CHAPTER I

BACKGROUND
Introduction

Nowadays, technology is an integral part of how people live their daily lives;

some rely on digital or electronic information when it comes to information

dissemination, from fillable forms to any type of digital medium. Our group has

talked about the problems with distributing, gathering, and grading as well as the

challenge of ensuring fairness and consistency in grading. Our team has

conceptualized the Online Grading and Monitoring System with Event

Announcement for Fullbright College to help the acquisition of the student’s grades

minus the downtime of the instructor’s traditional way of disseminating grades and

announcements for students as such information is vital in doing evaluation for

moving on to the next grade or year level.

Students can examine their grades utilizing the online grading and monitoring

system for Fullbright College by logging in with their accounts. To enhance

operational work, many public and private schools are using continuous improvement

programs. In addition, managing hundreds of records accurately without automation is

challenging for teachers. With the use of the Online Grading and Monitoring System

with Event Announcement for Fullbright College, teachers' administrative

responsibilities can gradually decrease.

The Fullbright College Online Grading and Monitoring System with Event

Announcement is extremely reliable, quick, and easy to use. The benefit of using this

system for students is that it enables them to view their performance online at any

time and from any location as long as there is an internet connection.

The registrar's office is one of the entities with access to the existing system,

which was a standalone system. For many years, they have used the outdated system,

but as time goes on, students need a more effective and efficient grading system that

they can access at any time. In some cases, the registrar is unable to accommodate all

of the students who wish to receive their grades on the day of enrolment. In addition,

they are unable to provide incomplete grades. They won't have to wait in line at the

registrar's office because it is available via smartphone, which is a great benefit. The

proponents offer a system that is highly beneficial for the information system teacher

and students since, with this system, the instructor may also encode their grades

online like quizzes, exams, and other activities utilizing the present standard grading

system of the school.

Background and Context

Established in 1998, Fullbright College is a private, nonsectarian college. The

Fullbright exchange program, a fellowship established by former US Senator James

William Fulbright in 1946, served as the inspiration for the school's name. The

program's goal—which has now been adopted as Fullbright College's mission—is to

advance worldwide understanding and research. Undergraduate degrees are available

in education, business administration, criminology, computer science, electronics

engineering, hotel and restaurant management, information technology, and tourism

management at Fullbright College.

Our group has selected Fullbright College as the site for our investigation. The

team's goal is to lessen face-to-face interactions to slow the spread of today's

undesired diseases like Delta and Omicron, which are variations of Covid-19.

Additionally, our goal is to help the school's administration, instructors, and students

by offering an online platform for stakeholders and reducing the delay in accessing

the students' grades. Therefore, this effort will alleviate the population swarming that

occurs during the busy season for Fullbright transactions. Due to absence, work, lack

of transportation, poor health, etc., or some encounter situations when it is not

possible to pick up the grade report on that particular date. This study suggests the

employment of technology in the form of a system that will enable stakeholders to

keep an eye on students' performance, which may be assessed in an easier and more

effective way (Ramazhamba et al., 2018). Monitoring students' academic progress has

grown to be a pressing concern in recent years (Averin et al., 2021). In addition, it is

accurate to say that the organization's current environmental concerns are being

compounded by the rapid rise of new challenges and technological advancements.

Our team works to advance Fullbright College's future innovations as a result. In

order to produce a native, high-performing system and make our system accessible

across all platforms and smart devices, our team will be employing Python

programming through Visual Studio Code.

Purpose and Description

Main Objective

To aid the school's academic and non-academic personnel with frequent and

common inquiries regarding in specific the student's grades and provide a secure

viewing platform for students.

Specific Objectives

● This study aims to assist in correctly computing grades and rendering

grades online.

● To develop a system that the teachers can easily access and input

grades.

● To develop a system that the administrator can easily access, and view

classes grades, or specific students.

Project / System Description

This study makes it easier for students to securely view their grades online

with just a simple tap on their smart devices.

● The Proponents – The team will benefit from the project for the purpose of

this being our thesis project that potentially paves the way toward our bright

future.

● Fulbright College - the school will benefit from this system in a way that can

help them innovate and improve one part of their school’s process.

● Faculty - They will be able to input their part of grading such as Quizzes,

Attendance, and Recitation into the system.

● Registrar – Will be able to view or generate reports for evaluation purposes,

be able to input final exam raw Score from the instructors and be available for

viewing, and add student account.

