1) Identify three main channel / medium of communication used in your organization

a. Morning briefing :-
The morning briefing will be delivered by the Branch Head to convey all
current instructions as well as the distribution of tasks will be implemented
in this morning briefing.

b. Email (E-memo) :-
Email is used for Official Departmental affairs that require feedback in
accordance with the regulations set. For the Branch where I work, we use
email to send reports either to the top management and also the
contractor.

c. Meeting :-
The Head of Branch or Officer in Charge of the Command Camp Division
will attend a meeting with the highest authority in PULAPOL Segamat to
hear messages from the Commander and other instructions related to the
assignment of members and will convey to subordinates in the morning
briefing each time after the meeting.

2) Comment on the effectiveness of each channel.


a. Morning briefing :-
Information will be more easily communicated directly to members.
Instructions are clearer and all members can provide opinions and views
to handle each problem and instruction.

b. Email (E-memo) :-
The main objective of email is to enable people to send orders quickly
and easily. On the one hand, it facilitates remote communication. Email
allows the same message to be sent simultaneously to more than one
recipient. When using e-mail the use of paper is reduced, because with
this there is no need to print the information and then send it.

c. Meeting :-
Instructions from the highest authorities will be delivered more easily and
accurately without any interruptions and obstacles. Meetings are usually
used by the highest authority or representatives of each division to
represent each branch and division in the delivery of the message from
the Commander

3) Suggest ways to improve communication for change in your organization.


a. Make the Mission and Vision Clear :-
Take the time to explain the company values and mission, whether as part of
corporate training or as a regular reminder to employees. When employees are
unified in their understanding of the company goals, they will be able to
communicate with one another more effectively in order to reach them.

b. Strengthen Connections :-
Make sure to address this during management training programs. Managers who
take the time to get to know their employees and are willing to listen to them will
find it easier to communicate and keep direct reports on task. When employees
feel that managers are able to address their individual concerns, they are more
likely to feel connected.

c. Create Open Dialogue :-


Keep employees up-to-date on company changes, progress and future plans.
This could be through a bi-monthly newsletter or at company meetings.
Furthermore, allow employees to be involved in this discussion. Encourage
questions and comments, and show that all ideas are welcome. Employees are
more likely to communicate well when they feel they have a part in where the
company is headed.
