SUBJECT: SCHEDULE ON THE CONDUCT OF ANNUAL PHYSICAL COUNT OF


INVENTORIES OF PROPERTY, PLANT AND EQUIPMENT (PPE) OF
BOTH JUNIOR AND SENIOR HIGH SCHOOL

INCLUSVE DATES: October 13-14 & 20-21, 2022


November: 3-4, 2022

1. In compliance with the provisions of Government Accounting Manual (GAM) for


National Government Agencies (NGAs) particularly Volume 2 (Accounting Books,
Registries, Records, Forms and Reports), Appendix No. 66, Page No. 163
(Report on the Physical Count of Inventories-RPCI) and Appendix No. 74, Page
No. 181 (Report on the Physical Count of Property, Plant and Equipment-RPCPPE),
this office will conduct an Annual Physical Count of all government properties
acquired through procurement, donations, and those transferred from Central
Office, Regional Office and Local Government.

2. The school inventory committee is composed of the following officials:


School Supply Officer Designate
School Property Custodian
School Inventory Committee Members

3. To facilitate the inventory process, it is requested that all items reflected in the
inventory reports must be on hand and ready for inspection, storerooms and other
places where the stocks may be located should be cleaned and well prepared so
that an orderly and smooth checking could be made.

4. The School Laboratories In-Charge are expected to prepare the following:

a. RPCI, RPCPPE, IIRUP, WMR, Borrower’s Slip and Record Book


b. maintain, take care and record the status of the PPE under their custody

School Supply Officer Designate is expected to perform the following:

a. shall manage, organize, pre-verify the supplies (expendables and semi-


expendables) of the school and shall also check if the supplies are balanced to the
book of accounts.
b. shall prepare and check the following forms: IAR, SC, ICS, RPCI, RIS, RSMI

School Property Custodian is expected to perform the following:

a. shall manage, organize, pre—verify the property plant and equipment (non-
expendables) of the school
b. shall check if the PPE were booked-up to the book of accounts
c. shall prepare and check the following forms: IAR, PC, PAR, RPCPPE, IIRUP, WMR
5. A five (5) day service credit is hereby granted to all school laboratories in-charge,
school property custodian and school inventory committee members to
compensate for their time and effort contributed regarding the actual inventory
taking in the preparations and submission of the necessary reports. It is
emphasized that the COC is subject to the existing CSC and CSC-DBM Joint Circular
No. 2, s. 2004 or non-monetary remuneration for the overtime service rendered. It
is requested that all RPCPPE and RPCI of the school must be submitted to the Office
of the Principal on or before scheduled dates duly signed and noted by the school
officials concerned. Failure to do so would mean forfeiture of the aforementioned
service credits.

6. School Property Custodian may join the scheduled school inventory to be able to
answer some concerns that may arise on the days of the inventory taking.

7. The school inventory committee and the school supply officer designate and school
property custodian shall consolidate all these reports to come up with a School
Report of Inventory for submission to the Commission on Audit and to the
Accounting Unit for reconciliation purposes.