● Students – This system could provide viewing anytime and anywhere they

wish to view their grades. It could also help them save time by cutting the time

and expenses of visiting the registrar’s office.

● Administrator - The school’s administrator will be able to view the student’s

grades conveniently without the downtime of going through the physical files

for evaluation, post announcements, adding or removing personnel accounts,

creating, editing, deleting records, and toggling on or off the viewing ability of

the final grade of students.

Scope and Delimitations of the Project

This project aims to provide assistance in rendering and viewing students’

grades online. This study will be conducted at Fullbright College, Mangga Street,

Km. 5, National Highway, Brgy. San Jose, Puerto Princesa City, Palawan from

February 2023 to May 2023.

This project will focus on Fulbright College students under the third-year

BSIT3A and its administrative offices and also on the stakeholders in viewing grades

online.

All non-Fulbright’s third-year BSIT3A and its administrative offices are

excluded in this study and also, this project will not have notifications, messaging

features, or password recovery through the online system.

Definition of Terms

● Database – A collection of pieces of information that is organized and

used on a computer.

● Encode – To put the information of someone in the database and

convert it into coded form.

● Internet connection – an electronic communication network that

connects computer networks and organizational computer facilities around the

world

● Online Grading and Monitoring System with notification for Fullbright

College – A system that is made by the proponents to make innovation in

school.

● Proponents – The name of the group who made the system-A person

who advocates a theory proposal, or course of action

● Registrar – An official record or a keeper of records: as an officer of an

educational institution responsible for registering students, keeping academic

records, and corresponding with applicants and evaluating their credentials.

● Semester – One of two usually 18-week periods that make up an

academic year at a school or college.

● Update – A change or addition to computer software that includes the most

recent information.

● Collaboration – the action of working with someone to produce or create something

● Digital medium – Any form of media that uses electronic devices for

distribution. This form of media can be created, viewed, modified, and

distributed via electronic devices.

● Electronic storage – Any device used to store electronic/digital data or

information. This includes but is not limited to desktop/laptop computers,

servers, network devices, magnetic tape, cell phones, SmartPhones, PDAs,

portable storage drives, flash drives, fax machines, copiers, and digital

cameras.

● HTML – Hypertext Markup Language, a standardized system for tagging text files to

achieve font, color, graphic, and hyperlink effects on World Wide Web page

● Innovation – a new idea, method, or device

· Integral – A necessary to make a whole complete essential or fundamental.

● Internet of things (IoT) – refers to the collective network of connected devices

and the technology that facilitates communication between devices and the

cloud, as well as between the devices themselves.

● Javascript programming – is a text-based programming language used both on

the client-side and server-side that allows you to make web pages interactive

● JSP – Jakarta Server Pages (JSP; formerly JavaServer Pages) is a collection of

technologies that helps software developers create dynamically generated web

pages based on HTML, XML, SOAP, or other document types.

● Millennium – A period of a thousand years.

● MySQL – is a combination of “My,” the name of MySQL creator Michael

Widenius's daughter, and “SQL”. A flexible and powerful program, MySQL is

the most popular open-source database system in the world

● Project-based design – a teaching method in which students learn by actively

engaging in real-world and personally meaningful projects.

● Python programming – A computer programming language often used to build

websites and software, automate tasks, and conduct data analysis.

● QAR – means Quizzes, Attendance, and Recitation where the professor inputs

the grades.

● Technological development – a process innovation or method that enables an

existing good to be produced at a lower cost as a result of the increase in the

efficiency of the factors used in its production.

● Technological innovations – a new or improved product or process whose

technical characteristics are significantly different from before.

● Transcript-card method – Transcripts are generated by the education board of

conduct and can be received from the academic institute where you have

pursued your education.

● Visual Studio Code – a streamlined code editor with support for development

operations like debugging, task running, and version control.

CHAPTER II

REVIEW OF RELATED LITERATURE AND SYSTEMS

Technology is vital in today’s institutions, school processes are advancing and

their systems are remarkably pushing through to fit this modern era. Our team

believes that students’ learning time is being compromised by the traditional way of

announcing grades that our education system has adopted through time that minimizes

the learning period allotment of each class.

This has been greatly amplified by the fact that most of the aimed lessons to

be learned at that time are being postponed to the next session.

