General Guidelines:

1. The completed performance appraisal document is submitted to Trainee


Development Officer at the OJT Division at the first week of every 7 months
starting from the Trainee’s assumption at ojtptraining@ojt.gov.tt

2. At a convenient time, the Supervisor schedules a meeting with the Trainee to


review the 6 months of performance

3. Using the rating scale of 1 to 4, the Trainee is given a score in each of the
competency areas listed. This rating scale reads as follows:

4 Exceeded performance standards


3 Consistently met performance standards
2 Partially met performance standards
1 Never met performance standards

4. To calculate the grades received for Sections B & C: add all the scores received
and divide by the target score then multiple by 100%. For example:
Total Scores Received/Total Target Score x 100= Grade
100/158 x 100 = 68%

5. To calculate overall grade, add percentages received for Sections B & C and
divide by 2. For example:
Section B Percentage + Section C Percentage / 2 = Overall Grade
68% + 83 / 2 = 75.5%

6. Section D allows for both Supervisor and Trainee to record agreed areas that
require further professional development

7. Section E allows for where a Trainee scoring low in the overall grading (49% and
below) in Sections B & C, the Supervisor will develop a performance
improvement action plan.

8. Section F require parties to comment, sign and date to mark document as complete
