The purpose of the Business Data Structures document is to describe the key business
structural elements that affect subsequent set up of the applications. This deliverable is
used to assist in the development of application setups. It includes:
2.2 Scope
The CORSAIR Business Data Structure provides services to support the following key
business functions:
Evosys would be doing the Set Up for required Legal Entities as listed.
Solution Description
Having a one book will make it difficult to provide the legal entities a greater autonomy in
terms of their Chart of Accounts design and accounting. Each legal entity can have
autonomous document sequencing of transactions and journals.
Multi-Org configuration
There will be one Ledger each for each currency. One Ledger will have one Legal entity.
Since there are many Legal Entity, Business unit will be required to be created for each
Legal Entity as per the business process discussions for Payables, Receivables, Supply
Chain Management and Order Management.
There will be separate balancing segment for each Legal Entity.
Corporate Asset Book shall be created to track the asset movements.
Financials
Key Structures
4.1 Ledger
Ledger in oracle means the books of accounts which will store all accounting details. The
most important setup parameter within General Ledger and other applications that process
financial transactions in some way is the Ledger. This setup parameter is defined as the
combination of:
Chart of Accounts are called as Accounting Key Flex field in Oracle application, which
contains multiple segments of accounts. Flex field qualifiers are associated with appropriate
Segments such as Balancing segment qualifier, Cost center qualifier, Natural Account
qualifier.
CORSAIR will have common Chart of Accounts and value set across all Ledgers and Legal
Entities.
The following table lists the distinct Primary Ledgers needed to support the financial
organizations in CORSAIR’s business.
As part of Discovery Session various options for Primary Ledgers were suggested and Option 4
has been confirmed as financial organization structure for CORSAIR’s business. Below are same
for all the options:
Chart of Accounts Structure Instance: CORSAIR_COA_STRU_INS
Ledger in Oracle means the books of accounts which will store all accounting details. With
one legal entity one ledger, CORSAIR shall be able to individually monitor each ledger and it
close period closure. This will lead to lesser dependency on another Ledger in terms of
Closing of Periods.

Company organisation balancing
Functional Currency: Each Ledger would be associated with a Functional Currency and GL
Balances will be available in functional currency. CORSAIR will have USD, EUR, GBP, CNY,
TWD, VND as functional currencies for respective Ledgers.
Accounting Calendar: Each ledger would be associated with a Calendar. When you assign a
calendar to a ledger, the ledger only accesses the periods with the appropriate Calendar. GL
Period opens and closes at Ledger level. Before Closing GL Period, we have to close all sub
ledger periods. Once periods are closed, no transactions can be entered in that period. There
will be 12 Periods in a Calendar (12 Normal and NO Adjustment Period).
The following table lists the distinct Secondary Ledgers needed to support the financial
organizations in CORSAIR’s business.
Accounting Calendar: Each Secondary Ledger would be associated with a Calendar “Cor
Monthly 13”. There will be 13 Periods in a Calendar (12 Normal and 1 Adjustment Period).
A ledger set is a combination or group of multiple ledgers that share the same chart of
accounts and calendar.
Ledger sets allows to run processes and reports for multiple ledgers simultaneously. This
separation of ledger data and ledger management is designed to support the creation of
ledger shared service centers and centrally managed ledger processing.

Oracle uses Business Unit for sub ledgers, such as Oracle Purchasing, Oracle Payables, and
Oracle Receivables. Business units are assigned to ledgers and a default legal context. Data
is secured by business unit for these applications using roles and data access. Each user
can access, process, and report on data only for the business units of whom access is
provided to a responsibility assigned to that user.
Each Ledger would have their own business units and own setup. With this process
CORSAIR will have data secured by each business unit.
Below is the list of Business Unit to be mapped with Legal Entity and Ledger for CORSAIR
Fixed Asset Structure setup comprises of various setups. This setup parameter is defined as
the combination of following Asset Key Flexfield:
Asset Category Flexfield: Asset Category is key flex field in Oracle Assets, which group assets
according to depreciation rules. Asset category is associated with Asset book, Depreciation
method, Prorate convention and Retirement convention. Asset Category can be defined at As-
set item level. When asset is added through purchasing system then Asset category can be
defaulted from Asset item.
Asset Key Flexfield: Asset Key is a key flex field in Oracle Assets. Asset key is used to group
assets by non-financial information such as tracking the assets other than Asset category
and Asset Location.
Asset Location Flexfield: Asset Location is key flex field in Oracle Assets, which is used to
track your assets where exactly located. While adding asset, Location field is mandatory. As-
sets transfers can be done from one location to another location. Physical inventory counting
can be done on Asset Location.
Fixed Asset structure comprises of Key Flexfields called as Fixed Asset Key Flexfield in Oracle
application, which contains Category Flexfield, Key Flexfield and Location Flexfield, where
CORSAIR Fixed Asset Category, Key and Location flexfield structure will be respectively
defined as:
o “COR_FA_CATEGORY_FLEXFIELD”
o “COR_FA_KEY_FLEXFIELD”
o “COR_FA_LOCATION_FLEXFIELD”
Fixed Asset Structure will be associated with the Fixed Asset Key Structure Instance which
we attach to the Enterprise. CORSAIR’s Fixed Asset key Flexfield Structure Instance will be
defined as:
o “COR_FA_CATEGORY_KFF_INS”
o “COR_FA_KEY_KFF_INS”
o “COR_FA_LOCATION_KFF_INS.
One of the important setup parameter with Fixed Asset structure is the Asset Book.
Asset book is like a Fixed Asset Register. Asset book is associated with Ledger which creates
all journal entries of that book in appropriate ledger. Depreciation is calculated at Asset book
level. Assets are secured by Asset book.
As Assets are secured by Asset book, each Ledger can see and do the transactions within
their own Asset book.
CORSAIR shall only have Corporate Asset Book and no Tax Asset Book for any Ledger.
Mass Additions, Transfers, Adjustments, Retirements, Depreciation and Period close are done
at the Asset Book level. The following table lists the Asset Book details needed.
Multiple discussion sessions have been conducted with regards to Fixed Assets Structure ex-
plaining the concepts of Oracle and depending on the requirements of CORSAIR business.
Below is CORSAIR Asset Key Flexfields Structure Instances and their segment details on
which fixed assets reporting shall be captured for the CORSAIR.

The table also includes Expense Inventory Org. These are organizations meant for expense
natured transaction, and are part of the mandatory procurement setup. These will be given
a number, based on the parent business units’ Company Segment in the COA. This is so
that users can identify that an org name that only has numbers, caters to expense

purchases only, and should never be used for a transaction that comprises of inventory
items.

Item Structure
The items can have primary structure and alternate structure(s) associated to it
Costing Method: The Costing Method used is Average Costing for all the Organiza-
tions
Negative On-Hand Balance: Transactions would not be allowed for Items, if there is
no Onhand quantity in the system. Onhand Balances are not allowed to be driven
negative.
Period closure takes place at ledger level. In certain exceptional circumstances period closure
might be different for different legal entities. To accommodate closure of all in one go, there
shall be delay in closure of the Ledger. Hence, separate ledgers are required for separate
legal entities.
If multiple legal entities are sharing single ledger then additional layer of security is required
to restrict financial data of each legal entity. Since every legal entity is having their own
ledger, no additional layer of security require to restrict financial data.
For asset addition to flow into correct asset book without manual intervention, it is essential
to have separate ledgers.
Considering the significance of above points, it has been concluded by CORSAIR to continue
with the existing organisation structure i.e. Option 4.
