Leveraging Technology

Systems and tools are powerful solutions to scaling. The tools available to
scale onboarding programs have evolved significantly and are so much
better than even a few years ago. They offer capacity AND consistency. You
get much more bandwidth and guaranteed quality and timing so your new
hires never feel forgotten or fall through the cracks.

When evaluating tools, consider these elements when talking with


prospective vendors:
• Cost or pricing: Partner with Finance or your team leader to understand your
budget and pricing considerations, and how that looks over time. For example, one
HR team got a one-time budget to test out a tool, but didn’t anticipate how
budgets would work the following year. In the end they needed emergency funds
to cover the following year.

• Security and compliance considerations: Partner with legal and IT to understand


key questions to ask and specific considerations. Especially if your company
operates globally, restrictions around employee data and access may vary across
different regions. For companies in certain industries like financial services or
government, there might be additional considerations. This is one of the biggest
blockers to getting technology implemented, and usually the least understood in
advance of exploratory conversations.

• User experience: Take two perspectives when considering this -first as the
employee or new hire, and second as the administrator of the product. There are a
slew of questions you can ask related to this about various features, which
integrations exist with your other tools, how automation works, how long it takes
to implement, and more.

• Kick the tires: Get a demo, talk to other customers about their experiences (what
did they like, what pitfalls did they encounter, what do they wish they did
earlier/later). And most importantly, make sure to ask to test out the product
directly if possible. The demo always looks sleekier and easier than actuality, and
implementation / integrations usually takes time (i.e. longer than you expect).
