Credit Card Policy

Corporate credit card


Corporate Credit Card is useful to claim all official expenses, hence it is expected of all the employees to have
Corporate Credit Card. This will get issued in the name of employee as per the eligibility criteria and policy of
credit card issuer.

Eligibility
The eligibility details are as below:

Procedure for claiming reimbursements through GT&E


• On receipt of the new credit card, all information related to the card needs to be communicated to the
Central HR team (corporatecard@in.ey.com). This information will be uploaded on GT&E. The information
of a new card that is issued on account of expiry of the earlier credit card or replacement of a lost or
damaged card, will also need to be shared with the team.
• Only new cards issued by SBI will be accepted by the system to process credit card reimbursements.
• Once the employee files a GT&E claim indicating that the official expenses have been incurred through the
credit card (marked against the credit card in GT&E), it will be processed by the Accounts team. The amount
will be paid directly to the bank within 10 working days from the date of submission of the online claim in
the GT&E application.
• The bank may further take seven to eight working days to reflect the payment in the credit card statement.
All official expenses incurred by the employee through the corporate credit card should be supported by
proper vouchers and need to be attached while submitting the duly signed GT&E statement’s printed hard
copy. It should then be put in the GT&E drop box placed across our office locations. The employee’s GT&E
approver must approve all official expenses incurred on the corporate credit card.
• Employees who are working on outstation assignments and using corporate credit cards for their official
expenses should claim these weekly. A hard copy of the GT&E statement along with supporting documents
can be submitted immediately on returning to the office location.
• In case the employee forgets to fill in the GT&E on time, it is advised that the employee settles the credit
card dues directly to avoid any penalty and claim the expenses through GT&E without marking it against the
credit card. The organization will not be responsible for any interest, penalty or finance charges due to not
filing the claim on time in GT&E.
• In instances, wherein the approver or the Accounts team rejects the expense claim that was marked against
the credit card in GT&E, the reclaimed amount should not be marked against the credit card in GT&E again.
This is to avoid duplicate payments to the credit card.
• For any queries related to the corporate credit card post its receipt, the employee should reach out to the
Bank’s customer care.
Responsibility of the employee
• The employee is fully responsible for settling the credit card’s outstanding payments as reflected in the card
statement or in case of any disputes, the organization will not bear any responsibility whatsoever in settling
these amounts or disputes.
• The employee is also fully responsible for settling all the outstanding credit card payments with respect to
his or her card.

Lost Card
• It is the responsibility of the employee to inform the bank within 24 hours if the credit card is lost; the
employee should also keep the HR team informed.

Procedure at the time of separation


• The card will be blocked during notice period and employee needs to settle any outstanding amount on the
corporate card by paying it online or through a cheque 3 days prior to last working day to seek final clearance.

Escalation matrix for SBI


The employee can contact SBI for any queries related to corporate credit cards. In case, no response is received
from SBI within three working days, the employee can escalate it to corporatecard@in.ey.com.