This chapter will enlighten us with information in relation to the current study

to be conducted providing a concrete foundation through prevailing evidence and

familiarizing the researchers with existing research studies that will support the

advancement of our ways systemically through technology.

2.1 Theoretical Background

The study is anchored on Online Grading System by Mary Jane Santos, It

entails the gathering and assessment of data on students' performance or

accomplishments over a predetermined time period, such as nine weeks, a semester of

school, or the entire school year. Through this procedure, different kinds of

descriptive data and performance indicators for students are transformed into grades

or marks that highlight their accomplishments. The digitization of spreadsheets is a

new technological development that helps teachers and professors easily compute

grades. Since no manual calculations are required, speed is the main benefit.

Additionally, confirmation of grade for any additional necessary adjustments can be

done more quickly than with traditional methods. Instructors now have an easier time

managing grade. As information technology developed at the turn of the century, the

internet overnight became a crucial component of local and global connectivity in the

new millennium. Everything needs to be done as quickly as possible to improve

productivity or keep up with the daily competition. This is where document

management systems come into play. Records are in digital form and information

systems are used to create, store, retrieve, distribute and dispose of records (Dya et al.,

2013). The main purpose of the "online grading system" is to allow students to see

their program results and grades (Edupuganti., 2013).

2.2 Related Literature

2.2.1 Foreign Literature

According to (Elsisi et al., 2021), cyber-physical systems are the most

effective way to increase efficiency in the industrial environment. They utilize

embedded software and the internet to connect and control smart machines that are

addressed by the internet of things (IoT).

Higher education is a process that begins with a student's academic record.

Higher education institutions pay special attention to the performance and evaluation

of the students, and having a complete academic record of each student is significant

to their future careers (Jove et al., 2019).

According to (Hananto et al., 2020), The collection of information about

student participation in the development of grades, meetings, and student learning

activities at school makes new students who experience difficulties in the

development of their grades.

The current education system faces a major issue, especially in predicting

student academic performance. This is because the quality of education depends on

the student’s ability to perform well in their studies. The lack of an existing efficient

and accurate prediction model is one of the major issues (Asiah et al., 2019).

2.2.2 Local Literature

As the immense growth of technology flourishes in our world, innovation

comes from the manual process of sending letters to online social media, from paper-

based registration to electronic storage of information. Especially in the business

world, everything needs to be done as quickly as possible to improve productivity or

keep up with the daily competition. This is where document management systems

come into play. Records are in digital form and information systems are used to

create, store, retrieve, distribute and dispose of records. Records management enables

more efficient distribution and management of information, files, and records within

an organization. They simplify business operations and accelerate business processes

by providing instant access to information. Enhanced collaboration within and

between departments and offices. Enhanced security for files and records. Use of

procedures to facilitate compliance (Dya et al., 2013).

2.3 Related Studies

2.3.1 Foreign Studies

According to (Edgerton, 2013), the qualitative case study on the effects of

online grading systems on education explores teachers' and educational

administrators' perceptions of differences between online assessment systems and

traditional written assessments. The aim was to gain knowledge of online grade books

relative to parental involvement in the educational process and student academic

performance compared to older methods of written grade books. It also discusses

educators' perceptions of the time required for online assessment systems and the

concerns educators have about the technology compared to the old transcript-card

method.

Developing an online assessment system for distributed assessment is a

challenge for large project-based design courses. To meet this challenge, a distributed

grading system was developed that addressed his first-year design requirements at a

major engineering college. This system requires the faculty member and her teaching

assistant to participate in the assessment panel. Each member of the grading

committee will use the grading rubric provided to assess and grade student work. This

document describes an online rating system developed to form rating judges and

collect, process, and return ratings generated using this rating method. Specifically,

the book covers the design requirements and characteristics of online assessment

systems from the perspective of students, faculty, and course administrators and the

implementation of assessment systems. Online grading systems have many

advantages over analog grading methods, including scalability, real-time feedback on

grading status, reduced potential for human error when creating reviews, and the

ability for jurors to vote remotely. It is shown that there is an Ability for course

administrators to easily review grade results and remove statistical outliers from the

result set Ability to distribute both provisional and final grades to course faculty, staff,

and students in a timely manner for future use (Thompson, M. K., & Ahn, B., 2012).

The main purpose of the "online grading system" is to allow students to see

their program results and grades. This "Online Rating System" project uses HTML

and Javascript programming languages for the front-end application, JSP and Servlets

for server-side programming, and a "MySQL" database to store the database content.

