Learner’s Handbook:
Welcome Note
Dear Learner,

A very warm welcome! Thank you for being here. We are happy and honoured to
have you on board with us.

In the coming weeks, your classes will begin, and we will do our best to support
you throughout this time. Being an adult learner and having to juggle work, home
and your studies is never easy. However, over the years, it has been reassuring to
see many of our adult learners succeed in their studies with opportunities to move
on to new careers and paths after their graduation.

Over the past 30 years, we have trained more than 100,000 working adults to
stay relevant and to remain employable in today’s global workplace. Our mission
has always been to help adult learners navigate the labour market and to provide
platforms for learners to grow, upskill and remain agile in their careers. Thus,
our commitment to provide quality programmes to move your career forward will
always be our priority.

To boost your efforts to transit into a new career or even acquire new skills, we
provide learning and career services that you will be able to tap on during the
course of your study. Our experienced trainers are also committed to equip you
with resources and industry expertise.

We hope what we have prepared in the coming months will provide you with an

About the Learner’s Handbook / Academic Matters
Learner’s Handbook:

Handbook
This handbook is your guide to starting your adult
learner chapter with us at NP CET Academy.
It contains NP CET-related regulations,
academic policies, examination guidelines
and other useful information for Part-Time
Diploma and Post-Diploma Programmes
that can help you transit smoothly into your
course of study.

Academic Matters
Academic Calendar

The NP academic calendar consists of two semesters. Generally, the first


semester starts in April, and the second starts in October. Please refer to the
class schedule that will be sent to you by your Course Administration Executive
prior to the start of each semester as your course schedule may differ from the
generic semester timeline. In the event of subsequent rescheduling of classes,
your lecturer will connect directly with you. For the latest updates to the academic

Virtual Student Card (displayed on Mobile Devices)

At the start of the semester, you will be issued a virtual student card (e-Student Card).
This virtual student card is to identify you as a NP CET Academy student. You may
be requested to produce your virtual student card for verification (on occasion). We
appreciate your understanding in this matter as these procedures are part of our
efforts to keep our campus safe for all users. You can also gain access to campus
facilities like the Library*, swimming pool, lecture halls and classrooms by
using your virtual student card. For verification of identification for
tests and examinations, hardcopy photo IDs like NRIC
or Driver’s Licence will need to be produced and the
virtual virtual student card may not be presented
in these circumstances as use of mobile phones
are not permitted in the venues.

Class Attendance & Leave of Absence Policy

In order for you to enjoy your learning experience during the course of your study,
we recommend that you arrange your work / schedule / job assignment / overseas
engagements ahead of your classes. However, should you need to take a leave of
absence from your classes due to unforeseen circumstances, please inform your
lecturers prior to the date. You may submit LOA via student NPal for absence from
class/test. Please note a re-test may be done on a case-by-case basis. This is
subject to approval.

There will be instructions to guide you on how you can upload official documents
in PDF / JPEG versions. These documents include:

• Medical Certificate

• National Service Letter

• Letter from your employer for job assignment reasons

In order to graduate from the course, beyond passing examinations and common
tests, an attendance rate of at least 50% is required. Should the attendance rate
fall below the 75% mark, an email alert will be sent to your student email account.

Should the attendance rate fall below 50%, the learner will be debarred from
the course. Companies will not be able to claim for absentee payroll subsidies
disbursed by the SkillsFuture Singapore, if the overall attendance rate for company-
sponsored learners falls below 75%.

*Vaccination Differentiated Measures Safe Management Measures

According to the latest Ministry of Health (MOH) guidelines on Vaccination


Differentiated Safe Management Measures (VDS) via https://www.moh.
gov.sg/covid-19-phase-advisory, only those who meet the applicable VDS
requirement will be able to enter our campus. If your status does not fall within
the VDS requirement, please contact your course administrators immediately.
Please check your Connect Mail account for VDS updates regularly.

Examinations &
Examination/Common Test
Learner’s Handbook:

Common Tests
All examination policies/matters are accessible via the Student Exam Portal.
Learners are strongly encouraged to take note of the examination notices and be
familiar with the examination rules. Disciplinary actions will be taken on learners
who breach examination rules.

