1. Scope:

This procedure is applicable to the entire Organization with all the workers.

2. Purpose:

To define the Organization’s practices how it allows the workers to freely associate and
to collectively bargain for the protection of their basic and legally mandatory rights and
benefits.
3. Responsibilities & Authorities:

All members of Management Council including Management Representative (MR),


Workers’ Council, Administration Manager, Manager Human Resource and Social
Performance Team (SPT) are responsible as far as this procedure is concerned.

4. Policy:

“Organization respects the just, legal, ethical and social rights, facilities and needs of all
workers. Purely on non-discriminatory basis, all workers of the Organization possesses
freedom and right to associate and collectively bargain by just, ethical and legal means
to protect their rights. On parallel means, all workers are free to elect their
representatives for their rights protection.”

5. Procedure:

5.1 Election of Workers’ Representative

5.1.1 Organization provides a platform to all workers to freely form an association or to


associate with any group/council/forum within the Organization.

5.1.2 Workers can freely elect their representatives for the protection of their basic and
legal rights.

5.1.3 Election activity of workers’ representatives is held annually.

5.1.4 Organization organizes and monitors all election activities of workers’


representatives without exercising any influence. Organization records all such activities
through (Belt paper and voting acknowledgements).

5.1.5 Organization records the bio-data of all candidates competing for workers’
representatives such as qualification and experience.

5.2 Workers’ Council

5.2.1 Workers’ representatives jointly form Workers’ Council on the parallel means of
Joint Workers’ Council as prescribed by applicable Industrial Relations Ordinance.

5.2.2 Organization allows members of Workers’ Council to mutually elect their Workers’
Welfare Officer (on the parallel means of Collective Bargaining Agent) in order to keep
coordination with Management Council.

5.2.3 Workers’ Council holds Monthly (or periodically as deemed necessary) Meetings in
order to discuss workers’ concerns. Relevant Minutes of Meetings are recorded.

5.2.4 Worker’s Welfare Officer attends the Monthly (or periodically as deemed
necessary) Meetings of Management Council in order to present all views, reviews and
suggestions of Workers’ Council’s Meetings.

5.3 Management Council

5.3.1 Management Council also plays a vital role in ruling out all worker-related issues.

5.3.2 Management Council comprises of Management Representative (MR), Directors,


Section Managers, Manager Administration, Manager Human Resource and Manager
Security.

5.3.3 Management Council holds Monthly (or periodically as deemed necessary)


Meetings in order to take corrective or preventive actions against the issues raised by
any worker and/or Member of Workers’/Management Council and issues. Relevant
Minutes of Meetings are recorded.

5.3.4 Organization communicates all the actions decided to be taken by Management


Council to all the workers of Worker’s Council.

5.4 Grievance Handling

5.4.1 With the establishment of SPT and Management Council and worker’s freedom to
associate with Worker’s Council, Organization grips, listens and responds to workers’
grievances.

5.4.2 Organization has devised and implemented Communication & Open Policy and
Procedure through which all Head of Departments (HOD’s), Section Managers, Executive
Directors and especially members of Workers’ and Management Council are responsible
to pay attention to and/or solve all the issues and/or grievances of workers. (See CSR
Communication & Open Door Policy & Procedure). All workers are encouraged to
approach and discuss their issues and grievances with the aforesaid personnel.

5.4.3 Organization has installed Complaints/Suggestions/Feedback Boxes at conspicuous


places within the Organization for workers to anonymously inform the Organization
about their issues, concerns, grievances, complaints, suggestions and feedback. Workers
may either submit Employee Feedback Form to any of designated personnel or put the
same in Complaints/Suggestions/Feedback Boxes.

5.5 Working Hours

5.5.1 Organization communicates all policies and procedures related to Working Hours
to all of the workers.

5.5.2 keeping in view Short Term Business Demand, if Organization makes amendments,
relaxations and/or modifications in the Hours of Work (Normal Working Hours, Rest
Intervals and Overtime Working Hours), it definitely invites prior input and feedback of
Workers’ Council.

5.5.3 Overtime Working Hours are compatible to the consent of workers.

5.6 Compensation & Benefits

5.6.1 Organization communicates all of its Compensation & Benefits policies and
procedures to all of the workers.

5.6.2 Regarding Salary & Wages Payment Dates, Premium Rate of Overtime Working
Hours and Payment & Rate of Annual Bonus, Workers’ Council are always approached.