The "online grading system" provides an efficient way for professors to create

courses, enroll students in the "online grading system", post course assignments, and

grade assignments submitted by students. Administrators of the "online evaluation

system" can register faculty members in the online evaluation system and start the

new semester. (Edupuganti., 2013).

2.3.2 Local Studies

Over the years, information technology has always added something to

people's lives. Technology has brought comfort to our lives every day, every hour,

and every minute. Many technologies, tools, products, and systems are manufactured

using IT. The grading system plays an important role in any school's management

system. However, such systems are often unrelated to expectations, outcomes, and

performance. Every student wants to get a good score on every assignment, exam,

project, and report, so the whole process has a lot to do with teachers making a fair,

comprehensive, and accurate assessment from the faculty's point of view. Loading.

This is necessary to avoid disagreements between students and parents. An online

performance monitoring system is a highly desirable addition to your system (Abella,

2017).

According to (Arojo, Badua, Cureg, 2022), The purpose of e-learning is to

make education accessible to students, reduce costs and time, and improve academic

performance. Self-motivation can also be a challenge to learn when faced with

setbacks and disappointments, especially when there is little or no support. It

increases flexibility and reduces the stress of balancing other responsibilities. This

project aims to create a program/system to facilitate the dissemination of e-learning

materials that will help students and teachers to continue learning and give them the

confidence to adapt to the new normal.

People today live in an information age dependent on digital information.

Human productivity has been streamlined by the development of electronic devices.

Now, with such an advent of modernity in education, one of his ways to globalize the

research process is to recognize that technology is advancing at an incredible rate.

Computers are not just entertainment, they also play an important role in education.

Digital information is electronic information that is the result of computer processing.

Work of any kind depends on obtaining, using, managing, and communicating

information to others. Computers allow efficient processing and storage of

information. A grading system plays an important role in any school's management

system (Cortez., 2012).

Technological innovations have changed the way computers operate in the

processing of systems of record such as B. Easy enough to create, store, file, and find

data for documents. The Sacred Heart School of Talavera in Talavera, Nueva Ecija is

one of the private schools that benefit from this system. Increased number of papers

processed by the office, professor, and student grades. One of the Office of Student

Affairs' tasks is to protect student performance data for record and purpose. In order

to provide private school students and teachers with accessible and efficient grade

management and retrieval, the proponent developed an integrated web-based

application titled "Online Grade Management with SMS Notification System". was

meant to be (Adriatico et al., 2021).

(Capuchino, Gilbert Jr. E. and Sulaguit, Rosvelt T., 2016), A lot of parents are

neither aware nor updated on their child’s performance in school; they did not know

the grades that their child had received. Usually, students do not want to show their

grades to their parents or their parents live in a distant place which is why they do not

have the chance to show their grades even if they like to do so.

Synthesis

As society advances through technological adaptation, many ways that are

commonly done change over time to do it more efficiently and fast as per the work

needed to be done at one time. Even various industries have shifted to the more

advanced way of working because it is clear that there are many advantages to doing

so, including business, education, agriculture, and many more, We want to make

certain tasks quick, accurate, and simple because we are primarily focused with

education, using advanced technology to create a new way of processing the grades of

the student and can easily be viewed by the respective students. An Online Grade

Monitoring System is a highly desirable addition to education administrative

software, especially when it can provide a more effective and timely outcome with

less effort.

CHAPTER III

TECHNICAL SPECIFICATIONS

This chapter presents the technical procedure of our project. It provides

information on tools that will be used in the development of this system. This contains

the software, hardware, and workflow of the application.

3.2 Details of Technology Used

Python

Python is an interpreted, object-oriented, high-level programming language

with dynamic semantics. It was first shown in 1991. The word "Python" is a play on

the British comedy troupe Monty Python and means "easy and fun." Python was

created by Guido van Rossum.

CSS

CSS can define color, font, text alignment, size, borders, spacing, layout, and a

variety of other typographic characteristics for both on-screen and printed views.

Non-visual styles, such as reading speed and emphasis for aural text readers, are also

defined by CSS.

PHP

PHP is a scripting language used on servers that is simple to embed in HTML.

A scripting language is a type of programming language used in runtime contexts. In

addition to automating job execution, it may also be used to create plugins and

extensions and manage systems.

