PURPOSE:
The purpose of this document is to provide guidance to receiving plants on the following: Certificate of Analysis
(CofA) acceptance criteria, Supplier Method Equivalency, Specific Gravity and Density measurements and
Terminology used for CofA’s and acceptable variations of terms.

The test methods listed in the table below have been analyzed by both P&G F&F Technical Services Network
(TSN) and P&G Global Perfume Analytical. Those listed have been deemed to meet or exceed P&G methods.
Global methods are noted in boldface type. Region or site specific methods are noted for which plant they are
applicable.

This document is to be reviewed and updated accordingly every two years during the Supplier Certification
process. It is also to be updated as methods are updated or changed.

1. Firmenich and Symrise both have multiple GC methods with varying columns and conditions. The
methods are material specific. For Symrise all methods have been listed. For Firmenich the method
numbers range from 490-590 has been listed.
2. Multiple Capua methods are listed for GC. These include methods for assay, pesticide, phthalates and
chloroparaffins.
3. PFW GC methods are material specific and are numbered according to material number.
4. Firmenich CQ-001 is supplier method for color.

Acceptance Criteria for Certificate of Analysis

An accompanying Certificate of Analysis (CofA) is required for all materials received for production. Results
are to be within P&G limits for acceptance.

CofA’s may be accepted and evaluated in a local language. This local language may be different than the
language of the IRMS.

For a complete listing of CofA requirements please reference the P&G Supplier Requirement Sheet (GCAS
95179504).

Specialty based materials must have the exact name of material listed. Chemicals and Natural materials may
have Trade names listed.

For purposes of CofA acceptance, TSN recognizes three distinct Perfume Raw Material (PRM) ingredients.
They are as follows:
 Chemical: A single chemical entity or mixture of isomers that can be identified by a CAS number.
Chemical structure is available
 Specialty: A project independent perfumery building block. A readymade accord usually meant to
convey a single note in perfumery. IP owned by supplier
 Natural: A fully natural extract of a plant species which has perfume value

Note: Dual Use: Materials use as both a perfume raw material and finished perfume.

For purposes of this RMPI, Premixes, Hearts, Natural Specialties and Dual Use Perfumes are included with
specialties.

For Chemical and Natural materials, multiple suppliers for the material may exist. As such the P&G IRMS
limits and the supplier limits (listed on CofA) may not match exactly. The specification range should be within
10% of the accepted P&G ranges. The material may be accepted without further testing as long as the RESULT
listed on the CofA falls within P&G’s IRMS limits.

For specialty compounded materials the manufacturer limits and P&G limits should match exactly and results
should be within those limits. If the limits listed on the CofA do not match the P&G limits then the complete
battery of testing must be completed for acceptance.

Terminology listed on CofA may not always be identical to the wording listed in the P&G IRMS. If
terminology is considered questionable please refer to the following table of terms and equivalent wording.
Wording not exactly matching IRMS but, with common meaning may be accepted.

If material is accepted with an incorrect CofA the following steps must be taken:
a. The site will inform TSN and Purchasing of discrepancy in a timely manner, highlighting issues.
CoA complaints are tracked for perfume plants on the F&F sharepoint.
b. The plant will file a raw material complaint with the supplier as per internal SOP’s.
c. TSN and Purchasing/MSM will work with suppliers to resolve missing or erroneous data.

NOTE: GCAS Version numbers are preferred but not required for CofA acceptance due to supplier expectation
to use the latest version accessible through CSS EV.

NOTE: The shelf life of material reported on the CoA may not match the Shelf Life indicated on the P&G
IRMS. For detailed rational on the difference, please refer to QAC (99691334)
