Title of the Study: WEB-BASED ENROLLMENT SYSTEM OF COGON PARDO DAY CARE
CENTER
Synopsis of the Study: This study is being conducted to provide an organized enrollment
process for the school. The purpose of a web-based enrollment system is to support
system users - enrollment staff and administrators. This is served by monitoring the
information, providing service, and improving all services. This enrollment system will
also help to have a more organized tracking of students, activities, and other school
information. This will aid enrolment staff to have a modernized system for their
enrollment.

Chapter 1
INTRODUCTION
Rationale of the Study
Technology has been more efficient way to use at these uncertain times through
technology we can access a lot of things, websites, or any information we may be able to
access in the internet through technology. Throughout the years, technology has changed our
surroundings and daily life. Furthermore, advancing technology has brought great tools and
resources, allowing us to access crucial information at any time.
Enrollment system is the process of entering and verifying data of student to register on
particular school. It is also used particularly in recording and retrieving student’s information.
Enrollment system is to do all activities involve in the entire enrollment process and integrates
them into a system. In the way everything happens in one place, and you can do it online only.
Those people who are interested they can easily access or inquire without hesitation like going
to school.
The Day Care Center in Barangay Cogon Pardo Cebu City have no accurate transactions
when it comes to payment method of the parents they can pay to the teacher when the officer is
not around and also the school are facing the uncertainty which they can’t retrieve any files or
documents of the pupils especially their records etc. once it is lost or damaged from the natural
calamity.
The researchers are motivated to create, implement and proposed a computerized system
which is called as the Web-Based Enrollment System that will void these issues. And if this
system will be implemented, monitoring of documents or files of the pupils and records of the
teacher will be safer, and it will be less hassle.

Related Systems
As stated by Chamilco, M, et al. (May 26, 2021) The enrollment process of an educational
institution becomes very complex when the waiting time is prolonged and crowds of people are
created. Technological tools are the most effective way to deal with this problem. Therefore, this
research seeks to optimize the processes that make up the enrollment management of an
educational institution through the implementation of a digital enrollment system.
According to Changting, H.(2017) Class participation enrollment, an effective means of
classroom management, can urge students to attend class on time and ensure the quality of
teaching. Almost all schools are using a roll-call to check and record whether students are
coming to class or not. The time required for this method depends on the number of students,
which is a huge waste of time. In recent years, with the development of deep learning, face
recognition has made great progress, which leads to a new way of thinking to solve the problem
of class participation enrollment.
According to Declercq, K. Et al. (February 2018). Many countries organize their higher
education system with limited or no ex-ante admission standards. They instead rely more
heavily on an ex-post selection mechanism, based on the students’ performance during higher
education. We analyze how a system of ex post selection affects initial enrollment and final
degree completion, using a rich dataset for Belgium (region of Flanders). We develop a dynamic
discrete choice model of college/university and major choice, where the outcome of the
enrollment decision is uncertain. Upon observing past performance, students may decide to
continue, reorient to another major, or drop out.
According to the figures of the Department of Education (DepEd), enrollment in
kindergarten up to senior high school for the school year 2020-2021 dropped more than 25
percent from a year ago. With these expectations, one of the obvious ways to mitigate further

