2.1 DEFINITION OF COMMUNICATION

The word communication is Latin in origin, but it means "to share."


Communication is the act of sharing or exchanging information, news, ideas, and so on
with another person. The most prevalent mode of communication is language. We also
have a range of communication alternatives available to us. Communication is developed
not just between people, but also between non-humans.

Different scholars defined communication differently. Communication is defined


as "the process of conveying and receiving a message between two persons."
Communication is the process of conveying information and understanding from one
person to another. In its most fundamental form, communication refers to two people
interacting.

The process of communicating information, ideas, or opinions to a broader


number of individuals is known as communication. When information is transmitted to
only one person, it is frequently referred to as communication.

However, the most crucial part of communication is that the information


presented be understood and conveyed appropriately.
2.2 FACTORS LEADING TO POOR COMMUNICATION SKILLS
2.2.1 CULTURE

Culture is defined as a person’s values, attitudes and methods of doing


things that they bring with them from the place where they were raised as a child.
Because of each person’s norms and behaviors are often different, these beliefs
and attitudes can have an impact on communication across cultures.

The greatest significant obstacle to cross-cultural contact is language.


Because verbal communication is crucial in any situation, understanding the
meaning of words is as crucial. The language barrier exists not just because of
language differences but also because of the various dialects that exist. Chinese
and Russian are two examples of languages where different sections of the
country. If one communicator does not understand the actual meaning, there will
be misunderstanding and a clash of ideas.

Any bad picture or preconceived assumptions about a certain culture and


identity are stereotypes. These are formed by the content agenda of the media.
The status of transgender people, for example, is viewed differently in different
cultures. Similarly, women’s roles and esteem differ from culture to culture.
Positive stereotypes are also seen as a cultural barrier from a social psychology
standpoint.

2.2.2 GENDER

Communication skills are also influenced by gender. This demonstrates


that how different civilizations see men and women's roles has an impact on
cross-cultural communication. Gender is a social construct that is not dependent
on biological gender but is connected in general.
However, some university students believe that conversing with someone
of the opposite gender makes them feel uncomfortable. Different genders limit
their ability to discuss certain topics.
2.2.3 PHYSICAL

A physical barrier to communication is an element or physical feature that


serves as a distraction, obstructing communication flow. A physical barrier,
whether natural or man-made, is easily visible. Physical impediments to listening
include noise, poor design and closed doors. Even a network disruption caused by
a thunderstorm can be considered a physical barrier.

Physical barriers can be created by the environment, distance between


people, time disparities and defective forms of communication. To cope with
these elements’ detrimental effects on productivity, executives must be fast to
recognize them. Consider the following factors that contribute to physical
barriers.

2.2.4 LANGUAGE

Language and communication are different from each other yet one needs
the other and at the same time exists separately. The Collins Dictionary defines
language as a communication system made up of a group of written and sound
symbols that people of a region or country use for writing or talking.

On the other hand, sending as well as receiving messages, either by verbal


or non-verbal methods, equates to communication. Therefore, there are students
who cannot communicate with each other because they use different languages.
this makes students do not understand and do not know how to respond.
2.2.5 LACK OF CONFIDENCE

Confidence issues might make it difficult to communicate effectively.


Shyness, difficulties asserting oneself, or a low sense of self-worth might make it
difficult to express one’s demands and ideas.

In addition, a lack of understanding of one’s own rights and possibilities in


a specific way or scenario can make it difficult to communicate one’s wants
freely.

2.3 EFFECTS OF LACK OF COMMUNICATION

Communication is crucial, particularly in studies, where students must follow the


flow of the lecturers. Interacting with instructors on the internet poses its own set of
problems for effective communication. However, this ability is frequently inadequate,
which can lead to a slew of problems between students and instructors.

Firstly, any misunderstandings between the two particular main character which
are students and lecturers, are common, particularly when communication is unclear.
Misunderstandings resulting from a lack of communication might result in major
problems between students and instructors.

Besides that, missed chances are frequently the result of a lack of communication.
This can occur because students do not communicate adequately with their lecturers,
particularly in assigned tasks, or because they do not successfully communicate their
thoughts on understandings or their willingness to study thoroughly about things they do
not comprehend. As a result, they may be overlooked for some misunderstandings,
resulting in affected marks being allocated to their work.

On top of that, low morale might result from a lack of communication. Students
may feel unmotivated as a result of bad communication, which can lead to
misunderstandings, missed opportunities, conflict, the spread of disinformation and
mistrust between students. They may not be motivated to study at that moment or for a
lecturer who is unable to explain important information clearly.

