CHAPTER IV

ORGANIZATIONAL AND MANAGEMENT ASPECT

The Organizational and Management Aspect is an important component of a business

study as it provides the description of the organization of the business. It includes the structure of

the organization, the operations and as well as the job description, qualifications, and benefits of

the employees. This extent attests that our business, which is the COOLTIV8 Farm, will not only

profit, but also for the improvement of the welfare of the people that support the business

growth.

4.1 Form of Business

COOLTIV8 Farm will be in the form of general partnership, as it is the most suitable

method for the business to have a sufficient funds or resources to finance its primary needs and

to manage the accuracy and integrity of the business efficiency. It will be operated by nine

members who will not just subsidize money but rather they will also contribute their skills,

property, and other resources that they have. The managing partners will have the intention of

dividing the profits/losses among themselves equally in contract with the terms of partnership

agreement.

4.2 Organizational Structure

To produce good and competitive employees, the business will hire people who are

pleasant to work with and those who are knowledgeable about the business. The organizational

structure is a diagram that shows the internal structure of the business. It displays the lines of

control among the various positions that exist within the organization, including its roles,

responsibilities, and relationships among the employees.

4.4 Management Policies, Conduct and Equal Opportunity

A. Maintenance of Employees

Maintenance of employees plays an important role support in a business. Here,

the owners will be able to give their employees a motivation and reason to stay. The

organization will be able to offer the expected amount of right salary and wages and safe

working condition for the welfare of the employess.

To maintain our employees, the following benefits will be provided:

 Fringe Benefits (13th Month Pay)

Employee Welfare. The company will provide a semi-annual check-up for all the

employees of COOLTIV8 FARM. Sick leaves are also available for every employee who

has rendered at least one year of service shall be entitled to a yearly service incentive

leave of five days with pay. Also, employees are granted paternity and maternity leave;

maternity leave consists of one hundred and five days of leave with full pay and an option

to extend for an additional thirty days without pay. For a solo parent, the employee will
be granted an additional fifteen days of maternity leave with full pay. For paternity leave,

it consists of seven days of leave credits with full pay for up to four children.

Skill Training and Professional Development. As part of the staff and organizational

development activities, the business will give training to the employees specifically

through TESDA and seminars. This is mostly used for the key management officers to

enhance their management skills in managing COOLTIV8 FARM.

B. Management Policies
Operational Policies:
 Damages in Business Property Policy. When an event is going on and the

guests break or damage some of the business property, the client will be liable

for it and is liable to pay or replace it. This policy applies to the restaurant as

well; if the plates or utensils have been damaged or broken, customers will be

liable for them. On the other hand, if guests pick or pluck vegetables on the

farm, they will have to pay for the vegetables.

 Unforeseen Events Policy. In terms of the reservation of the event's location, the

clients must pay a reservation fee first. This is because when an unforeseen event

occurs with the clients, the business will still have profit.

 Keep Your Surroundings Clean Policy. As we are promoting nature loving and

environment awareness, we would like them to learn how to be wary about their

surroundings. The business also wants to impart to its customers the importance of

consuming organic foods and its benefits. We should make them realize the

consequences of their actions can bring benefit or damage to the humanity. So, we

will keep reminding them that they should throw their garbage to the right places and
the facility has enough garbage cans around would have no reason to throw their trash

anywhere.

 First Aid and Safety Procedures. The business should always have an available first

aid kit. The kit that is composed of plasters in a variety of different sizes and shapes,

small, medium and large sterile gauze dressings, at least two sterile eye dressings,

triangular bandages, crêpe rolled bandages, safety pins, disposable sterile gloves,

tweezers, scissors, alcohol-free cleansing wipes, sticky tape, thermometer (preferably

digital), skin rash cream, such as hydrocortisone or calendula, cream or spray to

relieve insect bites and stings, antiseptic cream, painkillers such as paracetamol, or

ibuprofen, cough medicine, antihistamine tablets, distilled water for cleaning wounds,

eye wash and eye bath. In the event of an emergency, there will be a kit for

employees to use; the employees have been specifically trained for emergency

situations. Ambulance and near hospital numbers are kept and recorded at the main

office in case of need.

 Employee Appearance. Manager should communicate any workplace attire and

grooming guidelines to staff members during new-hire orientation and evaluation

periods. Any questions about the business’s guidelines for attire should be discussed

with the manager. The cook is required to wear an apron, a hairnet, and a chef's

mask, while the crew, cashier, front desk, etc. are required to tie their hair back for

girls and have neatly cut hair for boys. Uniforms will also be required.

C. Employee Conduct
 All employees should respect their colleagues. We will not allow any kind of

discriminatory behavior, harassment, or victimization.


 All employees should fulfill their job duties with integrity and respect toward

customers, stakeholders, and the community. Supervisors and managers must not

abuse their authority. We expect them to delegate duties to their team members

considering their competences and workload.

 Employees should follow their schedules. We can make exceptions for occasions that

prevent employees from following standard working hours or days. But generally, we

expect employees to be punctual when coming to and leaving from work.

 We expect employees to avoid any personal, financial, or other interests that might

hinder their capability or willingness to perform their job duties.

 All employees must be open for communication with their colleagues, supervisors, or

team members.

 We expect employees to not abuse their employment benefits. This can refer to time

off, SSS benefits, Philhealth benefits and PAG-IBIG benefits.

D. Equal Opportunity

 Training employees reinforces their sense of value. Through training employees

achieve goals and ensure they have a solid understanding of their job requirements.

 The company will recruit, hire, and promote without regard to sex, race, color, age,

national origin, religion, disability, marital status, sexual orientation, gender identity,

citizenship, pregnancy or veteran status, or any other status protected by applicable

law.

 No matter what the size of the organization, communication is central to building and

maintaining credibility. Many employers get communication to “flow up” through a


staff advisory council which solicits and/or receives employees’ opinions and

suggestions and passes them on to upper management.

 Personnel actions, such as compensations and benefits received will be administered

on a non-discriminatory basis.

E. Attendance/Time Off

The employees are required to come regularly from Monday to Saturday from

8:00 in the morning until 5:00 in the afternoon. Tardiness or working under time shall be

punished by a deduction to their salaries. And, any employee being absent in a day of

work shall have valid reason.

F. Operating Hours

COOLTIV8 FARM will open at 8:00 am and will close at 5:00 pm. The business

will operate from Monday to Saturday and will adjust the operating time including

holidays if it is highly demandable to our valued customers.
