Request for Proposal – Provision of Live Sketching Services

Background:

Ball Corporation has proposed to acquireRexam PLC. Both companies produce beverage cans and ends.
In order to be prepared for the Day 1 when the compnies merge, we are planning for kick-off meetings.
During these get-together events and celebrations colleagues will meet each other and get prepared to
lead the future company. Also, the new management and strategy will be introduced to all employees
at their locations, different sites around Europe.

Task:

To capture the spirit of Day 1 and make memorable graphic notes from the very first internal events
that will involve senior management level. These materials will be used as internal communications
materials.

Deliverables:

• Live sketching at the spot (to be broadcasted on screens at the spot)

• Original sketches and digital sketches
• Additionally designed postcards and posters based on sketches (print and digital version)
• Animation based on all the sketches (short video up to 2 min) – to be produced in English
language

Approach:

Illustrations should be done in a realistic manner outlining focus areas for each event. Written elements
should be kept in minimum as the target audience in pan-European.

Description:

Above outlined deliverables should be made during 5 events taking place around Europe in June 2016.
• Event #1 - Leadership meeting (one or two whole day events – to be defined)
o App 50 participants
o Welcoming hand shakes, joint dinner, speeches, workshops, small group exercises
o Focus on emotional aspects (motivation, inspiration) and communications
• Event #2 - four same type events in various countries- (half-day event)
o App 200 participants per event
o Speeches in front of an audience (town hall meeting format)
o Focus on company’s strengths and values (detailed brief to be submitted additionally)
o Capture both office environment and manufacturing background

Time Frame:

During June and July 2016.

Requirements:

• Strong portfolio in live sketching

• Experience in work with corporations
• Fluency in English language
• Capability to deliver all materials within one week after all events
• NDA agreement signemment – to be provided by Ball

o Expected outcomes

o Proposed team members qualifications
- Financial proposal

Notes:

• All travel and accommodation costs to be covered by Ball (not to be included in the offer).
• Costs of a broadcast at the spot to be excluded from the price offer.
