Abstract— The objective of this paper is to develop the
online College Management System (CMS). That is of
importance to either an educational institution or a college.
College Management System is an internet based web
application that can be accessed throughout the institution or
a specific department. This system can also be used for
monitoring attendance of the college, attendance of the staff.
Not only the attendance but at the same time the marks of
the students can also be updated by the staff. This system is
mainly focused in engineering college to maintain and
facilitate easy access to information. For this the registration
of user with the system is mandatory after which they can
access as well as modify the data as per the guidelines given
to them. CMS is intrabased applications which focus to
provide information to different level of management with
an organization. By using this system student/staff that is
technical /non-technical can easily access the system either
to upload a download some information from the database.

I. INTRODUCTION
College management system is an integrated web
application that handle various academic and nonacademic
activities of the college institution. This system can access
by every student /staff/faculties if the institution through
internet connected computers or internet enabled mobile
devices with the aid of his username and password. Every
user will have customized homepage with his and profile
management facility .Through links that display in the
homepage the user can access different options of the
website assigned to him. Through is a significant security
risk involved. Through the system allows access to every
one there is a significant security risk involved.
To tackle this problem we suggest modulator
structure in the proposed system & a complete isolation of
the financial and administration modules from the public
portal, which can be access by only trusted IP’s.
The front end will be HTML page for client side
validations with java script where all business logics will be
in java reside at middle layer. Third layer of the databases
will be interacted with these layers, which would be oracle
database. The web server would be tomcat 5.5 version.
Server have tomcat 5.5 as web server is required to start
working on this project environment and oracle as Database.
Like java runtime environment as development
II. PURPOSE OF DOCUMENT
The purpose of this document is Software Requirement
Specification (SRS) for the College Management System for
College project. The objective of the document is to
elaborate the functionality, requirement and general
interface of College Management System.
III. SCOPE FOR DEVELOPMENT OF THIS PROJECT
− Students can access any information anytime.
− Students can change their passwords and other details
after logging in to the system.
− User can get feedback on college staff any other
student.
IV. OVERVIEW OF DOCUMENT
This document focuses on describing the product, it’s
requirement and it’ s constraints. It provides primarily non-
technical description of the project targeted towards external
audience. This section includes information such as data
requirement, functional requirement and general description
of the product moreover it’s interaction with the user from
the perspective of the client or the user. It also provides
specific technical requirement to the team in order to make
them understand and serve the information to the internal
audience.
V. GENERAL DESCRIPTION
A. User Characteristics:
The target audience for this product is college students,
college staff that can be technical or non-technical.
1) Administrator: -
The super user of the system.
2) Staff: - A user of the system who has more access right
than the normal user or student.
3) Student: - A user who has limited access rights.
B. Product Prospective:
This product is a standalone application that can run on
multiple system through intranet network. This product will
require a keyboard, mouse and monitor to interface with the
user. The minimum hardware requirements for the product
are specified in this document.
C. Overview of Functional Requirement:
Client requires the following features:
− The administrator governs the working of the system.
− The staff can view student’s details.
− The students can view their marks, attendance, exam
schedules.
− The system should have a special feature.
VI. NON-FUNCTIONAL REQUIREMENT
A. Client:
1) Hardware Platform: - P111 or Above with RAM of 128
or 20GB or Above Hard Disk
2) Software Platform: - Java enabled browser

1) Hardware Platform: - P111 or Above with RAM of 128
or above MB, 20GB or Above hard disk
2) Software Platform: - HTML, JAVA, JAVA SCRIPT,
ORACLE 10g, TOMCAT 5.O, windows server 2003.
VII. USER VIEW OF PRODUCT USE
The front view of the system consists of different services
provided by the system and a log in page with which a user
is prompted to login into the system through user name
and password. After this his or her details are uploaded into
the system. After completing this the students can not only
view their details but also can view their exams and other
various details. When the student's session ends, all the data
is saved. Staff can also login into the system using their Id’s
and passwords and have access to the system.
There will be a special login name and password to
allow the teachers to have access to all the student’s data in
a tabular form. Here, the administrator can add students and
the staff to the system and change the details of the students
as well as the staff.
VIII. SPECIFIC REQUIREMENTS:
1) External interface requirements
− Simple, attractive, user friendly.
− Self-contained, consistent, self-explanatory
− Re bust
2) Main modules of the system
− Campus Information: This contains the information
about the various campuses of the college.
− Building / Blocks: This contains the information about
the various blocks present in the campus and no. of
rooms present in each block.
− Administration: This module mainly deals with
following
1) Admission: This mainly deals with registering the
student/ staff as assigning them with a login Id and
password.
2) Accounts: This keeps the records of the financial
details of the college.
3) Hostel: It gives information about college hostel
available for the students.
− Department Information: This module gives
information about the following.
1) Course: This contains the information about the
various courses offered by the college and no. of
seats available.
2) Staff: This contains detailed information about no.
of faculty or staff members for each department.

3) Infrastructure: This contains the details of assets
allotted to each department.
4) Syllabus: This provide the details of academic
syllabus from different branches.
− Staff Information: This module mainly deals with the
following.
1) Profile: This contains the personal details about the
staff.
2) Attendance: This provides the details about the
attendance of the staff.
3) Salary: This provides the salary details of the staff.
4) Feedback: Through this function staff members can
give their feedback to the management.
− Student Information: This module gives information
about.
1) Profile: This provides personal details of the
student.
2) Attendance: This provides the attendance details of
the student.
3) Marks: This provides the information about the
marks of the student.
4) Feedback: Through this option students are allowed
to give feedback to the management.
IX. SYSTEM DESIGN
− Purpose: The main purpose of college management
system is to design document in order to describe the
design and architecture of CMS. The design is
expressed in such a manner which enables all the
developers to understand the underlying architecture of
CMS.
− Target Audience: This document is intended to act as a
technical reference tool for development of CMS. This
document assumes that you have sufficient
understanding of the following.
− Concepts:
• RDBMS
• SQL
• JAVA and JDBC
• Interaction Diagram
− PRE- REQUISITIES: CMS requires JAVA JRE 1.5 OR
higher. Since CMS is written in Java, it can run on any
platform that supports the java runtime environment 1.5
or higher. The compiled files are contained in Java
Archives (JAR’S) and have to be defined in the
CLASSPATH environment variable.

XI. CONCLUSION:
A student ERP based web application institute Management
System is presented. An application offers reliability, time
savings and simple control. It is used as a base for creating
and enhancing applications for viewing results, tracking
attendance for colleges or any workplace. Students and their
parents will view results, attendance and curriculum details
using this application. Also students can view details,
notifications anywhere and anytime. Application will greatly
simplify and speed up the result preparation and
management process. It includes advertisement
of institute thus satisfying the marketing criteria to showcase
its facilities to the HSC and diploma students. It provides
high security and a system that reduces the work and
resources required in traditional process. The proposed
system provides the new way of computing and displaying
operations with responsive and attractive user-interface
