COMPANY POLICY

LEAVE APPLICATION PROCEDURE

To align the leave application procedure for all plants and to give a clear
Purpose process on getting leave approval. This procedure and policy will also ensure a
consistency of practicing which involve both local & functional reporting line.

Scope Applicable to all permanent and contract employees employed by the Company

Leave Application Policy

1. Annual Leave
1.1 Entitlement
1.1.1 Entitled for : All employees
(Can only be used right after a confirmation in a staggered basis)

1.1.2 Entitlement days:

0 year or more but less than 2 years of service 12
2 years or more but less than 5 years of service 15
5 years of service and above 18

1.2 Leave is required to apply 5 days in advance


1.3 Delegation of authority need to be done prior to the approval
1.4 No reason requires if it has been applied according to the minimum days
1.5 The unused annual leave shall be carried forward but limited to maximum of five (5)
days to the next calendar year. The carried forward annual leave shall be utilized latest by
end of March, otherwise, shall be forfeited.

2. Emergency / Compassionate Leave
2.1 In the case of death
2.1.1 Entitlement for: Confirmed employees
2.1.2 Entitlement for the death of : Spouse/s, children, legally adopted children,
sibling/s and the Employee’s parents and parents-in-law,
2.1.3 Entitlement days: 3 working days
2.1.4 Supporting Documents: a copy of the death certificate of the family member
concerned together with his leave application form after such leave.
2.2 In the case of a natural disaster
2.2.1 Entitlement for: Confirmed employees
2.2.2 Entitlement for natural disaster such as fire, flood, robbery etc. within Malaysia,
which directly affects the Employee,
2.2.3 Entitlement days: 3 working days leave.
2.2.4 Supporting Documents: a copy of the relevant reports from the police, fire
fighter or newspaper cutting covering the details of the disaster

2.3 Initial approval will be through immediate communication between employees with local
reporting managers

2.4 Follow up supporting documents are required for actual approval on the leave form

2.5 Without supporting documents, Managers will have the rights not to sign and approve the
leave form

2.6 Approved leave will be fall under AL or Compassionate leave

2.7 Approved leave will be fall under UPL if no more AL balance (if it is not a
compassionate leave case)

2.8 Non approve leave (due to no supporting doc) will be treated as an UPL and HR have the
rights to investigate on this.

3. Medical Leave (MC)


3.1 Entitlement
3.1.1 Entitled for : all employees regardless of confirm or probation
3.1.2 Entitlement days :

3.2 less than 2 years of service 14
Initial 2 to 5 years of service 18
5 years of service and above 22
approval will be through immediate communication between employees / family members with
local reporting managers

3.2 Follow up supporting documents (Medical Certificate) are required for actual approval
on the leave form

3.3 Without supporting documents, Managers will have the rights not to sign and approve the
leave form

3.4 Approved leave will be fall under Medical Leave (MC)

3.5 No such thing called a sick leave without any Medical Certificate attach and cannot be
treated as an AL. If no supporting documents, leave will be treated as UPL / absence

4 Marriage, Maternity / Paternity Leave


4.1 Entitlement
4.1.1 Entitlement for : Confirmed employees
4.1.2 Entitlement days :
4.1.2.1 Marriage Leave : 2 working days
4.1.2.2 Maternity Leave : 98 days (calendar month)
4.1.2.3 Paternity Leave : 7 consecutive days

4.2 This leave needs to apply at least 1 month in advance and the standard leave application
procedure is applied

4.2 For maternity, employees shall inform to HR as soon as they get to know on the
pregnancy to ensure their safety and any light duty arrangement needed.

5 Others Leave

5.1 General process of leave application shall apply, and prior approval is needed

5.2 The Employee shall be deemed to be absent from work in the event he / she goes on
leave without obtaining the requisite approval.

Leave application procedure shall be referring to the Appendix
