1. Introduction

Employees are the building blocks for every organization. For an organization to grow and
achieve its business objectives, it is important to ensure that its employees are aligned with
the company values. Strengthening our values through round table sessions will play a
critical role in doing so.
Round Table sessions will enable us to have a discussion forum where experiences and
knowledge will be shared among teams enabling employees to fully comprehend the Fatima
value system and its importance in conducting their day to day roles & responsibilities,
paving the way for the company’s success.

The Round Table sessions will further provide the participants with a platform to develop:

 Clarity and comprehensive understanding of company values


 Healthy discussion around values dilemma’s and difficult situation
 Value based decision making

2. Objective of the document

The purpose of this document is to provide a framework and guidelines, defining how the
Round Table sessions will operate, and what will be the roles and responsibilities of the
involved stakeholders in the process.

3. Scope

Round Tables will serve as a V&B discussion forum to all employees across all businesses
at Fatima Group every year. Each employee should attend at least one round table session
in a year.

4. Round Table – Framework

4.1 Key Stakeholders


Every function will conduct their own Round Table session. It will consist of the following key
stakeholders:

4.1.1 HR Business Partner

HRBP’s will provide a significant role in driving the project. Their key responsibilities will
include;

 Briefing the function head on the V&B round table


 Identifying value champions from their respective functions
 Ensuring timely sessions

 Finalizing the quarterly Round Table session calendar (lock dates with the functions)
and share it with the TS team
 Facilitating the sessions, consolidating & analyzing action plans and designing
initiatives in close connection with the COE after each session
 Regularly update progress in the system

4.1.2 Value Champion


Value champion will be the driving force behind the round table sessions. He/she will be
mainly responsible for:

 Coordinating the event; ensuring maximum participation (attendance)


 Setting agenda for the each round table session for their respective departments
 Identify action items and formulate action plans at the end of each session
 Share timely reports/updates with their respective HRBP
 Help employees with their value based dilemmas

4.1.3 Function Head


Function head will be the owner of the round table sessions and will steer the discussions
during the sessions. He / She will be a key supporter of the HRBP and value champion for
successful implementation of the Round Tables. He will also be responsible for:
 Nominating value champions
 Conducting each session in close coordination with the HRBP & value champion
 Supporting HRBP’s in designing initiatives to overcome dilemma’s

4.2 Timeframe
This will be an on-going activity. Sessions will be conducted every month. Each session will
be focusing on one value and all seven values will be covered over a span of one year.

4.3 Selection of Value Champion


The HRPB will brief the function heads regarding the Round table sessions. The Function
Head will nominate the Value Champion based on the following criteria.

Note: The criteria for grade (M.8/M.9) can be relaxed based on the structure of the department.

The value champion will be replaced every six months.

4.4 Developing the content


Function head, in close coordination with the HRBP will create content/outline for discussion.
Value champion will support the documentation of the discussion.

4.4.1 Session Guidelines


Some guidelines to standardize the sessions include:
 20 minutes value brief and its significance to the participants, teams and Fatima
Group.
 40 minute discussion developed around the 3H model:
a) Head: Do we understand the value in its true sense and what do we think
about it
b) Heart: Do we really believe in this value, how do we feel about it, can we
connect with it and identify the value within our daily work (real time examples
should be encouraged and shared)
c) Hand: Are we living this value, if Yes, How?
 30 minutes on specific action planning, highlighting 3 key actions with ownership and
accountability
Note: The participants should also be encouraged to share any challenges that they face while practicing Fatima Values and
action points and plans should be formulated to overcome the same.

4.3 What’s in it for the Value Champion – Rewards


To encourage nominations and keep the value champions engaged and excited throughout
the project implementation, they will be rewarded with
 Recognition: publishing his/her achievement through companywide communication
 Dinner with EXCOM Members: Value champions will be invited for dinner with
EXCOM members where they will share their experiences and learning. This will
provide them with great exposure and learning opportunities
 Value Champ Certificate: will be issued for each one of them

4.4 Participants
All employees across Fatima Group are encouraged to attend; value champions and HRBP’s
must ensure maximum participation. Each round table session will host 10 - 15 participants.
For departments/regions with large headcounts, multiple sessions will be conducted for each
value to make sure all employees attended the round table during the year on each value.
Marketing & Sales: Round Tables will be conducted at every regional sales meeting
covering all 10 regions for each value.
Business Commercial: BCD employees will attend the sessions at their respective
locations/head office. Separate sessions for site based BCD employees (grouped across
different departments) will be conducted at their respective sites.
Manufacturing: Round Table sessions will be conducted for all departments at each site.
Keeping in view the large number of employees and multiple shifts at each plant,
manufacturing team will share a detailed shift wise plan.

Annexure A (action planning template)


Below is an action planning template that the Value Champion will have to fill at the end of
each session and share it with their respective HRBP’s. The goal is to identify any
problems/issues/dilemma’s faced by the participants in their respective departments/daily
operations while incorporating Fatima values as highlighted during the session. The template
will help us standardise data and monitor performance.
