D-GATEPASS SYSTEM

ABSTRACT
The main aim of Gate Pass management System is to efficiently and accurately track entry and exit activities of a
visitor in a given premise. It eliminates the traditional pen and paper method of entry protocol which can be
tiresome for both visitors and security team. Administrator on learning how to operate this software job can
easily record all the necessary details in a very formatted manner. This job is executed in a very simple and
efficient manner, our main focus to provide an easy to use interface to the administrator/security guard or any
suitable authority.

I. INTRODUCTION
Most of the companies office are in the same building. To ensure smooth functioning of the work, safety of the
employees and security of the building, it is necessary to keep a record of the people visiting and leaving the
premises. With this gate pass management system we can have proper functioning of visitor management system,
it is possible to do so. Gate pass management system will keep all the data of the visitors who is entering in the
building.
Gate pass Management System will help to create digital gate passes for the visitors. It is a simple software that
uses the concept of rational unified process. The main goal of the gate pass management system is to make the
Entry and Exit protocols easy and efficient by reducing the manual efforts. This software provides data in simple
and tabular form of all the visitors, tracking their in and out activities in an attempt to increase the safety of the
premises.
II. METHODOLOGY
The Fundamental Methodology is to display forms and get information of the visitor.

Graphical (GUI) user interface in java provides ways to make responsive forms mainly concentrating on the
labels, windows and buttons. Swing in java is a GUI toolkit and includes a rich set of widgets , Swing includes
packages that let you make a sophisticated set of GUI components for your Java applications and it is platform-
independent. It provide components like JTextFields, JTextArea, JButton for texts like name, NICs, Phone number,
Long text like Address and Button like submit, Exit and verify respectively. All of it goes inside a java container
namely JFrame.

First it will add the visitor/employee information if the visitor/employee is already registered then validate the
visitor/employee information otherwise enter the details of the person then validate the information. After that
it checks if the visit is block or not. If the visit is block then it will check the status clearance and if it is not then
access will be granted, person can enter the building.
III. MODELING AND ANALYSIS
The approach followed to complete this project job is Rational Unified Process®️(RUP). RUP is a Software
Engineering Process. It is a very disciplined approach and strictly aims to complete the project within the given
schedule and budget. RUP approach is invented and maintained by a software company named Rational®️
Software. RUP emphasize on the importance of working as a team and enhances team productivity by providing
each member of the team with all the information, guidelines, designs, etc. regardless of what work they are
assigned to.
There are 5 main phases in RUP approach
1. Inception – All the communication is taken place under this phase. Client’s requirement are identified and
then analyzed. Furthermore, we also identify the scope of the project. Project goals, Project Plans and Project
Modules are discussed and made.
2. Elaboration – Project plans are then discussed more practically and one decide the appropriate approach to
follow. This phase undergoes elaborated discussion and evaluation . After discussing and evaluating the
project and it’s modules architecture base is structured .
3. Construction – The actual development comes into a picture in construction phase of the approach. Here, the
project is developed and completed i.e. coding jobs are carried out.
4. Transition – The completed projected is then ready to be used as a product and is suitable for
presenting/launching.
5. Production – It is the final phase of RUP model , maintenance and updating of project is carried out in this
phase.

IV. RESULTS AND DISCUSSION

It is the landing page of our software . In this module the administrator can control various functions like adding
the record for a new visitor or generating a gate pass for someone who’s credentials are already provided.

Add records module is used by the administrator to add information of the new visitor, one of the basics in any
gate entry protocol. Administrator also have the authority to add a new record and perform operation like update,
delete or clear to already existing records. We have also added an extra layer of authentication by asking the
administrator to upload an image of the visitor, so that we can generate a gate pass with photograph
identification.

In this module, the authorized administrator may generate a gate pass by providing the validity date of the pass.
We have used National Identification Card (NIC) number as the primary differentiator and the basis to print a
gate pass.

V. CONCLUSION
In this software job, through understanding and analyzing the problem in the tradition gate management
systems, the corresponding model is established, and then the development process is handled. Here, we take
NIC number and Photograph along with other necessary information to print a detailed gate pass. Finally, we
hope that this software job helps the community and make some contributions to the existing problem and can
be used as references in future gate pass system.
