Exhibitors may appoint their own contractor who is registered with the Malaysia International Trade and
Exhibition Centre (MITEC) for stand construction, but not for electrical pipe installation and rigging which must
be carried out by the Organiser's official contractor. Exhibitors are responsible and liable for any such
contractor's observance of all Rules and Regulations, including the strict observance of build-up and move-out
timetable / schedule. The Organiser reserves the right to change any such exhibitors and / or contractor who
have violated any rules or regulations or delay in the build-up or move-out, for additional works required as a
result of the violation.
Before permission is granted for contractors to work at the exhibition and the necessary passes issued, the
contractor is required to pay an admin fee and place a refundable performance bond as per below specified
amount with our Official Contractor either INNOGEN SDN BHD / BRANDME ASSOCIATE SDN BHD / PICO
INTERNATIONAL (M) SDN BHD and signed a written undertaking to guarantee conduct, proper schedule of
production and observance of the Exhibition and Hall Regulations. Only when this admin fee, performance bond
is received and the undertaking signed, will the contractor be allowed to bring their materials into the site or
commence work.
The contractor will also have to bear any charges levied by the venue owner for damages caused to their
property, flooring, or for debris not cleared away.
Provided the booth is completed on time, and no damages are caused, the bond will returned to the contractor
in full after the exhibition. If contractors do not complete their booth within the schedule, total cost for hourly
charges used to complete the works will be deducted from the performance bond.
No worker pass will be issued to the outside contractors without complying with the Rules and Regulations.
Passes will be managed by the official contractor on behalf of the Organiser. No illegal worker will be issued
with the worker pass or allowed to work at site.
No painting or sawing may be done to the exhibition center fittings. The exhibitor will be held responsible for
any damage caused to the exhibition center fittings by their staff or contractor.
All materials used in the stand construction must be properly fire-proofed in accordance with local regulations.
All stands in the exhibition, irrespective of height of structure from the ground, must have one-half of the
frontages on each side open or fitted with transparent material to the underside of the fascia and subject to
the Organiser's approval.
Exhibitors are responsible and liable for the contractors' observance of all Rules and Regulations including the

Exhibitor and/or contractor who has violated any Rules or Regulations or delay in the build-up or move-out,
for additional works required as a result of the violation.
Exhibitors may appoint their own stand fitting contractors. However, the appointed contractors ( if non-
Officials ) are required to liaise and work MANDATORILY under the supervision of any one of the show official
stand fitting contractors for the purpose of safety, compliance and efficiency.
All exhibitors and their respective contractors must submit their stand design for Organiser’s approval before
the deadline. For stand design received after deadline submission, the Organiser under no obligation will ensure
a fast and timely approval and will not be responsible should this design being rejected. Should there be any
cost incurred due to this rejection it will be the responsibility of the Exhibitors.
All Exhibitors building their own stand must submit a detailed drawing with dimensions illustrating the design
of their stand to the Organiser by 28 February 2022 for approval of both Government authorities and the
Organiser. Failure to do this, the Exhibitors may unnecessarily incur additional costs to expedite approval by
the relevant agencies and authorities.
Exhibitors occupying perimeter space must include in their design a back wall for their stand. Failure to do this
will result in the Organiser building this wall on the Exhibitor's behalf, the cost incurred by the Organiser will be
invoiced to the Exhibitor.
A non-compliance fee of MYR 10,000 would be imposed for any stand design submitted and failing to comply
or obtain approval for any reasons after deadline submission.
The build-up period permitted by the venue (MITEC) is 1200hrs block from 0900hrs to 2100hrs. Should
Exhibitors require additional time to finish works other that the permissible time schedule, extension
working hours charges/cost will be imposed based on the hourly rental of the hall, which can be very costly.
Therefore, you are advised to strictly adhere to the time/schedule given.
During the build-up period, the Exhibitors and appointed stand contractors will be responsible for the day to-
day removal of rubbish (i.e. empty paint cans, lumber scraps, stand fitting materials, trash, etc). Failure to do
so will result in the Exhibitors being liable for service fees involved in rubbish removal. If Exhibitors require
cleaning services, please contact the Organiser.
All workers employed for the construction of the stand must wear identification badges provided by the
Organiser at all times and appropriate Personal Protective Gear when they are working in the exhibition hall.
All workers are also required to be neatly dressed during actual show days.
No Exhibitor may place any display material and exhibit or allow dividing wall or any part of their stand design
and fittings beyond their contracted boundary. Stands will not be permitted to exceed 2.44m (8 ft) in height.
Any design for a structure exceeding 2.44m (8 ft) in height must be submitted for approval six (6) weeks in
advance before the show to Organiser and approval will be considered on case-to-case basis.
Stand Specification in Exhibition Halls:
1. In any event, 5m (16.40 ft) will be the absolute maximum height allowed and approved (except
perimeter booth) [All exhibitors must seek approval from the Organiser for any booth exceeding
2.44m (8 ft) in height].
2. Exhibitors are not allowed to build the back and side wall for island and corner stand.

