1. INTRODUCTION
1.1 Manual Overview

This operation and maintenance manual will provide the operator with required information to
understand, operate, and maintain the VDP for Colombo City Center, Sri Lanka.

This O&M Manual has been prepared with the latest available information and is Organized in
the following Sections:

Section 1 - Section 1 begins with general introduction and states the safety procedures, and
emergency service call out used in this manual.

Section 2 - Section 2 contains the General Description as the VDP System overview.

Section 3 - Section 3 contains the System Description overview of the VDP system.

Section 4 - Section 4 describes the maintenance schedules and troubleshooting.

Section 5 - Section 5 contains the full schedule of as-built drawings.

Section 6 - Section 6 contains the manufacturers operation & maintenance literature.

1.2 Safety Procedure


1.2.1 GENERAL SAFETY PRECAUTIONS

The following general safety precautions should be understand and apply by the personnel
when servicing and repairing equipment.

Installation, operation and maintenance of the equipment should be performed only by


qualified personnel.

 Authorized person- a signatory, qualified engineer in charge.


 Competent person-to oversee work and procedures are met.
 Approved person-personnel doing the work.

Read and comply to local Health and Safety procedures and guidelines when Installation,
removal, repair or servicing of equipment is required, concerning;

 Illumination. Adequate lighting of area for proposed work.


 Tools. Usage and preparation of correct tools for proposed work.
 Working in Confined Spaces.
 Working at Height and in Ceiling voids. Particular care should be taken
 When working in ceiling voids and above suspended ceilings. Check local
 Procedures on use of scaffolding, wooden and aluminum ladders.
 Use of arc welding, gas welding and gas cutting

Check that the correct licenses, documentation and authorization are completed prior to the
commencement of proposed work.

Alert the appropriate 3rd parties of proposed work, disruptions, and services which may be
switched off or cut prior to the commencement of proposed work and make sure adequate
signage is placed at location of work to alert others of Potential dangers.

Read and Comply with all hazard advisory placards or signs (WARNINGS and CAUTIONS)
placed on equipment and surrounding enclosures. They warn of Potential hazards to personal
safety and possible damage to equipment if correct maintenance practices are not followed.

1.2.2 Do Not Service or Adjust Alone


Do not start a maintenance or adjustment procedure if the procedure requires more than one
technician to be safely performed. It is particularly important that such work is not performed
in a remote area where qualified personnel are not available to render assistance. When a
maintenance task requires two or more qualified technicians to be done safely, delay the task
until qualified personnel are available to assist. Complete relative documentation i.e. Record
of Works.

1.2.3 Coincidental Damage to Equipment in Cabinets

CAUTION: be alert to avoid damage to the surrounding equipment, cables, wiring installations
when taking equipment into or out of the equipment cabinets.
When removing equipment from cabinets / consoles, exercise great care to protect surrounding
wiring installations and equipment from damage. Disconnect and secure any surrounding
wiring or hardware which could cause damage to or be damaged by the equipment being
removed.
Neatly stow excess cable / wiring and replace all tie wraps, clamps and other retaining devices
that were removed. Neat installations reduce the chance of coincidental damage to adjacent
equipment and promote more efficient air circulation and equipment cooling.

2. 1 System Overview
2.1.1 Description of Work Area

Colombo City Center comprising of Retail Shops form basement to Level 4A and Car Park
areas starting from Level 4A to Level 8. Level 4A contains both retail shops and car park. Level
9 comprising of hotel restaurant and the kitchen. Floors from Level 10 to 17 comprising of
hotel guest rooms. Floors from Level 18 to 47 comprising of residential apartments. Basement,
ground floor, level 6, 7, 8 and 10 comprising residential lobbies. Level 6, 7 and 8 comprising
residential car parks, while level 10 comprising resi-management office, residential gym and
pool. This O&M manual contains the information needed for the operation and maintenance of
the Video Door Phone system installed in the residential area of the Colombo City Centre.

2.1.2 VDP System Overview

Video Door Phone system (VDP) also known as video intercom used for the audio-visual

communication between two parties. This is used to manage calls made at the entrance to the

building, and from residential apartment to another apartment. The main feature of video door

phone is that it enables the person indoors to identify the visitor and, if (and only if) they wish,

engage in conversation and/or enable the lift to allow access to the person calling.

3. 1 System Architecture

The above diagram demonstrates the basic architecture of the door phone system. In the

installed system, there are;

 4 Nos of lobby Panels

 1 No of Guard unit

 192 Nos of Monitor panels

Apart from these, there are accessories integrated for connection between the above listed units.

They are as follow,

 Optical fiber cables

Integrated system layout is shown below. Here lift access controller is mentioned as LCU (Lift

Control Unit). It is installed on the top of the lift car. And cabling is done by OFC.

3.2 Components, Configuration and System


Operation
Video phone system is composed of different units as explained in the system architecture.

Each individual unit does a specific task. These units are installed in different locations. The

details of each main component is described further.

3.2.1 Lobby Panel


Description
6502/G + door entry station, is a TCP/IP solution device, for the communication in luxury

homes, residential buildings, condominiums or office buildings.

6502/G + acts as main device in the installation, logging all devices making the installation

easy. The system does not require any server on the installation. The protocol of

communication is TCP/IP which makes possible to be connected to a LAN together with other

IP services in the same installation. The system never becomes busy thanks to the multi-

channel feature.

Configuration

One of the panels of the installation is in charge to manage the system, thus it is not necessary

to assign IP addresses or to config the changes applies to each of the devices of the installation.

To configure the panel as system manager, follow the steps

3.2.2 Monitor Panel / Guard Unit

Description

This is used for communication between Lobby panel to Monitor panel or Monitor panel to

monitor panel or monitor panel to guard unit. Monitor panel is installed inside the apartment

while guard unit (same as monitor panel but with a handset) is installed at the entrance for the

communication with any of resident.

3.2.3 Lift call function

1. From Home screen; go to settings

5. Enter the floor level required according to the schedule given. Here the number in LCU

column need to be entered for the respective apartment floor.

Enter the respective LCU number and select ‘link to access control’

3.2.4 UPS Distribution

VDP and all ELV services are fed through a UPS power. 6 kVA online double conversion four

numbers of UPS are installed in level 6, level 21, level 31 and level 41.

4.1Maintenance
Routine system checkup should be done as follows.

• Check power supply system. LV distribution boards are located at Level 21,

Level 31 and Level 41

• Check the UPS power output voltage and frequency. UPS are located at Level

21, Level 31 and Level 41

• Check the POE switch connections and the network switch connections

• Check the indoor panel connection to each lobby panel

• Check the intercom from indoor panel to indoor panel

• Check the lift call function from indoor panel

4.2 Troubleshooting
A. Indoor panel display turned off

A.1 Check whether the PoE switch is powered on

A.2 If not powered, check if the LV distribution board is tripped

A.3 If it is not tripped, check if the UPS is online

A.4 If it is online, check whether the UPS feeder is tripped and turn it on

B. Calls cannot be taken to lobby panel

B.1 Check whether the network switch is powered on

B.2 If not powered, follow the step from A.2 to A.4

B.3 Check the connection with the lobby panel

B.4 If the connection is down, possible reasons are; failure in patch cord,

backbone or the lobby panel

C. Calls cannot be taken to other indoor panels

C.1 Follow the steps from B.1 to B.3

C.2 Check he power supply of the receiver indoor panel related network switch

C.3 If the power supply is down, follow the steps from A.1 to A.4
