Failure to comply with health and safety requirements


Presentation

Stallholders will be expected to be neat, suitably dressed and to deal with the public in a courteous
manner.

Products should be displayed attractively, with due regard for consumers and other stallholders.

Fees

The fees per event are determined by the choice of stall, as follows:

A) Service providers $30 (size to be discussed)


B) Handcraft $30 3x3 m gazebos
C) Food Vendors $50 3x3m gazebos
D) Others (to be discussed)

Stall fees cover site space, management and marketing of Carnaval Latino, assets and day-to-day

operations. The venue has limited power, and there is an additional fee per event per stall for power.

Stallholders must provide extension cords, isolating transformers etc. which must be tested and tagged.

Stall layout will be at the discretion of the event Manager in line with the best interests of the

event. An event plan will be kept by the Manager and will be available for perusal on event days. The

Event Manager reserves the right at any time to alter the size, shape and position of floor plans as may
be necessary for the best interests and legal requirements and health and safety of stallholders and
customers of the event.
Bookings, refunds

Stallholders need to book and pay the fees at least 3 weeks prior to the event

If the stallholder notifies his absence at least 14 days before the event, will be 100% a full refund will be
issued.

If the stallholder notifies his absence at between 13 and 7 days before the event, 50% refund will be
issued.

If the stallholder notifies his absence less than 7 days before the event, no refund will be issued.

Stallholders who consistently arrive late to the given setup time, will be issued with an official warning.
Any continuance may result in suspension of trade at the event.

Disclaimer of Liability

Carnaval Latino will not be liable for any loss or damage to the property of the stallholders due to

fire, robbery, accidents or any cause whatsoever that may arise from use and occupancy of the site.

Carnaval Latino assumes no liability for any damages or losses resulting from or relating to the failure of
the stallholder to comply with the provisions of this Charter.

Insurance

Food Stallholders must hold their own Public Liability Insurance and work to minimize risk to
themselves, their employees and their customers. Stallholders trade at Carnaval Latino event at their
own risk.

Complaints Process

Please bring any concerns or suggestions to the attention of the Event Manager. Official complaints
must be submitted in writing to the Manager. Written complaints will be tabled and addressed in a
timely manner.

The management will determine what action (if any) is required in relation to the complaint and will
respond to the complainant in writing regarding what actions will be undertaken.

Stallholders who are the subject of a complaint are expected to fully co-operate with the manager in
relation to the investigation of a complaint or breach of the Event Charter.

As a matter of governance, this Charter will be reviewed by the Manager in June/July of each year, with
any new alterations ratified by 30th July 2023, if any other modification needs to be introduced before,
it will be communicated by email to the stallholders.
