 What is changing?

Group IT is implementing a new Enterprise Content

Management solution – OpenText

OpenText Content Server (OTCS) is the core content

repository and foundational document management
technology for the OpenText Content Suite Platform,
giving control over documents and business content
across the enterprise by securing and storing it
throughout its lifecycle.

Organize and share electronic documents
Document Management manages any type of electronic
document in any file format. You can organize electronic
documents into Structures within three types of
workspaces that reflect the different ways in which people
work: the Enterprise Workspace; Project Workspaces;
and Personal Workspaces.
Automate review and approval processes
Document Management's graphical Workflow Designer
tool enables you to automate document management
processes, such as document review and approval
processes, to ensure that they are carried out accurately
and consistently.
Apply custom metadata to documents
Document Management lets you associate extra
information, called metadata, with documents. Metadata
is indexed and can be used to easily retrieve and
generate reports on documents based on your custom
criteria.
Work directly from popular document authoring
tools:
Document Management allows users of popular desktop
authoring tools, Microsoft Word, Excel, PowerPoint, and
Outlook, to open and save documents directly from the
OpenText content Server repository. Using Windows
Explorer, users can drag and drop documents and folders
between their desktop and the OpenText system.

Shared drives

❑ Content that will be migrated from Hyperwave to OpenText includes only content that is
currently on Hyperwave

❑ Should you be making use of a shared drive to store documents, please note that these
documents will not be migrated to OpenText.

❑ If there is a need for the content on shared drives to be on OpenText, users are advised to
upload the content on OpenText when the system is live.

 HyperWave to OpenText migration FAQ’s

1. Will only documents for the past 5 years on HyperWave be migrated to OpenText?

No. After the data cleansing exercise, ALL remaining content on HyperWave will be migrated to
OpenText.

2. Will the existing 240- document numbers be used in OpenText?

All documents will retain their 240- number when migrated to OpenText. However, all new
documents uploaded on OpenText will be assigned a new document UID

3. Will we be able to maintain the taxonomies as they currently are on HyperWave, on

OpenText as well?

Yes.

4. Will training be done? When? How?

Yes. User guides, training material and online training on Zenzele will be made available and
communicated in due course. 6