Examination/Common Test Schedules

All examinations are conducted at the end of each semester while common
tests are scheduled in the mid-semesters. Most examination/common tests are
held from 7.00 pm to 9.00 pm. Please log in to NPal to check your examination/
common tests schedules.

Examination/Common Test Day

Learners are allowed to enter the examination room 15 to 20 minutes before


the start of an examination/common test and will be allocated 10 minutes of
reading time prior to the commencement of the assessment. Please note that
learners are not to leave the examination room for the first 30 minutes of an
examination/common test. Latecomers, i.e. those who arrive after 45 minutes of
an examination/common test will not be able to sit for the assessment.

Please also note that it is mandatory for learners to produce identification


documents (NRIC/FIN/Passport) for verification of identities before the conduct
of an examination/common test. Identification documents must match the
information provided during the time of learners’ enrolment with the academy
during your enrolment.

Use of Calculators During Examinations

Unless specific instructions are given, learners are only allowed


to use silent calculators with visual displays.
Calculators with communication tools/
technology, text-editing or programming
capabilities are not permitted during the
examinations/common tests. Electronic
dictionaries/translators, smartphones or
any other unauthorised electronic gadgets
are also not permitted.

Examination Results & e-Completion Letter

Examination/Common Test
Learners can log on to NPal student account to access your results. Learners
will be notified via email on when the results will be released, including details on
when transcripts and certificates may be collected.

In the unfortunate situation that a learner fails a module at the 3rd attempt or
are debarred from all his/her modules in the same semester, the learner will be
dismissed from the course. Learners who fail their module(s) on the 1st and
2nd attempts will be required to repeat the failed module(s) in the following
semester(s).

For graduating learners, an e-Completion Letter will be made available upon the
release of results via learners’ campus email and personal email accounts.

Appeal

An appeal application to review examination results or dismissal from a course


must be done within the 4 working days appeal window upon the release of the
examination results.

Absence
Alternative examination arrangements may be allowed under valid circumstances
such as:

• Hospitalization

• Medical leave

• Death of an immediate family member

•O
 verseas events / Job assignments

• Accidents, court case, flood, Force Majeure

While the above situations are recognized as valid reasons for absence, please note that
an opportunity to re-sit the examination or common test may not be available within the
same semester. In the case of absence from examinations, special examinations may
be arranged for a learner on a case-by-case basis. Please discuss with your trainer
should you need to take leave of absence for examinations.

Please note that some courses may not have alternative assessment
arrangements. For example, in the case of absence from class tests or common

tests, the results from these tests may contribute to a learner’s final examinations
scores. More information on the leave of absence policy for examinations and
tests are detailed below:

Leave of Absence Scenarios Outcome

If a learner is absent from the entire examinations for a FAIL


semester without valid reasons, the learner is deemed to have
sat and failed all the examinations

If a learner is absent from the examination for a module FAIL


without valid reasons, the learner is deemed to have sat and
failed the module

Grading Systems

Learner’s Handbook:
Examination/Common Test
Credit units are assigned to each module depending on the number of hours per
week assigned to the module. Learners are graded based on the performance of
both the continuous assessment and examinable modules.

For continuous assessment modules, the assessment will be based on regular


classwork (e.g. quizzes, presentation), projects, practical work and tests. For
examinable modules, learners will be assessed based on coursework and through
examinations.

Grade Point Average (GPA)


The GPA will be used to measure the academic standing of a learner. The Current

GPA is calculated based on the graded modules taken in that semester.

For example, the method of computing the current GPA for 5 graded and one
non-graded modules in a particular semester is as shown:

Deferment & Withdrawal

The Academy strongly encourages learners to complete their Part-Time Diploma
or Post-Diploma courses within the following timeframes as detailed below:

Unless required or necessary, requests for deferment or withdrawal from a course


must be made before study week (please refer to the Academic Calendar on Page 4),
please inform your course administrator or CET Academy via email. There will be no
refund of module fees arising from deferment or withdrawal from a module. Learners
are strongly advised to speak to their trainers prior to submitting any request.

