Dear Madam Principal,

Please take reference to our earlier meeting and submission of our very earnest proposal
for providing turnkey architectural services i.e. from concept to supervision of the
execution until completion of the project for conversion of an existing vehicle depot
shed into a multipurpose hall for the school, dated 5th May’2019.

It was during our interaction that need for certain breakup of the tentative costs for the
construction & interiors, as also for the professional services from Apex Consortium
arose. The primary consideration that we understand is for the phasing of the expense
and effort. In consideration of the same, we are pleased to make our submission as
follows :

1. For providing general lay-out plan on scale, concept drawings/sketches


somewhat detailing the desired interiors with perceived elevation in 3-D, along
with the sectional details and tentatively estimated costs of different subheads –
based on general specifications, we shall request a modest fee of Rs. 1.15 Lakhs
only. This submission from us shall provide an insight into the structure that we
propose and suggest….from outward appearance to inside of the hall.

2. For detailed drawings and phased submission of working drawings, with


particular specifications and specific drawings obtained from the specialized
consultants for specific detailing along with 3-D drawings for interiors, modified
elevation and contract documentation – all as desired & complete to detail, we
shall expect our professional fee of 45/= + 25/= that is a sum total of Rs. 70/- per
sq. ft. of the total built up area. It is germane to mention that the amount received
as against submission of concept drawings as above, shall be adjusted from this
sum.

3. For all detailing as above along with the stage-specific supervision, settlement of
day to day issues on site and mile stone related approval of contractors bills/on
site measurements etc. we shall expect an over all fee of Rs. 70/- + Rs. 25/- =
Rs. 95/- [Rupees Ninety five only] per sq. ft. of the total built up area.

Introduction :

The proposed Army Public School Auditorium, Meerut is to be designed to


accommodate 734 people at a built-up area of 8,625 Sq. ft. The auditorium houses all
necessary amenities to function as a truly multipurpose hall, including sports activities
and other functions.
The proposed auditorium building is in close proximity to the Army Public School main
campus. This campus is elegant in style, with sprawling green campus and structures in
straight lines.
The stage of the proposed auditorium design interiors is intended to create a contrast to
the ordinarily treated exteriors. The exterior of the auditorium draws inspiration and
adapts architectural elements from the existing building. The height of the auditorium is
maintained as to match the height of the structure in vicinity so as not to disturb the
skyline.

Our Approach :

We believe that each client is unique and so we take a unique approach to each brief. In
this case we have noted and analyzed your requirements, as well as undertaken a
detailed review of the site including a general feasibility analysis and a broadly
estimated costing and modeling of the whole project. Drawing on our long experience in
this area we have tailored a solution to your exact requirements by fusing form and
function, and intend to create the ideal space for you. In practical terms we have also
identified and outlined key strategic milestones in the life of the project to ensure a
smooth completion as well as accountability throughout all stages of the execution
process. Also goes without a specific mention that we shall be circumspect towards
compliance with local & regional regulations and prevailing norms for standard
architectural practices.

The Proposals :

The entire process of accomplishing the entire task, ranging from the very basic
perception of the project per say, to it’s drafting and detailing and the execution on
ground thereafter has been defined and broken up under 15 broad milestones. This is
however, for general understanding only as the detailed CPM chart method shall
eventually be adopted for the time scale project management.

Project Milestones :

A preliminary case study is being annexed herewith for your ready reference.
Acceptance of the same and consenting to entrust this project to Apex Consortium at
this stage would also mean payment of an initial advance confirmation to Apex
Consortium. Further from here the following Milestones shall ascertain and be guiding
landmarks for our working together.

Milestone 1:      Approval of sketches and concept drawings. Submission of these shall
not take over 20 days from the date of entrustment along with
the payment of the confirmation amount.

Milestone 2:        Preparing of plans. Detailed drawings and plans shall be prepared for
discussion within 30 days of the approval of the first Milestone
stage as above.

Milestone 3:        Preparation & submission of planning permission application for final
approval shall be accomplished within the time frame of a fortnight
after as above.

Milestone 4:        Commencement of lay out and work on the ground, shall be done on
any opportune day as suggested and decided by the Army
Public School.

Milestone 5:        Completion of site development and foundations shall be done as per
the CPM guidelines framed for the project. Submission of all
working drawings with regards to the structure and Mezzanine or
Balcony work shall all be completed.

Milestone 6:        Ground floor structural work complete. This includes the structural
work for the front staircase, tea lounge, welcome area and the Balcony area.

Milestone 7: Mezzanine or Balcony work complete

Milestone 8:        Roofing & Flooring of the Balcony.

Milestone 9:        Plumbing and electricals.

Milestone 10:      Interior Flooring and modeling for acoustics.


Milestone 11:      Air conditioning work

Milestone 12: Interior finishing.

Milestone 13 : Exterior Cladding & Elevation work

Milestone14:       Landscaping.

Milestone 15 : Final completion with stage lighting / sound testing etc.

Pricing :
Our fee for seeing the project through from start to completion will be Rs. 70/- per Sq ft
of the built up area. In addition to this you should also budget approximately Rs. 25/-
per Sq ft on the built-up area - for additional outsourcing of expert reports and
consultancy for Structure / Air Conditioning / Sound & Acoustic and Landscaping.

Payment Terms :

We propose the following payment terms:

10% Paid on acceptance of this architectural proposal and signing of our terms and
conditions.

20% (30%) Paid at Milestone 1, completion of drawing and sketches.

20% (50%) Paid at Milestone 4.

10% (60%) Paid at Milestone 6.

20% (80%) Paid at Milestone 8, roofing complete.

10%(90%) Paid at the Milestone 11

10% (100%) Paid on completion of project.

Terms and Conditions

The following terms and conditions shall form the basis of a contract between the client
(“Client”) and M/S Apex Consortium (“Firm”) in the event that the client decides to
proceed and accepts this proposal extended under the signatures of Mr. Lakhan Tomar
dated 05th May’2019. Further :

1. The Firm agrees to provide the Architectural services outlined in this proposal for the
fee outlined as in the appended proposal detailed as above.

2. The Client undertakes to pay the fee set out above in accordance with the agreed
payment milestones.

3. The Firm undertakes to consult with the Client in order to facilitate the completion of
the agreed milestones above as well as the completion of the project as a whole.

4. The Client undertakes to provide the Firm with clear instructions and guidance when
required.

5. The Firm will ensure advise with all relevant laws and prescribed regulations.

6. The Firm shall undertake all of its work with professionalism and due care.

7. The Firm may outsource work or manage contractors.

8. The Client undertakes not to withhold payment for any reason.

9. Any subsequent agreement, whether written or oral, between the Firm and the Client
shall override the terms of this architectural proposal.

10. The Firm is not responsible for delays due to outside agencies such as planning or
government authorities, builders’ merchants, transporting and transit companies and/or
third-party contractors.
11. The Firm is not responsible for delays due to unforeseen eventualities or acts of God
such as poor weather, flooding, natural disaster, rioting etc.

12. The Firm is not responsible for increases in costs caused by a future rise in the costs
of materials (including outside contractors) or by a later lack of availability of those
materials used as a basis for calculated costing in our proposal.

13. The Client undertakes to insure and keep insured the site against injury to third-
parties and contractors.

14. Although every care has been taken in the preparation of this proposal it is not
possible to predict with complete certainty the cost and timescale of any architectural
project at such an early stage and the Client should allow at least a 10% margin on costs
and timescales.