[Open frontages: All stands, irrespective of height must have at least half of any frontage facing
an aisle open or fitted with transparent material.]
3. The maximum height for all hanging structure is 6m (16.40 ft) from the ground. MITEC exhibition
halls are equipped with truss. All design for hanging structure must be submitted to the Organiser
for approval by 28 February 2022. Rigging services will be undertaken by qualified rigger, kindly
contact the Official Contractor for the service.
Hanging banners are not allowed except for Organiser’s materials.
4. No structures, display materials or exhibits are allowed to extend beyond the contracted boundary.
All contractors must submit a set of detailed scaled, with dimension (layout) and perspective drawing in 2D/3D
showing the proposed design of booth with relative position of all display/products/equipment or
vehicles/machinery on display are also to be illustrated in the layout to the Organiser. A duplicate copy of the
perspective drawing and layout must be forwarded to the Official Contractor. Perspective drawing must be
submitted 1 month before the opening of the show. Late submission may be subjected to penalty charges.
B4 AUDIO SYSTEMS
Noise Level
The exhibitors are advised that any audio system or electrical device producing irritating, intermittent and/or
sequential sounds/noise is not permitted without prior approval from the Organiser. The distribution of
noisemakers such as whistles, crickets, horns, etc is prohibited.
Audio presentations must be muffled so that the noise does not disturb/interfere with other exhibitors, the
dignitaries and/or visitors attending the event. Any noise emitted must comply with relevant public health,
environmental and occupational health and safety legislation. Persons in charge of the sound system have an
obligation to ensure that the system does not exceed the specified SPL (Sound Pressure Level) as indicated in
the Law of Malaysia, Factories and Machineries Act 1967, Noise Exposure Regulations 1989.
Operation of machine & appliances generating noise should be kept to a minimum for the interest of all
exhibitors and visitors. Noise at the stand boundary shall not be exceeding 70 dB (A).
Exhibitors should notify the Organiser of any item of machinery over the height limit or exceeding 2000kg in
weight by 28 February 2022.
1) Arrival of films and video tapes by Air Freight for censorship submission - One (1) Month before
the Exhibition or latest by 28 February 2022
2) Receipt of document for Sea Freight & Air Freight - Ten (10) working days before departure of
shipment from origin or 2 weeks before arrival. For ARMAMENT / WEAPON shipment: 2 months
or more before departure of shipment from origin.
3) Arrival of Sea Freight items in Kuala Lumpur - 2 weeks before show or latest by 13 March 2022.
4) Arrival of Air Freight items in Kuala Lumpur - 1 week before show or latest by 20 March 2022

