Undergraduate Long Term Laptop loan

for First Year Students – Terms and

Conditions

The Department and the College provide.

Hardware (2021- spec):

We will loan the following equipment: Windows 10 capable1x HP EliteBook 840 G7 i5
processor, 16Gb RAM 512 Gb SSD HDD, mains adapter with UK mains lead. A substitute
laptop may be supplied if the dept. runs out of stock of the current model of Elite-book.

Software
The laptop will be supplied in as shipped from the factory s/w installation. You will need to
setup the laptop and install the apps you need through Software Hub, Office 365, Microsoft
Imagine, MATLAB etc. A quick guide to setting up the laptop is provided on blackboard.

Hardware and software repair/reinstallation

In the event of problem with your laptop, log a service desk request (if possible) and if necessary, bring
the laptop to ICT staff for repair/re-installation. If the problem with the laptop was caused by misuse, a
repair charge may be levied.

Please note the ICT staff may be unable to recover your personal files and data. The default software
service will be to return the laptop to as-shipped condition.

What you need to do

1. Pay the deposit on receipt of the invoice from department on behalf of Registry
Student finance.
2. Your use of this laptop must conform to Imperial College regulations, as agreed
when you activated your account
3. At the end of your studies, you can return the equipment in reasonable condition,
along with all the fitted features and accessories supplied and your deposit will be
refunded. Missing or substituted items will incur a charge for replacement. If the
equipment is damaged due to misuse, then a repair charge will be levied.
Alternatively, you may choose to retain the laptop, and the deposit will not be
refunded.
 4. IMPORTANT: If you end your studies early, or transfer to a different department,
then the laptop will need to be returned, and your deposit will be refunded,
subject to the conditions of (3) above.
5. If the laptop is lost, destroyed, or stolen, then you will be liable for the cost of
replacing it. Please report this event to the Dept. as soon as possible. Please note that
the cost of purchasing a replacement is approx. £1120.00 at the time of writing.
6. IMPORTANT: You are responsible for backing up your files and data to your IC home
directory or external storage such as OneDrive. In the event of disk failure ICT cannot
guarantee recovery. If the laptop is lost, destroyed, or stolen, then files and data
cannot be recovered.
7. The equipment is supplied for your own personal use for the duration of your
undergraduate studies with the Dept of Chemical Engineering. You will not loan the
equipment to any third party.

Notes
Please note when using the college VPN connection, all your network traffic will be routed
through the college network, including personal traffic.
