Lab objectives
You will achieve the following objectives:
• Create an exercise event
• Manage related assets and plans
• Complete and approve an exercise event
Lab Dependency: This is lab is dependent on the completion of Lab 3.2.1 BIA
Configurations, Lab 3.2.2 Complete a BIA, Lab 3.3.1 Plan Configurations, and Lab
3.3.2 Complete a Plan.
Scenario
Principle Choice Financial Services wants to test its disaster recovery processes using pre-
planned exercises. The BCM Program Manager, Sara Foster, will create and assign the exercise
event. The BCM Continuity Planner, Mike Jones, will assign the impacted assets, plans, and
recovery tasks to the exercise. He will also run the test through to completion.
Section 1 Create an exercise event

As Sara Foster, create an exercise event and add the applicable details.

1. Impersonate Sara Foster.
Note: If still impersonating Sara Foster and the Workspace is still open from the
previous lab, skip to step 3.
2. Navigate to Business Continuity Management > Business Continuity Workspace.
3. From the left sidebar, click the Lists icon.
4. Navigate to Exercises > Pending.
5. Click New to start a new exercise.
6. Complete the Create Exercise form using the following values:

• Short Description: Annual Data Center Exercise
• Exercise Method: Functional
• Planned Start: <today’s date & time>
• Description: An exercise to test the Data Center on an annual basis.

7. Click Submit.
8. Confirm the Annual Data Center Exercise was created. It should open as a new tab, with
a State of Pending.
9. Locate the Details tab. Under the Event section, add Mike Jones to the Assigned to field.

10. Scroll down and locate the Planning section.
11. Fill out the section with the following values:

• Plan approvers: Mike Jones
• Result approvers: Sara Foster
12. Scroll down to the Scope section and fill it out with the following values:
• Goals: To test the annual data center recovery plan and identify any gaps that may
cause issues during a real crisis event
• Objectives: Test the annual data center recovery plan

Save your changes.
13. Next, the BCM Planner, Mike Jones, will complete the exercise.
Section 2 Manage the exercise event

Section 2.1 Review the exercise details and start the exercise
As Mike Jones, use the exercise to test the annual data center recovery plan.
1. Return to the admin UI and impersonate Mike Jones.
2. Navigate to Business Continuity Management > Business Continuity Workspace.
Note: If you still have this tab open from the previous section, refresh the page so
the account switches to Mike Jones.
3. From the left sidebar, click the Lists icon.
4. Navigate to Exercises > Pending.

5. Find and open the record listed as Annual Data Center Exercise under the Short
description.
Note: Refresh the list if the exercise is not showing. The number assigned to the
exercise in your instance may be different than the one displayed here.
6. Review the Event, Planning, and Scope sections of the Details tab.
7. Click Start Event.
8. The exercise should now show a State of Work in Progress.
9. Scroll down to the Results section under the Details tab.
10. Fill in the Actual start field with <today’s date & time>.
Note: The Results section only appears in the Details tab after the exercise has been
started. It will not appear in this tab before then. The remaining fields will be filled at
the end of the exercise.

11. Save your changes.
Section 2.2 Add assets and plans to the Impacts tab
As Mike Jones, select the impacted item type or the primary element to recover. This section is
also used to analyze the exercise and look for gaps in processes.
1. Open the Impacts tab.
2. Click + Add Assets.
3. Select the Impacted Item Type of Data Centers from the dropdown menu.
4. Click Next.

5. Select New York from the list and Add.
6. The record for Data Center: New York should now appear in the Impacts list.
7. Click + Add Plans to associate a plan to the impacted asset.
8. Complete the form as follows:

• Select appropriate option: Show plans for impacted assets
• Select Impacted Asset: Data Center: New York

9. Click Next.
10. Select Data Center: New York from the list and click Add.
11. Read and Confirm the plan activation alert, which states “Activating the plans will add
their tasks and open them for action immediately. Plans or the asset cannot be removed
as the event is active. Proceed with activation of selected plans.”

12. The records for New York Data Center DRP and its related tasks should now appear in the
Impacts list.
Note: Use the dropdown arrows to view the added plan and tasks.
Section 2.3 Run through exercise and update state of assets and plans
As Mike Jones, run through the exercise and update the state of the assets and plans.
2. Change the State to Closed Complete.

3. Save and Close (x) the External Coordination event task record. This will return you to the
exercise.
4. Refresh the Impacts list. The External Coordination event task record should now be
marked as Closed Complete.
5. Repeat steps 1-4 for Internal Coordination.

7. Change the State to Closed Complete.
8. Save and Close (x) the New York Data Center DRP plan record. This will return you to the
exercise.
9. Refresh the Impacts list. The New York Data Center DRP plan record should now be
marked as Closed Complete.

11. Complete the form with the following values
• State: Recovered
• Actual time taken: Immediately
12. Save and Close (x) the Data Center: New York asset record. This will return you to the
exercise.

13. Refresh the Impacts list. The Data Center: New York asset record should now be marked
as Recovered.
Section 3 Complete the exercise event

As Mike Jones, finish the exercise and mark as complete.
1. Access the Details tab.
2. Scroll down to the Results section.
3. Complete the form with the following values:

• Actual start: <pre-filled from previous step>
• Actual end: <Today’s date & time>
Note: Normally, the actual duration of the exercise would take longer to finish if
there are tasks to complete or tests to conduct.
• Result: Successful
• Result Summary: There were no gaps in the data center recovery plan witnessed.
• Recommended improvements: N/A

4. Save your changes
5. Scroll up to the Event section and change the event State to Closed Complete.
6. Save your changes.

7. The state of the exercise is updated to Closed Complete.