effect is to provide a medium for students to be able to enroll online. The University of the
Visayas tapped Mindweb eSolutions to create and handle its virtual learning environment and
included in the package is the online enrollment system.
Dogan, B. Et al.(July 19, 2017). The Chicago Board of Education is implementing a
centralized clearinghouse to assign students to schools for 2018-19 admissions. In this
clearinghouse, each student can simultaneously be admitted to a selective and a nonselective
school. We study this divided enrollment system and show that an alternative unified enrollment
system, which assigns each student to only one school, is better for all students. We also
examine systems with two stages of admissions, which has also been considered in Chicago,
and establish conditions under which the unified enrollment system is better than the divided
enrollment system.
Based on the web article written by Lang C. ( 16 June 2020 ) Switching to online
enrollment: what to expect, he stated that implementing an online enrollment system is an
efficient approach to decrease administrative responsibilities, make the process easier for
parents, and eliminate all manual data entry. If the school wanted to have an online enrollment
system, these are the benefits of having it first the school is no longer using paper.
Law, K, et.al. (July 2019) Enrollment system is also positively influencing learning
performance through the above two presences. Learning motivation positively influence social
presence only. Learning motivation also plays a vital role in enhancing the enrollment but does
not directly influence learning performance in a blended learning setting. Teaching presence
was found to have direct positive impacts on the cognitive presence and social presence, and
indirect positive impacts on learning performance.
According to Masinsin, N Meg (2,February-2022) Remote Enrollment System was first
conducted in the Philippines during the school year 2020-2021 as a response to the challenges
brought by the Covid 19 pandemic. The purpose of this research is to examine the status of

implementation of remote enrollment system in meeting the current demands of the educational
system and its stakeholders and to determine the perception of the teacher and parent
respondents with regards to the implementation of the remote enrollment system.
According to (Ma. Grace P. Miranda), the system is developed to improve the enrollment
system (Ma. Grace P. Miranda) in terms of handling large number of enrollees including the
assignment of schedule and their respective section. The Authors also probed on the record
keeping and retrieval of the enrollees’ documents and compiling them to produce an official
registration form Moreover, the study included the management of accounts and generation of
enrollment report under the control of the administrator.
As stated by Otajehera, K. (October 10, 2019) Online student registration system is a
simple web-based system that is specifically developed for situations where we need to register
a large number of people within a limited time. The application can record, notify the
administrator about a registered student and the student also gets a message confirmation on
their handset.

PURPOSE AND DESCRIPTION
Objectives of the System
The primary goal of this research is to create a Web-based Enrollment
System for Cogon Pardo Day Care Center. It aims to:

2. To streamline the enrollment process; and
3. To generate fast and reliable enrollment reports.

SIGNIFICANCE OF THE STUDY
The following are the beneficiary of the research study:
Pupils. It will provide them with background information and enable them to become more
efficient way with a new enrollment method.
Parents. Without the inconveniences of having to wait for hours to fill out documents, everything
is done in a well-organized manner: so there less hassle and long queues.
School. The school can benefit this system because the process of enrollment will be more
accurate and efficient.
Teachers. This proposed solution will assist them in reducing the amount of effort and time
spent acquiring student data or information.
Researchers. It will benefit the researchers since their knowledge will be applied to this system.

Future Researchers. This study will be useful to other researchers who want to do a similar
study in the future, especially on specific elements that were not included in the current
study.
RESEARCH METHODOLOGY
Research Environment
The locale of this study is in Cogon Pardo Day Care Center, Cebu City. The research
subject is the teacher, Nora Gobalane. The head of the school was Ms. Marivic Avodo. In the
school there are total numbers of 3 teachers and 90 preschoolers in 3 classrooms.

Sources of Data
The following tools will be used by the researchers to collect further data:
Cogon Pardo Day Care Center. The researchers will conduct an interview with the Day Care
Center's teacher to evaluate and know about the problems they encountered during the
enrolling process.
Published/Unpublished Research. The researchers will use the published/unpublished
researches to gather more information.
Books. To gain more insights about the proposed research, the researchers will make use of
books.
Methods and Techniques
In order to construct the suggested system, the following models and methodologies will
be used:
RAD Application Development Methodology. The researchers will employ this technique to focus
on the development of the system rapidly through frequent iterations and continuous
feedback.
Interview Technique. This technique will be utilized to collect information regarding the Day Care
Center enrollment processes.
Problem Analysis. This approach will be used to interpret the data and information collected
following the teacher's interview and the determination of the school's problem.
Project Management. The researchers will use this method to evaluate the improvement of the
proposed system over time.