Commercial Invoices and Packing List - Ten (10) full working days before Vessel's / Flight's arrival. For
ARMAMENT / WEAPON shipment: 2 months or more before departure of shipment.
**All Exhibitors must arrange their own insurance to cover all commodities involved throughout all stages of
the exhibition from arrival on-site to final departure from site.
B7 ON-SITE HANDLING
Only exhibits which can be hand-carried by one person may deliver to / removed from the exhibition hall by
the Exhibitors. Exhibits requiring mechanical assistance must be handled by one of the Official Freight
Forwarders on-site. For the on-site handling charges, please refer to the Official Freight Forwarder.
B8 EXHIBITS MOVE IN
Cargo which are consigned directly to the exhibition site should not arrive at the consigned address (exhibition
hall) earlier than 24 March 2022.
Exhibitors, their agents, or contractors are responsible for the early installation of their heavy or large exhibits
according to the move-in schedule provided by the Organiser. Such heavy or large exhibits that arrive late may
not be permitted into exhibition site.
Please note that where mechanical handling within the exhibition halls is required, only the Official Freight
Forwarder may be appointed. Forklifts, cranes, and pallets trucks from other forwarders will not be allowed
into the exhibition halls.
If any heavy or large exhibit arrive on site which are not attended by the exhibitors requiring mechanical aid on
site installation, the Organiser will assign one of the official freight forwarders to be the site installation
contractor on the Exhibitor's behalf and all cost incurred will be borne by the Exhibitors.
B9 FIRE REGULATIONS
All materials used in stand construction must be properly fire-proofed and comply to international standards
and in accordance with local regulations.
Supply Voltage : 415 volts 3 phase 4 wire system with neutral point solidly earthed or 240 volts single
phase 2 wire system. Both subjected to a variation of ± 5%

All electrical installation work at the exhibition must be carried out by the Organiser's Official Contractor.
Exhibitors requiring special arrangements (e.g different voltages and frequency or special connections to
equipment) must arrange for their own transformer and / or converters which must comply with Malaysian
statutory requirements.
All electrical equipment must be tested by the Organiser's appointed licensed engineers prior to turning on the
electricity supply.
The Organiser reserve the right to determine the acceptable sound/noise level and duration of demonstrations
for working exhibits in the event of justifiable complaints from other exhibitors.
• Moving machinery must be fitted with safety devices, may be removed only when the machines are
not in operation and not connected to the source of power.
• No motors, engines, electrical appliances, or power-driven machinery may be used without adequate
protection against fire risk.
• All pressure vessels or equipment under pressure must conform to safety standards and regulations.
Approval for its use is required.
• No naked lights and lamps or temporary gas or electrical fittings may be used in the exhibition halls
without prior permission from the Organiser.
• No explosives, petrol, dangerous gases, or highly inflammable substances are allowed in the halls.

• All exhibitors are bound by the following conditions as laid down by the hall landlords, MALAYSIA
INTERNATIONAL TRADE AND EXHIBITION CENTRE (MITEC).
• Exhibitors shall not bring any rodent, pest or vermin into the exhibition hall and shall not, without the
written consent of the hall landlords, bring livestock or animals into the hall unless they relate to the
purpose of the exhibition.
• The hall landlords have the right to refuse entry to the facilities of any person whose presence is in the
reasonable opinion of the hall landlords, undesirable.
No person under any circumstances shall cut into or through any floor covering or wall nor alter any stand
service structure except when authorized in writing by the Organiser. Any such damage to stand structures or
exhibition premises will be invoiced to the exhibitor.
During the actual exhibition days, the Organiser will be responsible for the daily cleaning of general areas and
gangways. During the build-up and move-out periods, Exhibitors and their appointed contractors are
responsible for the removal of their own stand building / dismantling materials and rubbish. The exhibitors
must be responsible for the general tidiness of their own stand on daily basis. Exhibitors wish to arrange for
cleaning services for their respective booths, may contact the Organiser.
Exhibitors can rent Audio Visual Equipment and Potted Plants through respective Order Forms directly from
MALAYSIA INTERNATIONAL TRADE AND EXHIBITION CENTRE.
It is the MALAYSIA INTERNATIONAL TRADE AND EXHIBITION CENTRE policy not to allow outside food and
beverage to be brought into the Centre at all times. For catering services please contact MALAYSIA
INTERNATIONAL TRADE AND EXHIBITION CENTRE.
B19 STORAGE
Direct arrangements for the storage of empty and non-usable cartons and cases should be made with the
Official Stand Contractor or Official Freight Forwarder. Otherwise, exhibitors must arrange for these to be
cleared, before the first day of exhibition.

All exhibitors should register at the Exhibitor Registration Counter on arrival at the exhibition centre to collect
their badges and Exhibitors Information Pack.
Contracting parties for Group Stands and National Groups are responsible for ensuring that all exhibitors within
their group are fully aware, and agree to abide by these Terms and Conditions and the Rules and Regulations
as included in the Exhibitors Manual.
In the event of any occurrence not foreseen in these Rules and Regulations, the decision of the Organisers shall