2.4 SOLUTION ON LACKING COMMUNICATION


2.4.1 IMPROVE CONFIDENCE

Self-confidence is an attitude about your skills and abilities. It means you
accept and trust yourself and have a sense of control in your life. You know your
strengths and weakness well and have a positive view of yourself. You set
realistic expectations and goals, communicate assertively, and can handle
criticism. Confidence allows you to speak concisely and with clarity. Student who
communicates with confidence can convey what they want to their lecture or
friend in a clear and efficient manner.

Effective communication is critically important for career advancement.


Confidence is also a result of our experiences and how we've learned to react to
different situations. Self-confidence is not a static measure. Our confidence to
perform roles and tasks and deal with situations can increase and decrease, and
some days we may feel more confident than others.

2.4.2 SURROUND WITH POSITIVE PEOPLE

When you surround yourself with positive thinking, it becomes that much
easier to stay focused on the end goals. You’ll feel better about yourself. You’ll
feel energized and motivated when you spend time with these people. You won’t
be as stressed out. If student was surround by a positive person, they will try their
best to improve their weakness. They will ask their friend for help to improve
their communication skill. Their lecture have to give positive feedback.
2.4.3 ALWAYS TAKE THE OPPORTURNITY INFRONT PEOPLE

Public speaking may sound daunting, but there’s no better way to develop
good communication skills than by seeking out public speaking opportunities.
Great communicators are able to clearly articulate their feelings, whether they’re
speaking to a large group or talking face-to-face to one other person.

Regularly speaking in front of a group will magnify your strengths and


weaknesses and force you to develop great communication habits. Student can
take their opportunity to speak in front people while they have presentation. It can
help student to improve their communication skills.

2.4.4 BE PROFESSIONAL

For the sake of clear communication and your own personal wellbeing, it’s
important to manage the emotions and express them appropriately in context.
Allowing strong emotions to unnecessarily creep into a professional setting can
lead to poor communication and conflict.

Students must be more professional while handling their emotions in class;


some students are shy and use this as an excuse not to talk in class since they are
not bashful in front of other people. So, if they are more professional, the student
will be able to put their emotions aside and talk confidently in class.
3.0 METHODOLOGY

By presenting an outline of the research concept, participants, research instrument,


protocol, ethical considerations, and data analysis technique, this chapter aims to describe the
methodology employed in performing the field component of this study.

3.1 RESEARCH APPROACH

The method used in listing the factors in this study is by distributing


questionnaires. Questionnaire method was used to collect necessary data, for these
appropriate questionnaires were designed. For the distribution of the questionnaire, the
number of samples is 30 person who are students of University Kuala Lumpur (UniKL)
Business School. Students will get the questionnaire via a Google Form link that will be
provided to them.

In selecting the participants and respondents for the questionnaire, the


questionnaire is specifically eligible for those students who were in the same boat – poor
communication skills among students and to collect a small quantity of basic information
about a broader group of students.
3.2 METHODS OF DATA COLLECTION
3.2.1 QUANTITATIVE METHOD

We used a survey questionnaire for descriptive analysis. The survey was


divided into four sections, each of which included a few optional and open-ended
questions.

According to McMillan and Schumacher (2010:197), open-ended


questions allow the respondent to make any response he or she wishes and in his
or her own words. Open-ended questions further permit the respondent to express
feelings and to expand on ideas. The goal was to interview 30 UBIS students for
the survey. The form we made was on the 18 th of May. A student was
characterised as someone who lacked communication abilities on the day of
inquiry. Participants were given only a few minutes to complete the anonymous
survey, and 30 students answered.

3.2.2 QUALITATIVE METHOD

We also used qualitative method in collecting data. Qualitative data is


non-numerical data that suits with our several questions. It helps to justify data in
an easy way.

Hence, the conclusions of this study are justified and reliable. By


submitting the form to a WhatsApp group, we obtain to access to them. Due to the
current circumstance, which prevents students from having a physical class, they
merely had to stay at home or wherever they were to fill the questionnaire.
3.3 POPULATION AND SAMPLING

a) We targeted our university students which is all of the UBIS students.

b) Because the large of population, we made target samples especially to those who are
struggling the same problems.

3.4 QUESTIONNAIRE

This questionnaire was made by us, and it was just in form of Google Docs which
is easy for students to access and answers. Questionnaires were distributed digitally using
Google Forms via the WhatsApp application. Data were analysed after 30 respondents
answered the questionnaire using the Statistical Package for the Social Sciences (SPSS).
The questionnaire contains several questions in several sections.

There were 4 sections in the form that contains their demographic data, factor
leading to poor communication skills among university students, effects from poor
communication skills towards university students and the last one is solution to solve
university students’ poor communication skills.

3.5 DATA ANALYSIS

Google Docs was used to conduct our survey. This is so that all of our responders,
who are students, may easily react. In general, students are familiar with Google Docs
since they use them frequently. Because just 30 people were surveyed, the time of the
procedure was insufficient.