Models
The researchers applied different conceptual models to define and describe the system.
Use Case Diagram. The researchers will use this diagram to identify the many types of system
users, how they interact with one another, and how the system operates for each actor
connected.
Class Diagram. The Class Diagram will be used by the researchers to show relationships
between classes, objects, properties, and processes, as well as to illustrate the services
and functions supplied by the objects.
ER Diagram. The researchers will use this diagram to demonstrate how elements such-as
people, objects, or concepts interact inside a system.
Data Scheme Diagram. This model will be used by the researchers to better understand how
the relational database arranges information in terms of table names, fields, data types,
and the relationships between these entities.
Tools
In developing the proposed system, the researchers used the following variety of tools:
Database. This will be used by the researchers that is set up for easy access, management and
updating information and also to store the data or information of the student.
Visual Studio Code. The researchers will use Visual Studio Code to code the program.
as the researcher’s main integration platform for developing the framework.
XAMPP. This tool will be used by the researchers to build a local web server for testing the
system purposed only.
Figma. Figma will be used by the researchers for UI design. Image editing, web
design and much more when it comes to adding photographs to the system.

Development Process
The researchers spent days searching for the best school following in-depth discussions
and proposals from all of its members. They performed a detailed interview after picking the
school to have a better understanding of how the school managed the enrolment process for
their students and what are the parents or guardians usually do when it comes to the enrolment
of their students. By enabling the teacher to reply to an interview questionnaire supplied by the
researchers, the researchers were able to discover problems that the majority of the school had
with their enrolment.

Benefits
The most significant advantage of our system for the Faculties in Cogon Pardo Day
Center is convenience. Having the system as a web-based enrollment system. It is especially
important for those parents who are not techy. The system also provides the following benefits:
Automated Reports. Web based enrollment system can generate reports such as enrolment
numbers and student’s activities and schedule.
Data Gathering. The researchers can improve the system and they can be able to update the
system and secure the information. The system can gather data through inputting data or
information in the system.
Management. The proposed system is manageable because it is user friendly. Furthermore, the
researchers ensure all the tools such as buttons, textboxes and many more and it is
simplified so that the user is not confused when using the system.
Storage. The proposed system will be online and it is updated every month, it streamlines the
process, saves times and costs, allows for accurate and real time tracking.
Accurate Data. By reducing the amount of data entry and it will be shown online, enrollment
system can reduce the risk of data inconsistencies and errors if the user are very careful
of what he/her doing on the system.

CONCLUSION AND RECOMMENDATION
CONCLUSION
The researchers concluded that school is dependent with the documents of their students
whenever there are natural calamities will happen, they can’t retrieve the documents have been
lost or damaged. Some of the reason the school don’t have secure and safe place to store
documents. All of the existing problems or issues may lead to incompatibility and capabilities to
restore and retrieve the lost documents of their company. Furthermore, the traditional ways of
assessing teachers lacks of flexibility and comprehensive storage recommendation based on
the student’s profiles.
RECOMMENDATIONS
The researchers strongly recommend Cogon Pardo Day Care Center to implement the
Web Based Enrolment System for the teachers and students. As a result of the research and
comprehensive recommendation, all teachers, staff and head of the school will be guided in
selecting the appropriate school. This is also providing parents and teachers feedback on which
areas of knowledge requires knowledge of the system. Staff and Head of the school will be able
to use the system to enroll the students as long as it is connected to the internet or Wi-Fi by
using the system.

Cogon Pardo – is the place where the researchers conducted their research studies.
Day Care Center – is the school where accepting children who age 3-5 years old.
Any child facility other than a family day care home and includes preschoolers.
Enrollment System – combines all activities involve the entire enrolment process and integrates
into a system.
Hardware – is the physical, tangible parts of the computer.
Software – is a collection of data or computer instructions that tell the computer how to work.
Class Diagram – is a type of structure diagram that describes of a system by showing the