Learners are to complete their Part-Time Diploma or Post-Diploma courses


within the stipulated timelines to qualify for full qualification certificates. They are
detailed below:

E-payment using Credit Card or Internet Banking on NPAL, please follow
instructions on the payment email to proceed.

PSEA
1. Submit the Online PSEA Standing Order Application Form.
2. Call the PSEA Hotline (6260 0777) to check available balance.

 earners using the funds in your sibling’s PSEA account OR using both you and your
sibling’s PSEA account must download the hardcopy Standing Order form here.
4. Submit the completed form via email to CET Academy.

SkillsFuture Credits
1. L ogin to SSG’s SkillsFuture Portal to submit a claim. (Only available from 60
days before course commencement date)
2. S tate amount to be utilized for fee payment (SFC cannot be used to pay for
miscellaneous fees & Insurance)
3. Upload supporting documents such as payment invoice / confirmation letter to SSG.

For fund transfer, please transfer to NP OCBC bank account no. 518-715297-001
and indicate your student ID and contact no. for reference.

Please obtain the Application Form from CET Academy.

OCBC Bank Branches (Cheque/Cash)


1. For cheque payment, please pay to “Ngee Ann Polytechnic”.
2. W
 rite your Student ID, Name and NP bank account no. ‘518-715297-001’ at
the back of the cheque.
3. Drop the cheque at any OCBC quick cheque deposit box.
4. If paying by cash, please retain the deposit slip as proof of payment.
5. Payment will be updated in 3 working days.

For Company Sponsored Learners


Please submit your billing details to NP CET Academy via the Company Sponsorship
form. Your organisation will receive an invoice from NP Finance to pay course fees.
Your organisation can opt for GIRO / cheque / interbank transfer.

Note: Learners who are unable or have failed to make fee payment by the due date will have
their access to NP’s Student Accounts (NPNet, NPal, POLITEMall, Connect Email, Office365)
suspended. This will be followed by an administrative course withdrawal. Information on this
page is accurate as of 7 Mar 2022. Please refer to your Connect Mail account for any changes
to payment methods.

Library Resources
All Part-Time Diploma & Post-Diploma

membership to the Campus Library.
It comprises the Lifestyle Library and
Academic Library. The Academic
Collection supports teaching, learning,
reference and research while the
Lifestyle Collection focuses on
personal, social and recreational needs.

Student’s Campus Email Account (Connect Mail, Outlook Office365)


Once matriculated into a course, learners will gain access to NP’s Connect
Mail account via the Outlook 365 portal. This account will be used for all future
correspondences.

Learners are strongly advised to check their NP Connect Mail accounts regularly
for updates on release of examination results, class timetables, etc. Examination
results and class timetables will be posted on the NPal Student portal. Learners may
reset their NPNet password on the NP Student Intranet via the Student Password
Reset Service or at the IT Helpdesk Centre on the campus. For expedient assistance,
learners are encouraged to use their Connect email accounts when corresponding
with the Academy, quoting their Student IDs and course(s) name(s).

Mobile App (mStudent)


The mobile app, mStudent, will allow learners to receive useful
push notifications from NP such as announcements to view your
exam time tables or results mStudent also allows you access to
the same information from your NPal Student Portal (Eg, enrolment
status, class timetables, absence summary, outstanding fee, staff
directory etc.)

Wireless Connection
To connect to Campus Wireless Connection, learners may log in to the network

using their NPNet IDs and Passwords. To use the secure “NPWireless” Wireless
Network on Campus:

• The wireless connection status needs to be activated before a learner can surf or
access any network application such as email and NPal Student.
• Thereafter select the “NPWireless” wireless network.
• Launch internet browser, the login page will automatically be displayed.
• Log in with NPNet ID and Password.

POLITEMall
POLITEMall is an internet-based mobile e-Learning
portal, providing one access point to all e-learning
activities & resources. In our efforts to go green, trainers
will post all module/lecture notes, materials, assignments, quizzes, updates
on class schedules & announcements in POLITEMall for easy downloading by
learners. Should printing services be required, learners may do so at the Library or
OurSpace@72 (Vendor: Ultra Supplies).

If learners wish to keep a copy of the completed module materials, please save
them before the end of the semester. System housekeeping will replace completed
modules with new modules upon commencement of a new semester.