MySQL

MySQL is a database management system that aids in the efficient storage and

management of data. In general, databases store data in a structured manner. It is

written in C and C++ and has been tested with a number of compilers to ensure that

there are no bugs or inconsistencies.

The Google Chrome browser is an open-source program that allows you to

access the World Wide Web and run Web-based applications. The open-source

Chromium project serves as the foundation for the Google Chrome Web browser.

Google Chrome was released in 2008, and it receives several updates each year.

Visual Studio Code Version 1.74

Visual Studio Code is a lightweight but powerful source code editor which

runs on your desktop and is available for Windows, macOS, and Linux. It comes with

built-in support for JavaScript, TypeScript, and Node.js and has a rich ecosystem of

extensions for other languages and runtimes (such as C++, C#, Java, Python, PHP,

Go, and NET).

Windows 10

Windows 10 is a Microsoft operating system for personal computers, tablets,

embedded devices, and internet of things devices. Microsoft released Windows 10 in

July 2015 as a follow-up to Windows 8. Windows 10 has an official end-of-support

date of October 2025, with Windows 11 as its successor.

3.3 How the Project Will Work

Figure 3.1 shows the software diagram of our capstone 1 proposed project.

The system's main actors are represented by the four blue human shapes placed in the

middle of the diagram. The flow which is the shapes and lines represents the different

parts of the proposed system for a better understanding of end-users connection in

relation one to another.

This Level 0 DFD shows the basic flow of structure of our proposed capstone

project. The Round Shape represents the proposed system as a whole. Rectangle

Shape represents the entities or end-users of the proposed system. The Arrows are

the flow of transactions in relation to the entities of the proposed capstone project 1.

Figure 3.3 is level 1 of the Data Flow Diagram of the proponent’s proposed

project. The Arrow represents the data flow, and The Triangles are the end-users of

the system. The Round Edged Triangle represents the process while the Thin

Shaped Rectangle with one inner division represents the database.

Figure 3.4 is the flowchart of creating accounts under the administrator’s user

account, the start represents the beginning of the system flow, and the Rectangle on

the flowchart represents the process which is the next in the flowchart figure above.

The Triangle shape is the decision-making that is only answered by yes or no only.

Figure 3.5 flowchart shows the flow of removing an account on the proposed

system. figure 3.5 begins with the Oval Shape and then flows to the next which is the

input shape that accepts the input of the admin password to access the removal

process, this serves as one of the security features of the proposed system.

Admin Manage Class Flowchart Figure 3.7 shows the process of managing a

class that allows the admin user to add or remove a class in the system’s database.

The Rectangle with the “Manage class” label is the admin’s view of the class lists that

were added to the system’s database.

Figure 3.8 shows the process of managing the flowchart under the

administrative account. the figure above shows the flow process starting with the

Oval shape at the beginning of the process and then the Rectangle as the selection

process in retrieving the information needed for updating, holding, and releasing the

student's grades viewing function.

Figure 3.9 shows the step-by-step process under the school’s Registrar

account in the Online Grading and Monitoring System with Event Announcement For

Figure 3.10 represents the process of finalizing the student’s grade. The flow

begins with the Oval shape and forwards to the Rectangles that let the user select the

information that narrows down the search through the Rectangle shapes then the user

will be forwarded to the next shape which is a Trapezoid that allows the user to input

the students' final grades.

Figure 3.11 represents the viewing of the selected student and his or her

information for evaluation or updating. The flow begins with the Oval shape and

forwards to the Rectangles that let the user select the information that narrows down

the search through the Rectangle shapes then the user will be forwarded to the next

shape which is a Trapezoid that allows the user to input the students' final grades.

Figure 3.12 represents the flow of how the teacher creates a class through the system

from the start with an Oval shape then to the “Create Class”, “Select Course”, and

“Select Year” processes which are labeled inside the Rectangular shape. The next is

the input (Trapezoid shape) for subjects and sections of the class that is to be created,

then the adding of students which will then be saved to the system’s database after the

decision-making shape (Diamond shape).

Teacher Grading Flowchart Figure 3.13 shows the process of grading a

specific student through the representation of flowchart shapes. To grade a student,

the teacher must select a Course, Level Year, Subject, and Section to locate the

student, then through the Diamond decision-making shape, and afterward, the input

of the selected student’s grade and then the diamond shape labeled save to be stored

in the system’s database.
